Quotes and Agreements
The Quotes & Agreements tab shows a customer's agreements and quotes. Your team can see the agreement history and review quote pricing without leaving the customer record. In the Classic customer layout, the same tab is named Quotes.
This tab behaves differently depending on whether you are viewing a customer or a lead. Customer records show one quote at a time, with buttons to switch between quotes. Lead records show the single quote tied to that lead, with its pricing already visible.
Who Can Access This
| Role | Access Level |
|---|---|
| Administrator | Full access: view, create, update, delete, and convert quotes |
| Office Manager | View, create, update, and calculate; no delete or convert |
| Sales | View, create, update, and calculate; no delete or convert |
| HR Admin | View, create, update, and calculate; no delete or convert |
| Payroll Admin | View, create, update, and calculate; no delete or convert |
| Field Technician | No access. Quotes are not visible to this role. |
The tab appears only when quoting is turned on for your company. If you don't see it, contact your administrator.
How to Open the Tab
- Go to Office > Contacts.
- Click a customer's name to open their detail workspace.
- Select Quotes & Agreements from the left navigation (in the Classic layout, select the Quotes tab along the top). On a lead record, the tab is named Agreements.
Summary Cards
At the top of the tab, three cards give you a quick snapshot:
| Card | What it shows |
|---|---|
| Active Agreements | Number of agreements on file for this customer |
| Total Quotes | Number of quotes created for this customer |
| Quote Value | Total dollar value across all quotes |
Lead records do not show these cards.
Agreements Card
The Agreements card lists the customer's agreements.
Each agreement row shows:
- Agreement name: the name of the agreement type, for example "Service Agreement".
- Status badge: accepted (green) when the customer has accepted the agreement, or sent (amber) when it was sent but not accepted yet.
- Date line: "Accepted" with the date and the IP address the customer accepted from, or "Sent" with the date it was sent.
- View: opens the agreement in a window. An accepted agreement shows its full text. If no text was captured, the window reads "No agreement text was recorded for this agreement." An agreement that is not accepted yet explains that the terms are captured when the customer accepts.
- Resend Agreement Email: sends the original agreement email to the customer again. This button shows only when Messages is turned on for your company, your role can send messages, and the agreement came from a quote. The To field is filled in with the customer's primary email address from their contact information, skipping any address the customer unsubscribed. Remove it or type a different address if needed.
If no agreements are on file, the card reads "No agreements found for this customer."
Send Agreement Link
This feature is in beta and may need to be turned on for your company. Send Agreement Link also requires permission to update customers. If you don't see it, contact your administrator.
Instead of collecting a signature in person, you can send the customer a secure link where they review and accept the agreement themselves.
To send an agreement link:
- Open the Quotes & Agreements tab and click Send Agreement Link in the Agreements card header.
- In the drawer, click Copy Link to copy the secure link and share it with the customer yourself.
The drawer also lists Send via Email and Send via SMS, marked Coming soon. These aren't available yet, so use Copy Link and send the link through your own email or text message for now.
The customer opens the link on a page outside Pulse, reads the agreement terms, and accepts. Once accepted, the link becomes read only and the customer can print their copy. In the Agreements card, the agreement then shows the accepted badge.
Quote Card
For Customer Records
The Quote card shows one of the customer's quotes at a time. It opens on the newest quote, or on the quote you just saved when you got here from View Customer on the quote page. When the customer has two or more quotes, a row of buttons under the card title shows one button per quote (its number and status); click a button to show that quote.
The card header shows:
- The quote's status badge, beside the Quote title. Statuses that include "Booked" show a green badge; every other status shows a neutral badge.
- A details line with the quote number, the date it was created, the frequency (when one is set), and the job rate.
The pricing for the quote you are viewing shows inside the card, below the header. If the quote has no pricing yet, the card reads "No quote details on this quote yet." If the customer has no quotes, it reads "No quotes found for this customer."
To open the quote, click View Quote Details in the card header (shown when Sales Pipeline is turned on for your company). It opens the quote's lead page, where the quote can be edited.
To quote this customer again, click Create Quote in the card header. It opens the Full-Page Estimate with the customer already selected, so you can pick one of their saved homes (or enter a new address), price the service, and save or send the quote. Create Quote appears only when requoting an existing home is turned on for your company.
For Lead Records
Lead records show an Agreements card and a Quote Details card instead of the Quote card.
The Agreements card reads "Agreements will be available once this lead is converted to a customer." until the lead becomes a customer.
Since a lead has exactly one quote, the Quote Details card shows its pricing groups directly. This card appears only when the quote has pricing details.
Pricing Matrix
For the quote you are viewing (customer records) or a lead record, you see the full pricing matrix.
The pricing is split into pricing groups. Each group is a row you can open or close, labeled with its service types joined by "+" (for example, "Standard Cleaning + Deep Clean") and the date and time it was created. Groups start open. When there are two or more groups, Expand all and Collapse all buttons appear above them.
Inside a group, each service type has its own table:
| Column | Description |
|---|---|
| Service type name | The first column header is the service type's name. Each row below it is a frequency (Weekly, Biweekly, Monthly, and so on). |
| FIRST JOB | Price and estimated time for the first clean |
| RECURRING | Price and estimated time for ongoing cleans |
Each cell shows the price with the estimated time below it. A cell with no price or time shows a placeholder mark instead.
- Selected options: a price the customer chose shows in bold green. When the first job option for a frequency is selected, that row shows an Interested badge.
- Booked frequencies: a frequency that was booked shows in bold with a Booked badge. Hover over the badge to see when it was booked.
- Adjusted prices: if a price differs from the base rate (for example, for home complexity or add ons), a small info icon appears. Hover over the price to see the base rate and the rate modifications applied.
Tips and Best Practices
- Check the status badge before calling. A quote that is not booked yet may still need a follow up.
- Review the pricing before you requote. The pricing matrix shows which frequency the customer showed interest in, so you can start the new quote from there.
- Use the accepted date to verify compliance. If your company requires an accepted agreement before starting service, the Agreements card lets you confirm it is on file quickly.
- Keep agreements up to date. When service terms change, send the customer a new agreement link so their file reflects the most current version they accepted.
Troubleshooting
| What you see | Solution |
|---|---|
| The Quotes & Agreements tab is not visible | The tab appears only when quoting is turned on for your company. Field Technicians do not have access. Contact your administrator. |
| Quote pricing shows no details | The pricing matrix is only available when pricing has been entered in the quote. If a quote was created without prices, the customer's Quote card shows "No quote details on this quote yet." |
| The Agreements card is empty | No agreements have been collected for this customer. Agreements appear here when the customer accepts one, for example through Send Agreement Link. |
| Quote card says "No quotes found for this customer." | No quotes have been created for this customer. Use Create Quote (when it is turned on for your company) or create a quote from the lead workflow. |
| I want to edit a quote | Quotes are not edited on this tab. Click View Quote Details to open the quote's lead page. |
| I don't see Send Agreement Link | This feature is in beta and may not be turned on for your company yet, or your role cannot update customers. Contact your administrator. |
| The agreement link shows as invalid or expired to the customer | Generate a new link from Send Agreement Link and share it again. |
