Property & Service Manager
The Property & Service Manager is a step-by-step drawer for managing a customer's recurring service schedule. Use it to change how often a service runs, move the starting date of a service, change its teams, hours or base fee, add a one-time extra job, or switch a customer to a different scope of work. It guides you through selecting the property and service set before presenting the available actions.
Who Can Access This
| Role | Access Level |
|---|---|
| Administrator | Full access |
| Office Manager | Full access |

If you don't see this feature, your role may not have permission. An Administrator or Group Administrator in your office can check your role.
Opening the Drawer
There are four ways to open the Property & Service Manager:
- From the Schedule page — Click the Schedule button in the toolbar and choose Job from the dropdown
- From an empty time slot on the Schedule — Click an open time on a team's row, including the Not Scheduled row
- From a customer — Schedule Job in the customer's page header, in the customer's quick-actions menu, or in the customer details drawer. It opens for that customer in the customer's own branch; your working branch does not change.
- From a job's detail drawer — Open the Actions menu and choose Modify Schedule
When opened from the schedule page, you start at a customer search. When you open it from an empty time slot, the drawer remembers that slot's date, time and team and fills them in when you schedule the job. When opened from a customer record or a job, the customer is pre-selected and you go directly to the property list.
How Navigation Works
The drawer uses a step-by-step flow. Each step pushes forward to the next view. A back button (chevron) in the header lets you go back one step.
Breadcrumb chips appear below the header after you select a customer, property, or service set. Click any chip to jump back to that point in the flow and start over from there.
Step 1 — Search for a Customer
If no customer is pre-selected, the drawer opens at a customer search. Type the customer's name to find them. Select a customer to move to the property list.
If you need to add a new customer instead, click New Customer next to the search box. It opens the Add Contact drawer with Customer already selected, or the Full-Page Estimate if your company doesn't use Add Contact. You only see New Customer if your role can create customers. If your company does not use Add Contact, your role must also be able to create contacts.
Step 2 — Select a Property
The drawer shows all properties on file for the customer. Each card shows the street address and city.
- Click a property to move to its service sets
- Click Add Property to add a new property for this customer
Step 3 — Select a Service Set
After selecting a property, the drawer shows all service sets for that property. Each card shows the service name, frequency, total rate, and estimated hours.
- Click a service set to open its management options
- Click Add Service to create a new service set for this property
A new service set flow guides you through selecting scope, frequency, room configuration, and scheduling the first job.
After you pick a scope, Home Details asks the home questions your company's pricing uses, such as square footage, bedrooms, bathrooms and half baths. The answers are filled in from the property and you can change them. The price uses whatever you enter. Changing an answer here does not change the property record.
If you opened the drawer from an empty time slot on the Schedule, Schedule First Job already has that slot's date, time and team selected. Click Create Service Set to create the service and book the first job in that slot; the drawer then closes. If you clear the first job and create the service on its own, you return to the property's services.
Step 4 — Choose an Action
After selecting a service set, the drawer shows a summary card with the service name, frequency, rate, and next job date. Below that are three actions:
| Action | Description |
|---|---|
| Modify Schedule | Reschedule and/or change frequency |
| Schedule Extra Cleaning | Add one extra job |
| Change Scope | Switch to a different scope |
Which action do I use?
| I want to... | Use |
|---|---|
| Switch a customer from monthly to bi-weekly, or any other frequency | Modify Schedule |
| Move a customer's recurring schedule to a new start date or weekday | Modify Schedule, keeping the current frequency (for example, a 4-week client who now wants Fridays) |
| Change a recurring customer's hours or price, or put more than one team on the service | Modify Schedule |
| Add one extra visit for a recurring customer, such as a holiday clean | Schedule Extra Cleaning |
| Book a one-time deep clean at a different price or scope | Add Service, then choose the Single frequency. See Add a Service. |
| Redo a visit at no cost | See Redo a Job |
| Set up every 6 or 8 weeks | Modify Schedule, then Other Recurring. See Set Up a Custom Recurring Schedule. |
Modify Schedule
Use Modify Schedule to move a recurring service to a new start date, change how often it runs (for example, from monthly to bi-weekly), or change its teams, hours or price. Everything is on one screen, and it opens with the service's current values filled in.
Steps:
- Pick the frequency. The current one is selected and marked (current). Keep it to only move the date.
- Pick the date, time, and one or more teams for the first job. Every team on the service is already selected, and the time starts at the service's default start time.
- Optionally change Allowed Hours or Base Fee. Both start at the service's current values, and you can change either one without the other.
- Optionally turn on First Time In and add First Job Instructions.
- Click Confirm to apply.
What happens when you confirm:
- Future pending jobs are rebuilt from the date you picked. Pending jobs with clock-ins, timesheet requests or invoices are kept (see How Recurring Series Changes Work).
- Every team you chose is on every new job. The first team is the main team.
- First Time In and the instructions go on the first new job only. First Time In is not offered for Other Recurring.
How do I change a recurring customer's hours or price when I move their schedule?
Change Allowed Hours or Base Fee in Modify Schedule before you click Confirm. The new jobs use the new hours and fee.
Can I put two teams on a recurring service or an extra cleaning?
Yes. In Modify Schedule, pick more than one team for the first job. Each new job gets every team you picked. In Schedule Extra Cleaning, every team on the service starts selected, and you can add more; the extra job gets them all.
What Modify Schedule adds to the Rate Log
The Rate Log updates too. An entry is added to the service set's Rate Log tab when the frequency, Allowed Hours or Base Fee changes, with a note saying which changed. A second change on the same day updates that day's entry instead of adding another. Changing only the frequency keeps the current fee and hours, so the price does not change on its own. If the new frequency has a different price, change Base Fee here or add a rate change on the Rate Log tab with an effective date. Changing only the date, time or teams adds no Rate Log entry, except on an Other Recurring service, where the pattern is saved again with the new start date.
Change Scope
Use Change Scope to switch a customer to a different type of service (for example, from a routine clean to a deep clean).
Changing scope requires creating a new service set because each scope has its own pricing, room configuration, and frequency options. The drawer explains this and then guides you to set up the new service set.
After the new service set is created, you can choose what to do with the remaining jobs from the old service set.
Schedule Extra Cleaning
Use Schedule Extra Cleaning to book one extra job outside the normal recurring schedule (for example, an extra clean before a holiday).
Steps:
- Pick the date and time. The service's default start time is filled in.
- Keep or change the teams. Every team on the service is selected, and you can add more.
- Optionally change Total Hours or Total Fee. Both start at the service's current rate.
- Optionally add Job Instructions and Contact Ticket Notes, and turn on First Time In.
- Click Schedule Job.
When you open it from an open slot on the Schedule, that slot's time and team are filled in instead. Picking a slot on the Schedule Timeline tab books that slot's team.
Contact Ticket Notes are added to the end of the "Scheduled an individual job" ticket on the customer's tickets.
Changing the hours or fee for one extra cleaning
You can charge a different price, or book different hours, for one extra cleaning without changing the customer's recurring rate.
- Recurring service: the change applies to this job only. It is added to the job as a rate adjustment. Name it with Rate Adjustment Description, which appears when you change the fee. That text shows on the invoice; if you leave it blank, it reads "Individual Job Difference". The recurring rate is unchanged.
- One-time or On Demand service: the service's rate changes from the job's date, and the Rate Log gets a new entry for that date.
Total Hours and Total Fee are shown only to roles that can update both jobs and services.
The recurring schedule is not affected. Only this one extra job is added. The job is tagged Out of Rotation, so a later Modify Schedule does not move or delete it. See Out-of-Rotation Cleanup.
Out-of-Rotation Cleanup
After a Modify Schedule or Change Scope operation, the drawer may show an Out-of-Rotation Cleanup step. This appears when some jobs were preserved because they have a special tag that excludes them from automatic recalculation.
The cleanup step shows each preserved job with its date, time, and team. You can:
- Check the box next to any job you want to delete
- Click Delete Selected to remove the checked jobs
- Click Leave as Is to keep them and finish
This step only appears if out-of-rotation jobs exist. If there are none, the drawer closes automatically after the action completes.
Using Modify Recurring from Job Quick Actions
When you click Modify Recurring Schedule from a job card's quick actions menu on the Schedule page, the Property & Service Manager opens pre-loaded with that job's customer, property, and service set. From there you can choose any of the three actions above — Modify Schedule, Schedule Extra Cleaning, or Change Scope.
This quick action only appears on recurring jobs. One-time jobs do not show it.
Modify Recurring from the Master Schedule opens the Service Set Edit drawer instead, which lets you change the default team, start time, and preferred days directly. See Master Schedule for details on editing service details from the Master view.
Tips
- Use Modify Schedule when a customer wants to shift their day. If a customer always wants Tuesdays instead of Fridays going forward, keep the current frequency and pick the new day; all future jobs are recalculated from it.
- Use Schedule Extra Cleaning for one-time additions. This does not touch the recurring schedule — it just adds one extra occurrence.
- Modify Schedule preserves rate history. Earlier Rate Log entries stay as they are, so billing history on the old frequency stays intact. Only an entry from the same day is updated, including one added on the Rate Log tab that day.
- Change Scope starts fresh. The new service set is independent. Old job and billing history stays linked to the original service set.
- Breadcrumb chips let you jump back quickly. If you selected the wrong property, click the customer chip and start again without closing the drawer.
Troubleshooting
The drawer starts at customer search even though I opened it from a job
If the job's service set information did not load before the drawer opened, it may fall back to customer search. Close the drawer, wait for the job to finish loading, then try again.
The frequency I want is not available
Frequencies are tied to the scope/service type. The available options come from your company's configuration. If a specific frequency is missing, ask an Administrator or Group Administrator in your office to check the scope's frequencies. See Set Up a Custom Recurring Schedule for patterns like every 6 or 8 weeks.
After confirming, no jobs appeared on the schedule
It may take a moment for the schedule to refresh. Navigate away and back, or use the refresh option in the toolbar. If jobs are still missing after a minute, see How to Contact MaidCentral Support.
The Out-of-Rotation Cleanup step appeared unexpectedly
Some jobs have an out-of-rotation tag that protects them from automatic recalculation. Review the jobs listed in the cleanup step and delete the ones you no longer need.
I cannot find the customer I'm looking for
Try searching by a different part of the name. If the customer exists but is not appearing, they may have been deactivated. An Administrator or Group Administrator in your office can check the customer's status.
Why does Schedule Job show another branch's services?
Schedule Job on a customer opens the Property & Service Manager in the customer's own branch, not your working branch. You see that branch's properties, services and teams, and the job is booked there. Your working branch does not change.
