Skills & Tags

The Skills & Tags settings page lets you manage two kinds of metadata used across the application. Skills define what technicians are trained to do (like "Deep Cleaning" or "Pet Care") so you can match the right team to the right job. Tags are custom labels you apply to customers, leads, jobs, technicians, events, and properties to organize and filter your data.

Navigate to Settings → Team & Operations → Skills & Tags to manage both.

Technician Skills

The Skills section at the top of the page lets you define skills that can be assigned to technicians. When scheduling, the system can use skills to match technicians with jobs that require specific expertise.

The skills table shows all defined skills with these columns:

ColumnDescription
Skill NameThe label displayed when assigning skills (sortable)
DescriptionOptional description of what the skill involves
ColorOptional color for visual identification
IconOptional icon displayed next to the skill name
ActionsEdit and Delete buttons

Use the search box above the table to filter skills by name or description.

  1. Click Add Skill in the Skills section header.
  2. Enter a Skill Name (required) — for example, "Deep Cleaning," "Pet Care," or "Window Washing."
  3. Optionally enter a Description to explain what the skill covers.
  4. Optionally set a Color (hex code like #005DA5) for visual identification.
  5. Optionally set an Icon name for display next to the skill label.
  6. Click Add Skill to save.

How to Edit a Skill

  1. Click the edit (pencil) icon on the skill's row.
  2. Update any fields — name, description, color, or icon.
  3. Click Update Skill to save changes.

How to Delete a Skill

  1. Click the delete (trash) icon on the skill's row.
  2. A confirmation dialog appears: "This will permanently delete this skill. This action cannot be undone."
  3. Click Delete Skill to confirm.

Tags Management

The Tags section below Skills lets you create and manage custom tags organized into seven categories. Each category applies to a different type of record in the system.

Viewing Tags

The Tags Manager supports two view modes:

  • Table view — A flat list showing all tags with their category, sorted alphabetically. Each row shows the tag name, its category badge, and edit/delete buttons.
  • Cards view — Tags grouped by category in separate card sections, making it easy to see how many tags exist in each category.

Use the toolbar controls to:

  • Search — Filter tags by name across all categories.
  • Category filter — Click All or select a specific category to narrow the view.
  • View toggle — Switch between table and cards layout.

Inactive tags are shown with a visual indicator so you can distinguish them from active tags.

How to Add a Tag

  1. In the Tags section, click the Add (plus) button next to a category header (in cards view) or use the Add Tag action.
  2. The category is pre-selected based on where you clicked.
  3. Enter a Tag Name — for example, "VIP" or "Has Pets."
  4. Click Add Tag to save.

The new tag is immediately available for use across the application in the selected category.

How to Edit a Tag

  1. Click the edit (pencil) icon on the tag's row or card.
  2. Update the tag name.
  3. Click Update Tag to save.

Renaming a tag updates it everywhere it has been applied — on existing customer records, jobs, and other entities.

How to Delete a Tag

  1. Click the delete (trash) icon on the tag.
  2. A confirmation dialog shows which category the tag will be removed from.
  3. Click Delete Tag to confirm.

Deleting a tag removes it from all records where it was previously applied.

Tips and Best Practices

  • Keep skill names specific. "Deep Cleaning Certified" is more useful than "Advanced" because it tells dispatchers exactly what the technician can do.
  • Use Home Info Tags for access details. Tags like "Has Pets," "Gated Community," and "Alarm Code" appear on job cards so technicians know what to expect before arriving.
  • Create Job Tags for workflow tracking. Tags like "First Visit," "Quality Check," or "Rush" help your team prioritize and filter the schedule.
  • Use Customer Tags for marketing segments. Tags like "VIP," "Referral Source," or "Seasonal" make it easy to filter customers for targeted communication.
  • Review tags periodically. Remove tags that are no longer used to keep dropdown menus clean. Delete rarely — renaming is often better since it preserves history.
  • Keep categories organized. Use the category filter to focus on one tag type at a time when managing a large tag library.
