Customer Overview Tab

The Overview tab is the first thing you see when you open a customer record. It brings together the most important information about that customer in one place — their satisfaction rating, upcoming service, contact shortcuts, property details, recent activity, and payment status. You can act on most of this information without leaving the tab.

How to Open the Overview Tab

  1. Go to Office > Contacts.
  2. Click a customer's name to open their detail workspace.
  3. Select Overview from the left navigation (it is the default tab when you open a record).

Stats Bar

The stats bar at the top of the Overview tab shows four quick-glance metrics for the customer.

MetricWhat it shows
SatisfactionAverage star rating out of 5, the number of reviews, and a trend arrow (up, down, or flat)
Last ServiceDate of the most recent completed job
Next ServiceDate of the next scheduled job, or "None scheduled" if nothing is booked
Customer SinceMonth and year the customer was created; shows "Terms Accepted" badge if they have a signed agreement

The stats bar adjusts for screen size. On mobile it shows as a 2×2 grid; on desktop it appears as a single horizontal row with dividers.

Summary Card

The summary card sits in the left column and gives your team the three things they need most before picking up the phone or sending a message.

Next Service

The top of the summary card shows the customer's next scheduled job date. If a job is coming up, you can click the date or job link to open the job detail view. If no job is scheduled, the section shows a prompt with a link to the Jobs tab.

Contact

The Contact section shows one-tap buttons for the customer's phone number, mobile (for SMS), and email. The button for the preferred contact method is highlighted.

If there are more than three contact methods on file, a +N more contacts link appears. Click it to go to the Profile tab where all contact methods are listed.

If no contact methods are saved yet, the section shows an Add Contact link. See Adding and Managing Customer Contacts for instructions.

Latest Note

The Latest Note section shows the most recent internal note in a note card, with who wrote it and when in the card footer. The card shows the note's text with its formatting removed, in up to three lines, so an email reads as its message rather than its layout. A note that is only a picture shows the picture instead.

  • Click Show more to open the full note with its original formatting, including emails, and Collapse to return to the text view.

  • Click View all to go to the Notes tab.

  • If no notes exist, an Add Note link appears in its place.

Property Details

The Property Details card appears in the right column and shows information about the customer's primary service address.

FieldDescription
AddressStreet address with a link that opens Google Maps in a new tab
City / State / ZipShown below the street address
Sq ftFinished square footage (if recorded)
Beds / BathsBedroom and bathroom counts (if recorded)
ZoneScheduling zone badge (if the property is assigned to a zone)

If a customer has more than one service address, the card shows the primary property by default and lists additional addresses below it.

The card starts collapsed. Click the header to expand or collapse it.

Recent Activity

The Recent Activity card sits below Property Details in the right column. It shows the customer's most recent completed services and invoices. Each entry names what it refers to (for example, "Weekly Cleaning completed" or "Invoice created for Oct 1, 2026 service") with a relative time (for example, "3 days ago") and an icon. Upcoming jobs are not listed here; the next one appears under Next Service in the summary card.

Click an entry to open the job drawer for that job. If the job is outside the loaded date range, a "Job not found" message appears; open it from the Jobs tab instead.

If no activity has been recorded yet, the card shows a "No recent activity" message.

The card starts expanded. Click the header to expand or collapse it.

Quotes

The Quotes card sits below Recent Activity and shows the customer's quotes with a link to the Quotes & Agreements tab. It starts collapsed; click the header to expand it.

Jobs Timeline

The Jobs Timeline runs full-width below the two-column section. It shows all jobs scheduled for this customer within the last six months as a horizontal, scrollable timeline.

Jobs are grouped by date. The spacing between date markers grows wider when there is a long gap between visits, so it is easy to spot irregular service patterns.

How to use the timeline:

  • Scroll left and right to move through the six-month window.
  • Click a job card to open the job detail view.
  • Click View All in the top-right corner to go to the Jobs tab and see the full history.

Jobs that are close together (within a week) appear with normal spacing. Jobs with longer gaps between them have extra spacing to reflect the time difference visually.

Payment & Billing

The Payment & Billing card runs full-width at the bottom of the Overview tab. It gives a quick snapshot of the customer's payment status without having to open the full Billing or Invoices tabs.

SectionWhat it shows
Default Payment MethodThe card or method saved as default — type (Visa, Mastercard, etc.), last four digits, and expiration date
Outstanding BalanceTotal of all unpaid and overdue invoices; shown in red with a link to take action
QuickBooksWhether this customer is linked to QuickBooks Online (Linked, Pending, Error, or Not linked) and when it last synced. Shown only when QuickBooks is turned on for your company. When the customer is not linked, click Link to QBO to link them without leaving the Overview tab. Unlink the customer from the Billing tab (Billing Info in the Classic layout).

The card automatically expands when the customer has an outstanding balance. This makes it easy to see at a glance which customers need follow-up.

Expand the Payment & Billing card and click Add Payment Method to save a card or bank account without leaving the Overview tab. It opens the same Add Payment Method drawer as the Billing tab. The button shows only when your company has a payment processor set up and your role can manage payment methods (Administrators by default).

Why does the Overview say this customer is not linked to QuickBooks?

The QuickBooks row on the Overview shows this customer's own QuickBooks Online link, the same status the Billing tab (Billing Info in the Classic layout) shows. It does not show whether your company is connected to QuickBooks. If it reads Not linked to QuickBooks, the customer isn't linked to a QuickBooks Online customer yet. Click Link to QBO on the card (or on the Billing tab) to match an existing QuickBooks customer or create one.

Tips

  • Start every service call here. The Overview tab is designed to answer the five most common questions before a service visit: Is the customer satisfied? When did we last clean? What is the next visit? Who do we contact? Is anything owed?
  • Use the Contact buttons to call or text directly. The phone and SMS links open your device's dialer or messaging app. The email link opens your default email client with the customer's address pre-filled.
  • Watch the Satisfaction trend arrow. A downward trend next to the rating means recent scores are lower than historical ones. It is a signal to reach out before the next visit.
  • Check the Payment & Billing card before issuing a new invoice. An outstanding balance shown here means the previous invoice has not been paid.
  • The timeline gap spacing helps you spot lapsed customers. Wide gaps between job markers mean visits are irregular or overdue. Use this view to identify customers who may need a check-in.
