Add Payment Method Drawer

The Payment Methods drawer lets you view all saved cards and bank accounts for a customer, and add new ones. Saved payment methods are used for auto-pay and are pre-filled when you collect a payment manually.

note

This feature requires a payment integration to be configured for your company. If you do not see the Payment Methods section on the Billing tab, contact your administrator to set up the payment processor.

Who Can Access This

Only Administrators can view and add payment methods by default.

A custom role can be given payment access by your administrator.

Where to add a payment method for a customer

  1. Go to Office > Contacts.
  2. Click a customer's name to open their detail workspace.
  3. Select Billing from the left navigation.
  4. Scroll to the Payment Methods section.
  5. Click Add Payment Method to open the drawer.

If the customer has no payment profile on file, the drawer opens directly to the card entry form.

You can also open the drawer from the Payment & Billing card on the customer's Overview tab: expand the card and click Add Payment Method. The new card shows as the card's Default Payment Method right away.

Viewing Saved Payment Methods

When the customer has saved methods on file, the drawer opens to the Payment Methods list. Each row shows:

  • Card type — Credit Card, Debit Card, or Bank Account
  • Last four digits — The last four digits of the card or account number
  • Expiration date — For cards; bank accounts do not have an expiry
  • Default badge — The method currently used for auto-pay and the Pay Now shortcut

Expired cards appear in the list but are disabled. They cannot be used to process payments. Remove expired cards and replace them with updated card details.

To add a new method, click Add Payment Method at the top of the list. This opens the card entry form within the same drawer.

Adding a Payment Method

Card Details

The card entry form uses a secure, embedded card input provided by your payment processor. Card details — such as the card number, expiration date, and CVV — are entered directly into this secure form and are never stored on MaidCentral Pulse servers.

How to enter card details:

  1. Click inside the card entry area.
  2. Enter the card number, expiration date, and CVV.
  3. The Save Card button becomes active once the card details are accepted by the payment processor.

Before you enter card details, the button reads Enter Card Details. After the card is validated by the payment processor, it changes to Save Card.

Billing Address

Below the card entry area, a collapsible Billing Address section lets you associate an address with the card. This address is sent to the payment processor for address verification.

The section pre-fills with the customer's default billing address if one is on file. You can update any field before saving.

Billing Address fields:

FieldNotes
Address Line 1Street address (required)
Address Line 2Unit, suite, or floor (optional)
City(required)
StateState abbreviation or region (required)
Postal CodeZIP or postal code (required)
CountryDefaults to USA (required)

Saving

Click Save Card to save the payment method. The drawer closes and the new card appears in the Payment Methods list on the Billing tab.

Click Cancel to close the drawer without saving. No changes are made.

note

This feature may need to be turned on for your company. If you don't see Send Card Link, contact your administrator.

If you can't collect a card in person or over the phone, you can send the customer a secure link to add their own card — no visit to Pulse required on their end.

To send a card capture link:

  1. On the customer's Billing tab, under Payment Methods, click Send Card Link.
  2. Pulse creates a secure, single-use link that expires in 7 days and opens Pulse Connect.
  3. To share it yourself, click Copy Link.
  4. To send it, choose Email or SMS (or both). The To field is filled in with the customer's primary email address (for Email) and primary cell phone number (for SMS) from their contact information. Home and business phones aren't used for texts, and an email address or number the customer unsubscribed is skipped. Remove it or type a different address or number if needed.
  5. Click Send Card Link.

The drawer shows the link itself and when it expires. Each link is single-use — once the customer saves a card, the link can't be used again. The customer enters their card on a secure page outside Pulse using your payment processor's tokenizer; the card number never touches MaidCentral's servers, and no charge is made.

Tips and Best Practices

  • Keep the default method current. The default payment method is charged automatically for auto-pay. If a customer gives you a new card, add it and set it as the default on the Billing tab before their next billing cycle.
  • Remove expired cards promptly. Expired cards stay in the list but block auto-pay if they are the default. Swap them out as soon as a customer provides updated information.
  • Use the billing address to improve approval rates. Some payment processors check the billing address against the card issuer's records. Filling in the correct address reduces the chance of a declined charge.
  • Add the method before the first service. Adding a card at customer setup means your team is ready to collect payment right after the first job — no scrambling to gather card details later.
