Service Sets

A service set is a recurring service plan tied to one of a customer's properties. It defines what gets cleaned, how often, how long it takes, which team is assigned by default, and how much it costs. When you schedule jobs for a customer, each job traces back to a service set.

Service sets live inside the Service Locations tab on a customer record. Each property card in that tab can have one or more service sets.

Understanding the Service Set Card

Each service set appears as a collapsible row in the Services section of a property. The collapsed view shows the most important information at a glance.

ColumnWhat it shows
NameThe service set's name (for example, "Weekly Deep Clean")
StatusActive (green) if a future job is scheduled; Inactive if no jobs are booked
TeamDefault team name, shown as a color-coded badge if the team has a color assigned
Hours / Start TimeEstimated duration and default start time
FrequencyHow often the service recurs (for example, "Every Week")
RateTotal charge per visit including add-ons
JobsNumber of upcoming scheduled jobs
Next JobDate of the next scheduled visit

Adding a Service Set

You add a service set to an existing property, using the Add Service button in that property's Services list.

  1. In the Services section of the property, click Add Service.
  2. The full page quote opens with the customer and property already selected, so you go straight to choosing the service, frequency, and add-ons, and then saving the quote or scheduling.

If the customer has no service sets yet, Create First Service Set opens the same full page quote with the customer selected.

For the full walkthrough, including the frequency options and the save buttons, see Add Service.

After the service is created, use Edit Service (see Editing a Service Set below) to set its name, default teams, time preferences, preferred days, special equipment, and special instructions.

Creating a service set without a quote

Use Create Service Set when the price is already agreed — for example, after an in-person walk-through — and you don't need to run a quote.

  1. In the Services section of the property, click Create Service Set.
  2. Fill in Name, Scope Group, Scope of Work, and Default Start Time. Default Team(s), Special Instructions, and Special Equipment are optional.
  3. Click Create Service Set.
  4. The Edit Base Fee drawer opens for the new service set. Enter the Base Fee Amount and Allowed Hours, choose the Service Type, and click Save Changes. Hourly Rate appears only when the service set's scope of work bills hourly. Enter it there; flat-rate services are charged the Base Fee Amount.

No quote or job is created. Schedule jobs from the service set afterward.

note

If you close Edit Base Fee without saving, or it does not open because you don't have permission to edit service sets, the service set is still created and its rate stays at $0. Set it later from Editing the Base Fee.

Viewing Service Set Details

Click a service set card to expand it. The expanded view has two areas side by side.

Service Details (left side)

The Service Details card shows:

  • Scope — Scope group and scope of work (if configured)
  • Team — Default team name
  • Hours — Estimated visit duration
  • Start Time — Default start time
  • Booked By — The team member who originally booked the service

Below the stats, a Service Instructions section shows any special instructions, equipment notes, and time preferences saved for this service. If none are saved, the section shows a placeholder.

Two tabs appear inside the card:

  • Overview — Shows service stats, scope, and instructions
  • Rooms — Shows the rooms included in this service (from the Room Master)

Line Items (right side)

The line items table shows the full breakdown of the service charge.

RowDescription
Base ServiceBase hours and fee. Click View history to see past rate changes.

The footer shows the total Duration and Total charge.

Modifying the Schedule

The schedule controls when recurring jobs are generated. To change the schedule:

  1. Expand the service set card.
  2. Click Modify Schedule.
  3. This opens the schedule editor where you can adjust the next job date, recurring pattern, or skip rules.
note

Changing the schedule affects future jobs only. Past jobs are not affected.

Managing Fees

Editing the Base Fee

The base fee is the main charge for the service.

  1. Expand the service set card.
  2. In the line items table, click the pencil icon next to Base Service.
  3. Update the rate and hours, then save.

Hourly Rate appears only when the service set's scope of work bills hourly. Enter it there; flat-rate services are charged the Base Fee Amount.

If Service Type is empty, choose one. Save Changes stays unavailable until you do.

A View history link below the base service line opens the fee history dialog, which shows every rate change for this service set.

Adding an Add-on

Add-ons are extra charges on top of the base fee — for example, a pet fee or a holiday surcharge.

  1. Expand the service set card.
  2. In the line items table, click Add Add-on.
  3. Fill in the add-on name, amount, frequency, and any time adjustment.
  4. Save the add-on.

Editing an Add-on

Click the pencil icon next to any existing add-on in the line items table to open the fee editor.

Deleting a Service Set

warning

Deleting a service set is permanent. If the service set has associated jobs, you must delete or reassign those jobs first.

To delete a service set:

  1. Expand the service set card.
  2. Find the delete option in the service actions.
  3. Confirm the deletion in the dialog.

If the service set has existing jobs, a message will tell you to handle those jobs before you can proceed.

Tips

  • Name services clearly. Names like "Weekly Standard" or "Bi-Weekly Deep Clean" help your dispatch team understand the scope at a glance, without opening the full details.
  • Set time windows for every service. Even if a customer is flexible, setting reasonable Earliest/Latest start times gives the scheduler clear boundaries and reduces scheduling conflicts.
  • Use Special Instructions for team-specific information. Notes like "Use the key in the lockbox" or "Dog is friendly, gate code is 1234" save your team time on every visit.
  • Use Special Equipment for recurring needs. If a customer requires specific products or tools, document them here so nothing is forgotten.
  • Review inactive service sets regularly. A service showing "inactive" means no future jobs are scheduled. This may be intentional (seasonal), or it may indicate a missed renewal or a scheduling gap that needs attention.
  • Add-ons should match the invoice scope. Each add-on in the line items table flows through to the invoice. Keep them accurate so invoices reflect exactly what was agreed.
