Managing Rooms

Rooms in MaidCentral Pulse work at two levels. The Room Master is a property-level library of every room in a home. Service Set Rooms are the rooms pulled from that library and assigned to a specific recurring service. Together they drive accurate time estimates, per-room pricing, and automated deep-clean tracking.

This article covers both levels — how to build and maintain the Room Master and how to assign those rooms to a service set.

Part 1 — The Room Master

The Room Master is the complete list of rooms for a specific property. It acts as the source of truth that service sets draw from. Every room you want to track — whether it will be cleaned on every visit or only occasionally — must exist in the Room Master first.

Where to Find the Room Master

  1. Go to Office > Contacts and open a customer record.
  2. Select Service Locations from the left navigation.
  3. Click a property card to expand it.
  4. In the Property Details card, open the Room Master accordion section.

How Rooms Are Organized

Rooms in the Room Master are grouped by their Room Type — a category you set when adding the room. The two primary categories are:

CategoryExamples
Wet RoomsKitchens, bathrooms, laundry rooms — rooms with plumbing fixtures
Dry RoomsBedrooms, living rooms, offices, hallways — rooms without plumbing

The room table shows the following columns for each room:

ColumnDescription
RoomThe room's name
LocationWhere in the home the room is (for example, "1st Floor" or "Basement")
DCDeep Clean setting: A (Always), R (Rotate), or N (Never)
Last DCThe date this room was last deep cleaned
TimeAllowed cleaning time for this room, in minutes
FeeThe per-visit fee for this room
ActionsEdit button for that room row

Adding a Room to the Room Master

Rooms are added from your company's room templates.

  1. In the Room Master section, click Add Room.
  2. The Add Rooms drawer opens with your company's room templates, grouped into Wet Rooms and Dry Rooms. Use the search box or the All, Wet, and Dry filters to narrow the list.
  3. Select each room you want to add. Use the quantity control on a selected room to add more than one of the same room (for example, three bedrooms), or use Select all.
  4. Click Add to save. The rooms appear in the Room Master table.
note

Each new room gets the template's name and room type. Its location starts out the same as the room name, its fee and allowed time start at zero (unless Request Room Scope Defaults is turned on, see Why do my Request Rooms show no time or fee?), and its deep-clean setting starts at Rotate. Edit the room afterward to set the location, fee, allowed time, and other details (see below).

If the drawer shows No room templates available, your company's room templates have not been set up yet, or all of them are inactive. They are configured in Settings > Quoting & Scopes > Rooms.

On the Classic Home Details page, the Room Master works differently: choose a room from the - Add Dry Room -, - Add Wet Room -, or - Add Other Room - dropdown and it is added right away. See Classic Experience Mode.

Editing a Room

Editing a room opens a drawer with two sections: Room Definition and Service Details.

To edit a room:

  1. Click the pencil icon on any room row in the Room Master table.
  2. The Edit Room drawer opens.

Room Definition fields:

FieldDescription
Room NameUpdate the room's name (up to 50 characters)
LocationUpdate where in the home this room is
Room TypeChange the room type classification

Service Details fields:

FieldDescription
Room Fee ($)The dollar amount charged for this room per visit
Allowed Time (min)How many minutes the cleaning team is allotted for this room
Deep Clean RotationControls when deep-clean tasks run for this room — see Deep Clean settings below
Last Deep CleanThe date this room was most recently deep cleaned — used by the Rotate setting
Details of WorkNotes or special instructions specific to this room
  1. Make your changes and click Save Changes.

Deep Clean Settings

The Deep Clean Rotation field controls whether extra deep-cleaning tasks are included when this room appears on a job.

SettingCodeWhat it means
AlwaysAEvery visit includes deep-clean tasks for this room
RotateRThe system decides based on the Last Deep Clean date — rotates deep cleans across visits
NeverNDeep-clean tasks are never included for this room

Use Rotate for most rooms. This lets the system spread deep cleans automatically across scheduled visits. Use Always for rooms that need extra attention every time, and Never for rooms that are always quick and don't need deep-clean extras.

Deleting a Room

Rooms can be deleted from the Room Master when they no longer exist in the property (for example, after a renovation). Use the delete option in the room management interface.

warning

Deleting a room from the Room Master permanently removes it. If the room is linked to a service set, removing it from the master may affect the service's scope. Check your service set rooms before deleting.

Part 2 — Service Set Rooms

Service Set Rooms are the subset of the Room Master that a specific service actually cleans. Each service set has its own room list. Adding a room to a service set means that room gets cleaned (and billed) on every visit for that service.

Where to Find Service Set Rooms

  1. In the Service Locations tab, expand a property.
  2. Expand a service set card.
  3. Select the Rooms tab inside the expanded service set.

How Service Set Rooms Are Organized

Service set rooms are grouped into cards by category:

CategoryColorDescription
Wet RoomsBlue badgeRooms from the Room Master classified as wet — included in this service
Dry RoomsAmber badgeRooms from the Room Master classified as dry — included in this service
OtherGray badgeOther included rooms
Request RoomsPurple badgeRooms in the Room Master that are not yet included in this service — available to add

Room Table Columns

For each included room (Wet, Dry, Other), the table shows:

ColumnDescription
RoomThe room name from the Room Master
Last DCThe date this room was last deep cleaned
DCThe deep-clean rotation setting for this room in this service set
TimeAllowed cleaning time in minutes
FeePer-visit fee for this room
RemoveTrash icon to remove the room from this service set

For Request Rooms (not yet included), the table shows:

ColumnDescription
RoomThe room name
TimeAllowed cleaning time
FeePer-visit fee
AddPlus icon to add the room to this service set

Why do my Request Rooms show no time or fee?

A room with no time or fee shows - and $0.00 in Request Rooms. When a room is added to the Room Master, or removed from a service set, and it has no time or fee yet, Pulse fills them in from that room's setup in Settings → Scopes of Work:

  • Time comes from the room's minutes in the scope.
  • Fee is that time at the service's hourly rate, or the scope's hourly rate for a fixed-price service. For example, a Kitchen set to 30 minutes on a $60/hour service gets a $30.00 fee.

When the home has more than one service, services with upcoming visits are used first, and among those a recurring service's scope wins (one-time and on-demand services are not recurring). Otherwise the larger time is used. A room that already has a time or fee is never changed, and rooms that were already at no time and no fee fill in the next time they are removed from a service set. To change the values, open the room's Edit Room drawer from the Room Master.

This feature may need to be turned on for your company. If Request Rooms still show no time or fee, contact your administrator.

Room Photos

Each included room (Wet, Dry, or Other) has a Photos column that shows how many photos are attached to that room. Photos help your team see the actual space before a visit — useful for identifying fragile items, layout quirks, or areas that need special attention.

To upload a photo:

  1. Open the Rooms tab for the service set.
  2. Click the vertical ⋮ menu on the right side of the room's row.
  3. Select Upload Photo.
  4. Choose an image file from your device. JPEG, PNG, WebP, and GIF files are accepted, up to 10 MB.
  5. The photo uploads and the Photos count updates for that room.

To delete a photo:

  1. Click the vertical ⋮ menu on the room's row.
  2. Each attached photo is listed by its title (or "Photo #" and its ID if it has no title).
  3. Select the photo you want to remove.
  4. The photo is deleted immediately and the Photos count updates.
note

Room photos are attached to a room within a specific service set, not to the Room Master. If the same room is included in more than one service set, upload photos separately for each one.

Adding a Room to a Service Set

Request Rooms are rooms that exist in the Room Master but haven't been added to this particular service yet. To add one:

  1. Open the Rooms tab for the service set.
  2. Find the room in the Request Rooms section.
  3. Click the + button on the right side of that room's row.
  4. The room moves from Request Rooms into the appropriate included room category (Wet, Dry, or Other).

Removing a Room from a Service Set

  1. Open the Rooms tab for the service set.
  2. Find the room in the Wet, Dry, or Other section.
  3. Click the trash icon on the right side of that row.
  4. The room moves back to the Request Rooms section and is no longer included in this service.
note

Removing a room from a service set does not delete it from the Room Master. The room stays on the property — it just won't be cleaned as part of this service until you add it back.

How the Two Levels Work Together

The Room Master and Service Set Rooms are designed to give you flexibility. A property might have ten rooms, but one service set covers the main living areas (five rooms) while another service set covers the full home (all ten rooms). Both services share the same Room Master — you just configure which rooms each service includes.

Here is the typical workflow:

  1. Add rooms to the Room Master first. The Room Master must have all rooms before they can be assigned to a service.
  2. Edit each room to set the fee and time. These values carry through to the service set's line items and pricing.
  3. Open the service set's Rooms tab. Select which rooms from the Room Master belong to this service.
  4. Set the Deep Clean rotation per room. Adjust the DC setting for each room based on how frequently it needs deep cleaning.

Tips

  • Name rooms with enough detail to be useful. "Bathroom" is vague on a home with three bathrooms. "Main Bathroom (1st Floor)" and "Master Bathroom (Upstairs)" are clearer for your team.
  • Use the Location field to help technicians. Technicians see the location on job details. Good examples: "1st Floor", "Basement Level", "Upstairs Hall".
  • Set room fees when editing, not when adding. Fees can be $0 on creation and updated later. Don't leave them at $0 permanently — they flow directly into the service set's line items and affect billing accuracy.
  • Use Rotate for most rooms. Always and Never are edge cases. Rotate gives the system the information it needs to spread deep-clean tasks intelligently across a customer's service visits.
  • Set the Last Deep Clean date when taking over an existing customer. If you know when a room was last deep cleaned, record that date so the Rotate system starts with accurate data.
  • Request Rooms are your "bench." They show you what's available on the property but not yet in this service. This makes it easy to add or remove rooms as a customer's needs change without deleting anything from the Room Master.
  • Each service set has its own room list. Changes to the Rooms tab on one service set don't affect other service sets for the same property.
  • Removing a room from a service set doesn't affect pricing on past jobs. Historical jobs retain the line items they were created with.
  • Use room photos to set expectations. A quick photo of a room's layout or a fragile item helps your team prepare before they arrive.
