Print Job Worksheets

Job worksheets are one-page-per-job PDF printouts that give your cleaning teams everything they need for a service visit — customer details, room list, deep clean indicators, special instructions, and more. Print a full day of worksheets in seconds and hand them to your crews before they head out.

Overview

Many cleaning companies still rely on printed sheets for their technicians, especially when teams work in areas with spotty cell service or when field staff prefer paper references. The Print Job Worksheets feature generates a clean, print-optimized PDF directly from your schedule. Each job gets its own page, so you can easily separate sheets and clip them to clipboards or tuck them into supply caddies.

Worksheets pull live data from your schedule, so what you print always reflects the latest assignments, times, and instructions. The PDF is generated in your browser and downloaded immediately — no waiting for an email or background process.

note

This feature requires the Print Worksheets feature to be enabled for your company. If you do not see the printer icon on the Schedule toolbar, contact your administrator.

How to Print Worksheets

  1. Go to Office > Schedule from the left navigation.
  2. Use the date picker to navigate to the day you want to print.
  3. Click the printer icon in the Schedule toolbar. A dialog opens titled "Print Job Worksheets."
  4. Review the job count displayed at the bottom of the dialog. This tells you how many jobs will be included.
  5. Optionally filter by team (see the next section).
  6. Click Print N Worksheets to generate the PDF.
  7. The PDF downloads automatically to your browser's default download location. Open it and print from your PDF viewer.

The dialog shows the full date (for example, "Monday, March 16, 2026") so you can confirm you are printing the correct day before generating.

Team Filtering

When your schedule has more than one team with jobs on the selected day, the dialog shows a Filter by Team section with checkboxes for each team. Use this to print worksheets for specific teams instead of the entire day.

  • All teams selected (default): Every job on the schedule for that day is included.
  • Select specific teams: Check only the teams you want. The job count updates immediately as you toggle teams.
  • All / None shortcuts: Use the "All" and "None" links above the team list to quickly select or deselect every team.
  • Search (9+ teams): when more than eight teams have jobs on the selected day, a Search teams... box appears above the list. Typing narrows the visible list so you can find a team quickly — it never changes which teams are checked, and the All/None shortcuts still apply to every team.

Each team in the list shows its color dot and the number of jobs assigned to it, so you can see at a glance how work is distributed.

A job assigned to more than one team is counted under each of its teams, and it prints as long as at least one of its teams is checked. Because of this, the team counts can add up to more than the total number of jobs.

Example: Your Monday schedule has Team A (8 jobs), Team B (6 jobs), and Team C (4 jobs). One of those jobs is assigned to both Team A and Team B, so the day has 17 jobs, not 18. You only need to print for Team A and Team C because Team B uses tablets. Uncheck Team B — the dialog updates to show "12 jobs will be printed (2 of 3 teams)." The shared job is still printed because Team A is checked.

Office Summary PDF

The Office Summary PDF is a landscape document for the office that gives an overview of the day's scheduled jobs for the teams you select. It runs to more than one page on a busy day. At the top it shows your company name, the service date, the time it was generated, and the number of jobs. Below that is a Scheduled employees table listing each employee with their team(s), scheduled time range(s), phone, and email, followed by an Employee emails line you can copy and paste. A Customer emails block lists every customer email for those jobs, ready to paste into an email. The jobs table is grouped by team in schedule order, with stop numbers restarting at 1 for each team, and shows Stop, Time, Customer, Address, Type, Freq, Phone, Email, and Key.

  1. Open the "Print Job Worksheets" dialog as described in How to Print Worksheets.
  2. Optionally pick the teams you want under Filter by Team. Only those teams' jobs and employees are included.
  3. Click Office Summary PDF.
  4. The file downloads as Office Schedule Summary YYYYMMDD.pdf, where the numbers are the service date.

Jobs with no team, or with a team that is no longer available, are not dropped. They appear in the jobs table under "Unassigned / unavailable team."

note

This action may need to be turned on for your company (Office Schedule Summary PDF feature). If you do not see the Office Summary PDF button in the dialog, contact your administrator.

What Each Worksheet Contains

Every worksheet is a single A4 page designed for quick scanning. Here is what appears on each page, from top to bottom.

  • Customer name (and home name if different from the customer name)
  • Full address including street, city, state, and ZIP
  • Scheduled time window (start and end time) displayed prominently in the top-right corner
  • Job number, date, and status on the right side beneath the time

Team and Crew

  • Team name and allowed time (in hours) for the job
  • Crew members listed by name with their team position (e.g., "Team Lead," "Helper")

Customer and Home Details (Left Column)

  • Phone numbers (preferred, cell, and location phone) and email if your company settings allow display
  • Additional contacts on file
  • Home details: bedrooms, full/half bathrooms, square footage
  • PPD (people, pets, dirty factor)
  • Zone and billing terms

Service Set and History (Right Column)

  • Service set description, type, and frequency (e.g., "Bi-weekly Deep Clean")
  • Bill rate and fee split rate (if your company settings allow display)
  • Total time
  • Last scorecard result (score and text)
  • Next scheduled job date

Customer Memo

If the customer has a memo on file, it prints in full width below the two-column section.

Flags

Special indicators appear as a flags row:

FlagWhat It Means
DEEP CLEANThis job includes deep clean work (shown in bold with double asterisks for emphasis)
First Time InFirst visit to this home
PriorityMarked as a priority job
Has Home KeyA home key is on file (key code shown if available)

Tags

Any tags assigned to the job are listed in a comma-separated row.

Instructions

All instruction fields print in clearly labeled blocks:

  • Directions
  • Access Instructions
  • Pet Instructions
  • Waste Disposal
  • Job Instructions
  • Home Special Instructions
  • Home Special Equipment
  • Service Set Instructions
  • Service Set Equipment
  • Internal Memo

Only fields that have content appear. Empty instruction fields are skipped to save space.

Rooms Table

A detailed table of every room on the job. Rooms are grouped by type under a label for each group, in the same order as the Rooms tab on the job: Wet Rooms, Dry Rooms, Other, then Request Rooms. The columns are:

ColumnDescription
RoomRoom name (rooms due for deep clean this visit are shaded, bolded, and marked with an asterisk)
LocationLocation within the home
DC TypeDeep clean code and description (bolded for rooms due for deep clean this visit)
Time (min)Allowed time in minutes for that room
FeeRoom fee (if your settings allow display)
DetailsDetails of work for the room

When at least one room is due for deep clean this visit, the section title reads "Rooms (Deep Clean)" and a line above the table explains the marking: "* Shaded rooms are due for deep clean this visit." These are the same rooms that show the "Deep clean" label on the job in the technician portal.

Any room with a recorded deep clean shows the date of its last deep clean beneath the row.

A totals row at the bottom sums up the allowed time (and fee, if displayed) across all rooms.

Every page includes a footer with the team name, job number, customer name, address, and page number.

Active Filter Warning

If you have schedule filters active (team, technician, status, zone, or other global filters) when you open the Print Worksheets dialog, a yellow warning banner appears:

Schedule filters are active. 2 team(s), 3 status(es). Not all jobs for this day are included.

This reminds you that you may be printing a partial day. If you want all jobs, clear your schedule filters before opening the print dialog.

Rate and Contact Visibility Settings

Worksheets respect your company's technician dashboard display settings. These settings control what sensitive information appears on the printed page:

SettingWhat It Controls
Display Customer Phone NumbersWhether phone numbers appear in the Customer section
Display Customer EmailsWhether email addresses appear in the Customer section
Display Bill RateWhether the bill rate appears in the Service Set section
Display Fee Split RateWhether the fee split rate appears
Display Room RateWhether the Fee column appears in the Rooms table

If a setting is turned off, the corresponding data is omitted entirely from the PDF. You do not need to do anything special when printing — the system automatically respects these settings.

These settings apply to the per-job worksheets only. The Office Summary PDF is an office document and always shows customer phones and emails.

Are Worksheets Emailed to Technicians?

No. Pulse does not currently email job worksheets to your technicians, so there is no send history to check. To get worksheets to your team:

  • Print them from the Schedule, as described above.
  • Share the PDF. The downloaded file has one page per job. Send it to team leads by email or a messaging app.
  • Use the technician portal. Technicians who sign in can open each of their jobs to see the worksheet details, such as directions, instructions, special equipment, and rooms.

Tips

  • Print early. Generate worksheets first thing in the morning after your dispatcher has finalized the day's schedule. This ensures crews get the most up-to-date assignments.
  • Use team filtering for staggered departures. If Team A leaves at 7:30 AM and Team B at 8:00 AM, print Team A's worksheets first so they are ready at the door.
  • Best print settings. When printing the per-job worksheets, use "Actual size" (not "Fit to page") and select portrait orientation. Print the Office Summary PDF in landscape. The worksheets are formatted for A4/Letter paper. Disable headers and footers in your browser's print dialog to avoid duplicate page numbers.
  • Check the filter warning. If you filtered the schedule to debug a routing issue earlier, the filter may still be active when you print. The yellow warning banner is your reminder to clear filters if you need the full day.
  • Print to PDF for digital distribution. If your team leads use tablets but you still want a worksheet format, print to PDF and send the file via email or messaging app. Each job is on its own page, so recipients can scroll to their assignments easily.
  • Deep clean rooms stand out. Rooms due for deep clean this visit are shaded, bolded, and prefixed with an asterisk in the rooms table, so the marking still shows on a black-and-white printout. The section header changes to "Rooms (Deep Clean)" when any room is due. Train your crews to look for these visual cues.
  • One page per job. Each job always starts on a new page, so you can separate pages for individual team members or attach a single sheet to a customer's file if needed.

Troubleshooting

I do not see the printer icon on the toolbar

The Print Worksheets feature must be enabled for your company. Ask your administrator to check that the Print Job Worksheets feature is turned on.

I do not see the Office Summary PDF button

The Office Schedule Summary PDF feature is off for your company. Ask your administrator to turn it on.

The PDF has zero pages

This happens when no jobs match your current selection. Check that the selected date has scheduled jobs and that your team filter is not set to "None." If schedule filters are active, they may be excluding all jobs for the day.

Some customer phone numbers or rates are missing

The worksheet respects your company's technician dashboard display settings. If phone numbers or rates are hidden in your settings, they will not appear on the printed worksheet. Contact your administrator to adjust these settings if needed.

The PDF takes a long time to generate

The system fetches detailed data for every selected job before generating the PDF. If you have a large number of jobs (30+), the request may take several seconds. Wait for the download to complete — a loading spinner appears on the Print button while the PDF is being generated.
