Managing Customers

Use the Contacts module as your main customer CRM workspace in MaidCentral Pulse. This is where office teams search accounts, review lead progress, open full profiles, and launch common actions like scheduling or adding notes.

Who Can Access This

RoleAccess Level

SalesView and edit customers
HR AdminView and edit customers
Payroll AdminView and edit customers
TechnicianNo access — technicians see the customer details for their own jobs in the technician portal
note

What you see can change by tenant feature settings. For example, advanced table controls, campaigns, and bulk actions are feature-gated.

Where to Find It

  1. Open the left navigation.
  2. Go to Office > Contacts.
  3. Start in the default Table view.

The page keeps key state in the URL (like status and view mode), so refreshes and shared links keep context.

What This Area Covers

The Contacts module is split into two levels:

  • List level: Search, filter, and triage large groups of customers and leads.
  • Record level: Open one contact and work through profile sections like service locations, jobs, notes, billing, agreements, and attachments.

The top toggle lets you switch between:

  • Customers: Your active customer base.
  • Leads: Pipeline records and pre-conversion prospects.
  1. Start in Customers to check active accounts and service load.
  2. Switch to Leads to review pipeline and new opportunities.
  3. Use search and global filters to narrow to the exact segment.
  4. Open a contact profile for deeper work.
  5. Add notes, update details, or schedule from the profile.

Actions You Can Trigger Quickly

From the list and profile areas, your team can quickly:

  • Open full profile pages
  • View upcoming jobs
  • Schedule work from the Property & Service Manager
  • Add notes and reminders
  • Run bulk actions (when enabled)
  • Send a bulk email or text to selected customers (see Sending Bulk Messages)

Tips for Data Quality

  • Keep contact methods current so text/email actions work reliably.
  • Record notes right after calls or route changes.
  • Use status + date filters together for cleaner lead follow-up.
  • Review billing addresses in profile pages before invoice runs.

Troubleshooting

I can open Contacts but some controls are missing

This is usually feature or role gating.

  1. Confirm your role has the needed permission (read/create/update/delete level).
  2. Ask an admin to verify tenant feature enablement for Contacts sub-features.
  3. Refresh after role or feature updates.

I can find the contact in one view but not another

That usually means filters or status context differ.

  1. Check Customers vs Leads selection.
  2. Clear global filters and search term.
  3. Retry in table view first, then open detail.
