Contacts Table and Map Views

The list page gives you two working modes: Table for high-volume operations and Map for location-based planning.

Start in the Table View

Table view is best for daily operations, because it supports:

  • Fast search across names and emails
  • Server-side paging for large datasets
  • Sort and filter controls
  • Quick actions on each contact row
  • Bulk action bar (when multiple rows are selected)

Switch Between Customers and Leads

Use the segmented control in the toolbar:

  • Customers: pulls customer records from the customer endpoint.
  • Leads: pulls lead records from the lead endpoint.

This matters because column behavior changes slightly for leads (for example, property and weekly rate display).

The Leads tab starts with Quote Status set to Needs Contacted, Contacted, Quoted, and Follow Up. To find leads that were booked or closed, open Filters and tick Booked or Closed under Quote Status. The table and the Map view both list them. If you clear Quote Status, every lead is listed, booked and closed ones included. A booked lead is also a customer, so it shows under Customers too.

To see how long a lead has been in its current status from the list, switch to Leads and look at the Status column: a small line under the status badge shows the time in that status (for example, 5d in status), the same number as In status on the lead's page. The count starts the day the lead is created, so only a lead with no recorded status history shows the badge alone.

On the Leads view, hover a lead's Created date to see how it was created, such as via Pulse Office; leads with no recorded source show via Unknown.

Adding a contact

Add Contact creates a customer or a lead without running a quote.

  1. Click Add Contact in the Contacts toolbar.
  2. Under Contact type, choose one. Lead is selected by default:
    • Customer: creates a customer record. You can add properties and service sets to it without a quote.
    • Lead: creates a lead in your sales pipeline.
  3. Enter at least a first name or an email address. Everything else is optional.
  4. To record more phone numbers or email addresses, pick a type from Add Additional Contact Info and fill in the new row.
  5. Choose a Customer Source and any Customer Tags if you use them.
  6. Under Property address (optional), start typing the address and pick a suggestion, or click Enter address manually. For a customer, if the ZIP or postal code is not in one of your service zones, pick a Zone for the property. A lead keeps whatever address you enter.
  7. Click Create Customer or Create Lead.

A Customer opens on its record. If you entered an address, the property is already listed under Service Locations, and the same address is saved as the customer's default billing address on the Billing tab. From there you can create a service set without a quote.

A Lead appears under Leads with the address you entered.

Need pricing or a booking instead? Click Need a quote or a booking? Open the full quote page at the bottom of the drawer.

note

This feature may need to be turned on for your company. If Add Contact opens the full quote drawer instead of the Contact type choice, contact your administrator.

Use Simple vs Advanced Table Mode

If advanced mode is enabled for your tenant, you can switch between:

  • Simple: essential columns for speed.
  • Advanced: adds value, next action, owner, lead source, LTV, and health columns.

If you do not see this toggle, your company likely has that sub-feature disabled.

Use these together for best results:

  1. Enter a name or email in the search box.
  2. Choose Customers or Leads first.
  3. Open the filter drawer and pick your filters (the full list is in the next section).
  4. Clear all filters if results look unexpectedly small.

Get a list of customers

Use filters to narrow the Contacts list to the group you want. The number beside Customers at the top updates as you filter, so it doubles as a quick count.

Filters on the Customers tab of Office > Contacts:

FilterUse it to find
Customer StatusActive, Inactive, Pending or Cancelled customers
Created DateNew customers in a date range, such as the last 90 days
Customer SourceCustomers from one lead source
ZoneCustomers in one service zone
TagsCustomers with a tag you added
Billing TermCustomers on one of your billing terms
Scope GroupCustomers in a scope group
FrequencyEvery Week, Every Two Weeks, Every Three Weeks, Every Four Weeks, Other Recurring, Single or On Demand
Portal AccountCustomers who do or don't have a customer portal login
Credit Card on FileCustomers who do or don't have a saved card
Locked CustomersLocked-out customers
Scorecard EnabledCustomers who do or don't receive scorecards
Last Job DateCustomers by when they were last cleaned
Pending JobsCustomers with a number of upcoming jobs
Completed JobsCustomers by how many jobs they've had
Canceled Service DateCustomers who canceled in a date range
RevenueCustomers by revenue

Example: to see every active bi-weekly customer, set Customer Status to Active and Frequency to Every Two Weeks.

To see more details for each customer, switch from Simple to Advanced. Advanced adds columns such as Phone, Cell Phone, Email, Billing Term, Frequency, Base Fee, Scope of Work, Pending Jobs, Last Job Date, Customer Start, Completed Jobs, Canceled Service Date, Portal Account and Scorecard Enabled. Open the Columns panel on the right side of the grid to show or hide columns. Select Revenue + Last Contact to add revenue and last-contact columns.

Common customer lists

Set the Customers tab, then use these filters. Open the Advanced view to see the matching columns.

I want...Filters to set
New customers in the last 90 daysCreated Date: last 90 days. The Customer Start column shows the date the customer record was created.
New customers still waiting for their first cleaningCompleted Jobs: maximum 0. Pending Jobs: minimum 1.
Customers with no upcoming visit bookedCustomer Status: Active. Pending Jobs: maximum 0.
Customers who haven't been cleaned latelyLast Job Date: before the date you choose
Customers who canceled in a periodCanceled Service Date: the date range
One-time customersFrequency: Single or On Demand

Customer Start is not the first cleaning date. It is when the customer was added. Completed Jobs counts closed jobs, Pending Jobs counts jobs still ahead of today, and Last Job Date is the most recent closed job. To find a customer's first cleaning date, open the customer and look at the oldest completed job on the Jobs tab.

Export the Contacts list

  1. Filter the list to the customers you want.
  2. Select the rows using the checkboxes. The checkbox in the header selects every customer that matches your filters, not only the rows on screen. The selection bar hides Export, Send Email, Send Text and the other bulk actions when the selection includes rows that haven't loaded; see Run Bulk Actions.
  3. Click Export in the selection bar. The file has only the selected rows.

You can also right-click any row and choose Export, then CSV Export or Excel Export. That export ignores the checkboxes and writes every row the grid has loaded, which arrive 100 at a time, so it can include rows you didn't select and leave out matches further down the list.

Exporting needs the Export Customers permission and the Export Contacts feature, which is on unless an administrator turned it off. Without either, Export does not appear in the selection bar or the right-click menu.

The file has the columns you have showing in the grid. To include columns such as Phone, Email, Frequency or Base Fee, switch to Advanced and show them before you export.

To message the customers you filtered instead, use Create Campaign.

Run Bulk Actions

When you select rows, a bulk action bar appears (feature-gated). Typical uses:

  • Bulk edit customer tags
  • Start bulk communication workflows
warning

Bulk actions need every selected row loaded. If you used the header checkbox and the selection includes rows that haven't loaded yet, the bar shows "Bulk actions unavailable for unloaded rows" in place of Bulk Edit, Send Email, Send Text, Add Note, Export and Close Lead. Narrow your filters until every match fits on one page (you can show up to 200 rows per page), or check the rows one at a time.

For SMS actions, valid phone formatting is required. Invalid numbers are skipped and reported.

What Bulk Edit changes

Bulk Edit adds or removes customer tags on every selected contact. Tags are the only field it saves.

Bulk Edit appears in the bulk action bar only if you have permission to update customers and every selected row has finished loading, like the other bulk actions.

The Bulk Edit drawer also shows a Billing Terms selector, but a billing-terms change made there is not saved, even though Pulse shows a "Bulk Edit Applied" success message. To change billing terms, or any other field such as Customer Source, open each customer, click Edit Customer, and make the change in the Edit Customer Information drawer.

Use the Map View

Map mode is ideal for coverage and expansion questions.

  • In Customers mode, map pins show customer distribution and service-zone coverage.
  • In Leads mode, map pins help spot geographic demand and out-of-zone opportunities.

Click a pin to open a details drawer and jump into full record work.

Troubleshooting

I don't see Add Contact

Your role needs permission to create both customers and contacts. Ask your administrator to add them.

The create button stays disabled after I enter an address

If you typed in the address search box, pick a suggestion or click Enter address manually; typed text alone is not saved. For a customer, finish the address: street, city, state and ZIP are all required once you start one. If a Zone field appears, the ZIP is not in one of your service zones: pick a zone. This applies to customers only; a lead saves a partial address. Clear the address to save the contact without it.

Table data feels stale after changes

Refresh and re-run filters. The table uses server-side data blocks and cache refresh behavior.

Bulk bar does not appear

Check both conditions:

  1. You selected at least one row.
  2. Your tenant has Contacts bulk actions enabled.

Map has no pins

Usually this is filter or data quality related:

  1. Clear filters and retry.
  2. Verify records have valid addresses/zip data.
  3. Confirm you are in the intended status mode (Customers vs Leads).
