Customer Sources

Customer Sources track how customers and leads find your business. Each source is a label like "Google Search," "Referral," "Yelp," or "Door Hanger" that you assign when creating a new contact. Over time, this data shows you which marketing channels bring in the most business so you can invest in what works.

Navigate to Settings → Customer Experience → Customer Sources to manage your sources.

This feature may need to be enabled for your company. If you do not see the Customer Sources section in Settings, contact your administrator to check your feature settings.

note

If your branch is part of a franchise network, some sources may be seeded and locked by your franchisor. Those rows show a parent indicator and can't be edited or deleted locally — add your own additional sources alongside them instead.

Overview

When your office team creates a new customer or lead (through the Full-Page Estimate, the contacts page, or a lead form), they can select a customer source from a dropdown. That source stays with the record and appears in reports, filters, and the customer's profile.

Customer sources are company-wide. Active sources appear in dropdown menus across the application. Inactive sources are hidden from dropdowns but remain on any records that already use them, so your historical data stays intact.

The Customer Sources Table

The settings page shows a searchable, filterable table of all your customer sources.

ColumnDescription
Source NameThe label that appears in dropdowns (for example, "Google Ads")
StatusActive (blue badge) or Inactive (gray badge)
ActionsEdit and Delete buttons

Toolbar Controls

  • Search — Type to filter sources by name.
  • Filter buttons — Click All, Active, or Inactive to show only sources with that status.
  • Add Source — Open the form to create a new source.
  • Results count — Shows how many sources match your current filter.

How to Add a Customer Source

  1. Click Add Source in the toolbar.
  2. Enter a Source Name (for example, "Google Search," "Neighbor Referral," or "Facebook Ad").
  3. The Active checkbox is checked by default. Leave it checked so the source appears in dropdowns immediately.
  4. Click Create to save.

The new source appears in the table and is immediately available in dropdown menus throughout the application.

How to Edit a Customer Source

  1. Click the edit (pencil) icon on the source's row.
  2. Update the Source Name or toggle the Active status.
  3. Click Save to apply changes.

Changing a source name updates the label everywhere it appears — on existing customer records, in reports, and in dropdown menus.

How to Deactivate a Source

If a marketing channel is no longer relevant, deactivate it instead of deleting it:

  1. Click the edit icon on the source.
  2. Uncheck the Active checkbox.
  3. Click Save.

Inactive sources are hidden from dropdown menus so your team cannot select them for new records. Existing records that use the source keep their assignment. You can view inactive sources by clicking the Inactive filter button.

How to Delete a Customer Source

  1. Click the delete (trash) icon on the source's row.
  2. A confirmation dialog appears: "This will permanently delete this source. This action cannot be undone."
  3. Click Delete Source to confirm, or Cancel to keep it.

Deleting a source removes it entirely. Consider deactivating instead if any customer records reference the source — this preserves your historical data.

Where Customer Sources Appear

Customer sources are used in several places throughout the application:

LocationHow It's Used
Full-Page EstimateDropdown to select source when creating a new customer or lead
Edit Customer DrawerDropdown to change the source on an existing customer record
Lead Detail PageShows the source that was assigned when the lead was created
Sales KPI ReportBreaks down leads and revenue by customer source for marketing analysis
Contacts TableSource column and filter for sorting and grouping contacts

Only active sources appear in dropdown menus. Inactive and deleted sources still show on records where they were previously assigned.

Common Customer Sources

Here are examples of sources that cleaning businesses commonly track:

SourceUse For
Google SearchCustomers who found you through organic Google results
Google AdsCustomers from paid Google advertising
YelpCustomers who found you on Yelp
FacebookCustomers from Facebook posts or ads
ReferralCustomers referred by an existing customer
Neighbor ReferralCustomers referred by a neighbor of an existing customer
Door HangerCustomers who responded to a door hanger campaign
WebsiteCustomers who submitted a form on your website
Repeat CustomerReturning customers who previously used your service

Tips and Best Practices

  • Keep source names short and clear. Your team selects these from a dropdown, so brief labels like "Google Ads" work better than "Customer found us through Google paid advertising."
  • Be specific about referral types. Instead of one generic "Referral" source, consider separate sources like "Customer Referral," "Neighbor Referral," and "Employee Referral" to track where referrals come from.
  • Deactivate rather than delete. If you stop using a source, deactivate it. This keeps your historical reporting accurate while hiding it from future use.
  • Review the Sales KPI Report quarterly. Use the source breakdown to see which channels produce the most leads and highest revenue. Cut underperforming channels and invest in top performers.
  • Add new sources before launching campaigns. If you start a new marketing channel (like a mailer or social media campaign), create the source in Settings first so your team can track it from day one.
  • Assign a source to every contact. Train your team to always select a source when creating new customers and leads. Missing source data creates gaps in your marketing reports.
