Technician Mobile Workflows

Use this guide for day-of-service mobile execution in the technician portal.

Typical technician flow

  1. Review assigned jobs and route order on the dashboard
  2. Send an "On The Way" notification to the customer before departing
  3. Open job details and service notes
  4. Update job progress and completion status
  5. Capture communication updates when needed
  6. Review your payroll at the end of the pay period

Send "On The Way" notifications

Technicians can notify customers that they are en route. This feature is available from the dashboard job list and from individual job detail pages.

  1. Tap a job on the dashboard or open the job detail page.
  2. Select Send "On The Way".
  3. Enter your estimated minutes until arrival. The dialog shows a calculated arrival time based on the current time.
  4. Tap Send to deliver the notification to the customer.

Once a notice goes out, the button relabels itself to Notified with a checkmark so you can see at a glance that the customer already knows you're on your way — it won't let you send a duplicate. If the customer was given an arrival time, the job detail page also shows a Promised Arrival line with the time they were actually told. If nothing could be sent (for example, the customer has no notification method on file), the dialog stays open and shows why.

note

The On The Way button only appears when the On The Way Notification feature is enabled for your company, and only for jobs where the customer has a notification method (phone or email) on file.

Contact the customer

From a job's detail page, tap Contact to open a sheet with the customer's available contact options:

  • Call — dials the customer's phone directly from your device
  • Text — opens a text message to the customer's phone
  • Email — opens an email to the customer's address

Only the methods the customer has on file (and that your company has enabled you to see) appear in the sheet.

Track your time on each stop

Each job on your Today's Stops list shows your own clock-in and clock-out time for that stop inline on the card, along with a status pill:

  • Approved — your time for that stop has been reviewed and accepted.
  • Rejected — your time was reviewed and the change was turned down; the office's reason is shown on the request and in your inbox.
  • Pending review — your time is waiting on office review.
  • Request change — appears as a button when you want to flag a time as wrong; tap it to open a correction request for that entry.

Your My time today row at the top of the dashboard still shows your overall clock-in/out for the day. Tap More for a full recap of the day, including breaks and events.

Clock in for the day before you check in to a job or event. Until you do, check-in is blocked with a message asking you to clock in for the day first. Opening a job is blocked too: you see Clock in to view this job, or You're on a break if a break is still running, unless your company turned on Future Job Visibility or you also hold the Office role.

Why can't I request a time change for last week?

A time change can't be requested once the payroll period that covers it has been closed, because that pay has already been processed. Ask the office to correct the time instead. Time change requests you or a teammate submit are always reviewed by the office, never by a technician.

Review a time change the office made

If the office edits one of your clock times directly, the change needs your review before it takes effect. A Needs your approval card appears at the top of your dashboard listing every change waiting on you, with the original and requested times.

  1. Tap Approve to accept the new times — they take effect right away.
  2. Tap Reject to turn it down. Enter a reason; it's required.

When rejecting, if there's an original time on record, you can also enter your own corrected clock-in and clock-out time instead of leaving it as-is. That submits a time change request of your own for the same entry, reviewed by the office the same way as a Request change you start from a job. Leave the corrected times blank to just reject.

Review your time before clocking out

Some companies turn on an extra review step when you clock out. If it's on for your company, tapping Clock out opens Review your time first — a summary of your clocks for the day where you can double-check each entry and tap Request change on anything that looks wrong before continuing.

note

This step is controlled by the Time Review on Clock-Out feature, which is off by default. If your company hasn't enabled it, tapping Clock out proceeds straight to your end-of-job questionnaire as usual — the inline stop times and status pills above are always shown either way.

End a break from a job or event

If you're on a break, a card shows the break name and how long you've been on it — on the dashboard, and now also on a job's or event's single view. Tap End break on that card to end it and return to work.

note

End break is available when the Break In / Out feature is enabled for your company, which it is by default.

Manage your team from a job

Once you're checked in to a job, Manage team on the job page checks a teammate in to the same job. It shows only when your company lets you pick teammates at check-in and someone on your team isn't checked in to this job yet.

  1. Tap Manage team on a job you're checked in to.
  2. In Check in a teammate, check the teammates to add under Crew on this job.
  3. Tap Check in.

To check a teammate out, tap Check out and check them under Crew on this job. Uncheck yourself to check out only the teammate and keep your own time on the job running. If you don't see the crew list, your company hasn't turned this on, and each teammate checks out on their own phone.

Manage team under Team today on the dashboard is different: it clocks teammates in or out for the day and starts or ends their breaks, if your company allows it.

Whether you can do any of this depends on settings your company controls. With one of them off, your whole crew is checked in with you automatically when you check in. See Can one technician check in or clock in the whole team?

Open a job or event's single view

Tapping into a job or event shows an updated single view. A job opens only after you clock in for the day, unless your company turned on Future Job Visibility or you also hold the Office role.

The single view:

  • The header shows the scheduled date and a start–end time window, and the job's Zone name with its color dot, if one is assigned.
  • If the customer has left scorecards before, the newest one is marked with a Most recent pill and date.
  • Room badges are simplified to Deep clean, Every visit, or Skip.
  • The Service set card includes the service's description, along with its billing type and terms.
  • The checkout button reads Check out and notify customer when the job requires a customer notification, or just Check out otherwise.
  • The back control reads Today when you came from today's stops, or Back otherwise, and always returns you to your dashboard on the right date.
  • Once your company closes payroll for a job's pay period, that job's address, access codes and home instructions stay available for 7 more days. After that the job still shows, but those details read no longer available, and your route and payroll for that period no longer show the job's address.

Can I see the customer's preferred arrival time?

Yes. On a job's single view, the Service set card has a Time preference line when the office has saved one for the customer's service:

  • Preferred and a time range: the window the customer wants you to arrive in.
  • Excluded and a time range: a window when you shouldn't arrive.
  • · required after the range: the customer's preference is strict, not just a wish.

If there's no Time preference line, no preference is saved. The office sets it on the customer's service. See Editing a Service Set.

Can I see what the customer will be notified about?

Yes. On a job's single view, a Customer Notifications card lists which events (for example, Job Started or Job Completed) the customer is signed up to be notified about, and by which channel — text or email — so you know what the customer will see. This is read-only; the office manages a customer's notification subscriptions.

Can I see my teammates' time change requests on this job?

Yes. On a job's single view, a Time change requests card lists every teammate's time change requests tied to this job, each with its status — Pending, Approved, or Denied. This is a read-only view, so you can see where a request stands without asking the office. See Track your time on each stop to submit your own.

Review your payroll

The Payroll page in the technician portal gives you a read-only view of your closed pay periods.

  1. In the left navigation, tap Payroll.
  2. Select a pay period from the dropdown.
  3. Review your Pay period earnings total and KPI cards (Clock Hours, Jobs, Days Worked).
  4. Scroll to the Pay Breakdown card for a line-by-line wage calculation.
  5. In the Day-by-Day Breakdown, tap any day to expand its job entries, clock entries, and additional pay. Days are grouped by week with a week total, so you can scan a full week at a glance.

For more detail, see Technician Portal Payroll.

Check your attendance stats

On the Earnings tab, below your pay summary, pick a date range — This month, 30 days, 90 days, 180 days (the default), This year, or 365 days. The stat cards below update to that range and show your Scheduled, Worked, Absent, Time off, Excused, Unexcused, and Late days (each with the share of your scheduled days it represents), your PTO days and PTO accrued hours, your Attendance score, and — if your company tracks sick time separately from PTO — your Sick days and Sick accrued hours.

What's on your Profile tab

If your Profile tab is turned on for you, it shows:

  • Your name, photo, and Employee ID
  • Your overall scorecard average and count, if you have any scorecards
  • Your PTO and sick time balances
  • Skills and Tags your company has assigned to you, if any
  • Productivity — your time-on-jobs percentage, job count, and days worked over a recent window, if your company tracks it
  • Scorecards received — your full scorecard history, if your company collects scorecards
  • Account options to update your contact methods or change your password

Get help or company resources

Tap your avatar to open your user menu. It can include:

  • Resources — opens a link to resources your company has provided, in a new tab, if your company has one set up
  • Help — opens the MaidCentral help center in a new tab, when your company has turned it on

Both are optional and only appear when your company has enabled them.

Upload an excuse for an absence

If you missed a day and have a doctor's note or similar document, you can send it to the office yourself:

  1. Tap Me in the bottom bar, then the Attendance tab.
  2. On the attendance calendar, tap the red (Unexcused) day.
  3. Tap Upload excuse and choose a photo or a PDF.

The day then shows Pending review and a View document link. The office approves or denies it. If it is denied, you see Denied and the office's comments, and you can upload a new document. Uploading a new document starts the review again. Once it is approved, the day shows Approved and becomes an excused absence.

This feature may need to be turned on for your company. If you do not see it, contact your office.

Switch to the Office Portal

If you hold an office role in addition to Technician (for example, you're also an Administrator or Office user), your user menu includes an Office Portal link. Tap your avatar, then tap Office Portal to switch over. Technician-only users don't see this link.

Other portal features your company can turn on or off

Your administrator controls which technician portal features are visible to you individually, in Settings > Technician Access. This includes whether you can request time off from the portal, whether teammate efficiency percentages show on Team Today, and whether your Profile tab is available — so you may not see all of the features in this guide if your company has turned one off.

Is Spanish supported?

Yes. The MaidCentral Technician App supports Spanish.
