Sales KPIs

The Sales KPIs report follows the leads created in a date range and shows what happened to them: how many were quoted, how many booked recurring or one-time service, and how many of those services were later cancelled. It breaks the results down by staff member, lead source, and branch, and you can select almost any number to see the leads or services behind it.

How the Date Range Works

The date range picks which leads the report follows, not when things happened. The report takes every lead created in the range and follows it forward to today. A lead created in the range that books next month still counts as booked. A lead created before the range does not appear, even if it booked during the range.

This keeps every rate on the page based on the same group of leads, and each lead counts once at each stage. Because the leads keep moving, the numbers for a recent range can still go up as open leads are quoted and booked.

The Activity view has a separate option to list events by the date they happened. See Activity.

Why These Numbers Differ from V2

The Sales KPIs report in Pulse does not match the sales report in V2, and it is not meant to. A note at the top of the report says the same thing and links here. The lead count for a month usually matches, but quotes, sales, and the conversion rates often do not. The two reports count different things:

  • V2 counts events by the date they happened. A sale counts in the month it was recorded, once for each service booked. A quote counts in the month the lead's first quote was created. Neither depends on when the lead came in.
  • Pulse follows the leads created in the date range. A lead counts once as quoted and once as booked, however many quotes or services it has. A lead created in August that books in September counts in August, not September.
  • Pulse counts a lead as booked only through its quote. The booked service must be on a quote line that belongs to that one lead. A service that was booked without a quote, that appears on quotes for more than one lead, or that was booked before the lead was created is left out of the lead rates.

Those bookings are not lost. When there are any, a note on Overview shows how many booked services have no lead link. Click Review bookings to list them.

To compare a month with V2:

  1. Clear any Customer Source or Medium filter, then set the date range to the first and last day of the month. With either filter on, bookings without a lead link are left out and the note in step 2 does not show.
  2. On Overview, if any services booked that month have no lead link, a note shows how many. Click Review bookings in that note to list them. If there is no note, every booking that month has a lead link.
  3. In Details → Activity, select Event date to list every quote, booking, and cancellation that happened during the month, whatever the lead's created date. This list is the closest match to V2.

Toolbar Controls

Date Range

The report opens on the current week (Sunday through Saturday). The date picker offers three presets:

  • Current Week
  • Last Week
  • Last 4 Weeks

There are no month, quarter, or year presets. For any other period, pick the start and end dates on the calendar. For example, for the third quarter, select July 1 as the start and September 30 as the end. The date range is saved in the page link, so you can share the link and the recipient sees the same range.

Overview and Details

Use the Overview and Details tabs at the top of the toolbar to switch views. Overview is a scrolling summary. Details shows one grid or table at a time. In Details, choose Staff, Net Sales, Lead Source, or Activity.

Filters

Click Filters to open the filter panel. Active filters appear as chips in the toolbar. Every filter except Branch takes one value.

FilterWhere it applies
BranchOverview and Details. Shown only if your company has more than one branch.
Customer SourceOverview and Details. Filters to one lead source.
MediumOverview and Details. Filters to how the lead arrived: Web, Web Widget, Portal, Phone, SMS, Email, Unknown, or Unclassified.
Scope Group, Scope, FrequencyDetails only
Created ByDetails only. Filters by the lead's conversion owner.
Sold ByDetails only. Filters by the employee credited with the sale.
Activity, Revenue CategoryDetails, Activity view only

Click Reset filters to clear every filter and any drill-down at once.

Compare Previous Period

Click Compare previous period to add a comparison with the previous period to the summary cards, staff cards, funnel, and branch comparison. The earlier leads are compared at the same age as the current ones, so a newer group is not penalized for having had less time to book. Click the button again to turn the comparison off.

Export and Refresh

  • Export: choose Complete Excel workbook (net sales, lead sources, staff, Sold By credit, source performance, and the Activity rows, in one file), Net Sales CSV, Lead Source CSV, or Activity CSV.
  • Refresh: reloads the report. Report data is not real-time, and the refresh button's tooltip shows when it was last updated.

The cards at the top change with the view. Select a card to see the records behind it in the Activity view.

Find Your Recurring Close Rate

To see what share of quoted leads booked recurring service for a period, such as a quarter:

  1. Open Sales KPIs and set the date range to the first and last day of the period.
  2. Stay on Overview and scroll to Where leads go.
  3. Expand All leads · conversion rates below the funnel.
  4. Read Quoted → Recurring. It shows the rate and the count behind it, for example "40 of 120 quoted leads".

The same rate appears as % Sale to Quote - Recurring in Details → Net Sales, with a column for each branch if you have more than one.

How the recurring rates are calculated:

  • Quoted → Recurring (% Sale to Quote - Recurring) = leads with a recurring booking ÷ all quoted leads.
  • Leads → Recurring (% Sale to Lead - Recurring) = leads with a recurring booking ÷ all leads created.

The bottom of each rate is all quoted leads (or all leads), not only the leads that were quoted for recurring service. A lead counts once, even if it booked more than one service. The one-time rates (Quoted → One-time, Leads → One-time) work the same way, and Quoted → Booked counts a lead that booked anything.

Remember that the rate follows leads created in the period. It does not count a lead created in the previous quarter that booked this quarter. Select any rate to open the leads behind it in the Activity view.

warning

Loss - Recurring in Details → Net Sales is not quotes you lost. It counts recurring services that were cancelled (a Cancel Service record), with the revenue lost. Don't use it in a close rate. To see leads that haven't booked yet, click Still open under the funnel in Where leads go.

Overview Sections

Staff Sales Performance

A card for each staff member, sorted by weekly recurring revenue by default. Each lead has one conversion owner: the employee who created it, or for leads that came in automatically, the first employee who worked it. MaidCentral team members who create or work leads in your account are credited by name, like any employee. Leads with no employee owner, such as web form leads nobody has worked yet, appear on a card named MaidCentral.

Each card shows weekly recurring revenue (WRR), recurring jobs booked per week, Leads, Quoted, and Booked lead counts, and Services booked split into Recurring, One-time, and Total. Select any number to see the records behind it. Staff with no activity in the range are hidden; click Show N inactive to see them. Staff table opens the same data as a table in Details.

Where Leads Go

A funnel of how far the leads created in the range have progressed, with Still open and Cancelled after booking buttons to review those leads. A cancellation does not remove a lead's booked credit here; it is shown separately. Switch between All leads (includes automated sales) and Human sales (leads with qualifying employee contact). Expand All leads · conversion rates for the seven conversion rates described in Find Your Recurring Close Rate.

Why does speed to lead show business hours instead of wall clock?

Under Recorded outreach speed, the funnel shows the median time from a lead's creation to the first human contact attempt. If Sales Hours has been set up for the branch, this shows as "Median N business hours to first human attempt · N h wall clock" — the business-hours figure counts only the hours your sales team is actually reachable, while wall clock counts every hour. A lead that arrives overnight or on a day marked closed in Work Days doesn't start its business-hours clock until the next open hour, so an overnight lead answered first thing in the morning can show a fast business-hours time even though more wall-clock time has passed. Without Sales Hours set up, only the wall-clock figure shows.

Source Performance

Lead results by Source, Medium, and (if you have more than one branch) Branch. Sort by leads, booked leads, booking rate, recurring revenue per week, or one-time revenue. Click Details on a row for more.

Sales Outcomes

Two cards, Recurring and One-time, show the services booked and the services Lost / cancelled for the leads created in the range, with the net gain. Recurring revenue is per week. One-time revenue is a separate total.

These cards count services, not leads. One lead can book more than one service, so these totals can be higher than the booked lead count in the funnel.

Net Sales by Branch

Shown only if your company has more than one branch. Compare shows each branch side by side, with a sort menu and a Show rates button. Matrix shows the full Net Sales grid described below.

Details Views

Staff

The staff cards, with a Cards or Table layout and sort options, plus a Sold By sales credit table. Both tables end with a Total row for the staff shown. Created By (the conversion owner) and Sold By are separate: the conversion owner is credited with moving the lead forward, and Sold By is the employee credited with the service sale.

Net Sales

A grid of the full sales summary, with Count and Revenue columns for each branch and a Total. Select any linked number to see the records behind it.

RowWhat It Shows
LeadsLeads created in the range
Quoted LeadsLeads that reached a quote
Booked LeadsLeads that booked any service
Booked leads without a sales recordBooked leads with no matching service sale in the report. They keep booked credit, but no revenue is estimated.
Sales - One Time / Sales - RecurringOne-time or recurring services booked, with revenue
Loss - Recurring / Loss - One TimeRecurring or one-time services cancelled (a Cancel Service record), with the revenue lost. These are cancellations of booked service, not quotes that did not book.
Net RecurringRecurring services booked minus recurring services cancelled, with weekly revenue
Net One-timeOne-time services booked minus one-time services cancelled
Sales - TotalAll services booked
% Quote to LeadQuoted leads ÷ leads
% Sale to Quote - One Time / Recurring / TotalLeads with a one-time, recurring, or any booking ÷ quoted leads
% Sale to Lead - One Time / Recurring / TotalLeads with a one-time, recurring, or any booking ÷ leads

If you have more than one branch, Totals only hides the branch columns.

Lead Source

A grid of every lead source with L (leads), QL (quoted leads), R (recurring sales), O (one-time sales), and T (total sales), for each branch and in total. Select a number to see the records behind it.

Activity

The Sales Activity grid lists the records behind the report: leads, quotes, bookings, and cancellations. Selecting a number anywhere on the page opens this view filtered to that number, with a banner that checks the rows add up to the number you selected. Click Clear drilldown to return to the full list.

Use the Lead created and Event date toggle to choose how rows are dated:

  • Lead created (default) lists activity for leads created in the range, matching the rest of the report.
  • Event date lists every event that happened in the range, whatever the lead's created date. Use it to see, for example, every cancellation recorded during a month. This toggle changes the Activity list only. The rates and totals elsewhere always use lead created.

When the grid shows Revenue per Job and Weekly Revenue, a Total row at the bottom adds them up for every row that matches the grid's filters and search, on all pages, not just the one shown. It adds every kind of row in the list, and cancellations count as negative, so filter or group by the Activity column to total one kind, such as booked services. Lists opened from Where leads go or from Booked leads without a sales record don't have these columns or a Total row.

When you open a number from a staff card, the grid adds a Conversion Owner column. Every row belongs to a lead owned by that staff member, even when someone else is shown under Sold By or Created By.

Click a customer name to open the lead or customer. Administrators can correct Sold By and the lead source on eligible rows. Corrections are audited.

Tips

  • Pick the period, then read Where leads go. The conversion rates there answer most close-rate questions, including recurring versus one-time.
  • Give recent periods time. Leads created last week may not have booked yet. Compare periods that are equally old, or use Compare previous period.
  • Losses are cancellations. To see quotes that never booked, check Still open in Where leads go or the stage columns in Activity.
  • Select any number to see the exact records behind it before you act on it.
  • Export before sales reviews. The Complete Excel workbook includes every section and the Activity rows in one file.
