Master Schedule

The Master Schedule shows your entire recurring schedule in one place. Instead of looking at a single day, it shows a full 4-week cycle — all every-week (E1), every-two-weeks (E2), and every-four-weeks (E4, often called "monthly") jobs organized by team and day of week. Use it to see how your workload is structured, spot gaps, and place unscheduled recurring jobs before they appear on the live schedule.

note

The Master Schedule view may need to be enabled for your company. If you do not see a Master tab on the Schedule page, contact your administrator.

Opening the Master Schedule

  1. Go to Office > Schedule.
  2. Click the Master tab near the top of the Schedule page.

The Master Schedule opens showing Monday by default.

Reading the Grid

Day Tabs

Seven tabs run across the top: Monday through Sunday. Click a tab to switch to that day. All team cards update to show jobs scheduled on that day of the week.

Team Cards

Each active team appears as a card. The card header shows the team's color, name, total job count, total hours, and daily revenue for the selected day. If the system detects that a team's jobs could be routed more efficiently by grouping similar zones together, a Route badge appears in the header.

Not Scheduled Column

A Not Scheduled card always appears first, before your active teams' cards. It holds jobs that don't have a team assigned yet, so you can see what still needs dispatching before you look at any team's workload.

Week Columns

Each team card has four columns. They represent the four weeks in a cycle:

ColumnWeek
1Week 1
2Week 3
3Week 2
4Week 4

Weeks 1 and 3 appear side by side (columns 1 and 2). Weeks 2 and 4 appear side by side (columns 3 and 4). This layout keeps bi-weekly job pairs adjacent so you can see both occurrences at a glance.

A time axis runs down the left side of each card. Jobs are plotted by their scheduled time.

Frequency Codes

Every job block shows a frequency badge:

BadgeFrequencyAppears In
E1Every weekAll 4 columns
E2Every two weeks (bi-weekly)2 columns (odd weeks or even weeks)
E4Every four weeks (28 days) — often called "monthly"1 column
—One-time or non-recurringColumn 3 (labeled "Other")

Every Three Weeks, Other Recurring (such as every 6 or 8 weeks) and On Demand services are not shown on the Master Schedule. Find their visits in the Timeline view.

How "Monthly" (Every Four Weeks) Dates Work

Pulse's standard "monthly" frequency, E4 / Every Four Weeks, repeats every 28 days on the same weekday. It does not follow calendar months. Because a year has 52 weeks, an E4 customer gets 13 visits a year, not 12, and the visit date moves 2 to 3 days earlier each month.

For example, an E4 service that starts on Tuesday, January 6 continues on February 3, March 3, March 31, April 28, and so on. The customer gets two visits in March and is always seen on a Tuesday, but never on the same date each month.

This is expected behavior, not a scheduling error. If a customer says their "monthly" cleaning is landing on the wrong dates, check whether the service is set to Every Four Weeks.

If the customer wants the same date (or the same weekday of the month) every month:

  1. Open the service in the Property & Service Manager and choose Change Frequency.
  2. In Frequency, choose Other Recurring.
  3. Under Custom Recurrence Pattern, set Repeat to Monthly, then pick On a specific day (for example, the 15th) or On a specific weekday (for example, the 2nd Tuesday).
  4. Pick the new start date and team, then save. Pulse rebuilds the service's future pending visits from that date using the new pattern.

A calendar-monthly pattern gives 12 visits a year. Other Recurring appears only if it is one of the frequencies offered for that service's scope, and its custom pattern appears only when your company has the Recurring Events feature turned on. If you don't see them, ask an Administrator or Group Administrator in your office. See Set Up a Custom Recurring Schedule for every 6 or 8 weeks and other patterns. For what happens to existing visits when you change frequency, see How Recurring Series Changes Work.

Job Blocks

Each job appears as a colored block in the appropriate week column. The block color comes from the job's zone. The block shows the customer name and job duration. Hover over a block to see more detail including the address, rate, and any notes.

Status Indicators

A legend at the bottom of the page explains the visual indicators:

IndicatorMeaning
Red border and backgroundConflict — two jobs overlap in the same time slot on a team they share
Orange borderPreference — job is scheduled outside the customer's preferred time window
Dashed yellow borderOutside Schedule — job falls outside the team's technician default working hours

Zone colors are explained in the legend: the job block background always reflects its service zone.

Waiting Jobs Sidebar

When enabled, a Show Waiting Jobs button appears in the toolbar. Click it to open a sidebar on the right showing recurring jobs that have not yet been placed on any team.

Each card in the sidebar shows:

  • Customer name and frequency badge
  • Home name (if the customer has multiple locations)
  • Street address
  • Job duration
  • For bi-weekly jobs: whether the job rotates on odd or even weeks

If no recurring jobs are waiting, the sidebar shows a message confirming that.

note

The Waiting Jobs sidebar may need to be enabled for your company. Contact your administrator if the Show Waiting Jobs button is not visible.

Assigning and Reassigning Jobs

Drag a waiting job to a team

  1. Open the Waiting Jobs sidebar.
  2. Grab a job card from the sidebar.
  3. Drag it over a week column in a team card. Valid drop zones highlight as you drag.
  4. Drop the job into the time slot where it should be scheduled.

The system checks that the column matches the job's frequency before accepting the drop. For example, a bi-weekly job can only be dropped in two of the four columns. Invalid columns do not highlight and will not accept the drop.

Drag a job to a different team or time

  1. Grab a job block already placed in a team card.
  2. Drag it to a different team card or to a different time slot within the same team.
  3. Drop it in the new position.

If you drag an assigned job into a column that does not match its current frequency, a Frequency Change Required dialog opens and asks you to confirm before making the move. To change how often a service repeats, use Modify Schedule in the Property & Service Manager instead. That recalculates the service's future visits at the new frequency.

For bi-weekly jobs, the rotation automatically adjusts based on which pair of columns you drop into. Dropping into columns 1 or 2 sets the job to odd-week rotation. Dropping into columns 3 or 4 sets it to even-week rotation.

note

Drag-and-drop assignment in Master Schedule may need to be enabled for your company. If job blocks do not respond to dragging, contact your administrator.

Bulk Frequency Changes

Each job block has a small checkbox next to the customer name. When you check one or more boxes, a toolbar appears showing how many jobs are selected, with Select All, → Weekly, → Bi-weekly, → Monthly, and Clear buttons. Here, → Monthly means every four weeks (E4), not a calendar-monthly date.

warning

The → Weekly, → Bi-weekly, and → Monthly buttons do not currently save a frequency change. The selected services keep their existing frequency. To change how often a service repeats, open it in the Property & Service Manager and use Modify Schedule.

Availability Overlay

When the availability overlay is enabled, each team card shows a shaded background behind the week columns. The shaded areas represent the hours when the team's technicians are scheduled to work according to their default schedules.

Above the timeline, a row lists each technician on the team with their name and scheduled hours for the day. The team captain is marked with a crown icon.

Jobs that fall outside the shaded availability windows show a dashed yellow border. Hover over a team card to highlight that team's availability background more prominently.

The availability overlay is on by default. Contact your administrator if you need to turn it off.

Editing Service Details from the Master Schedule

You can edit a recurring service's details directly from the Master Schedule without navigating to the customer record. Click any job block in the grid to open the Edit Service Details drawer.

What You Can Edit

The Edit Service Details drawer lets you change these settings for the recurring service:

FieldDescription
Service NameThe description of the service
Default TeamsThe team(s) assigned to this service by default
Default Start TimeThe preferred start time for this service
Preference TypeNone, Prefer or Exclude. Prefer sets a window the customer wants; Exclude sets a window to avoid
RequiredCheck Time preferences are required when the customer's preference is strict
Earliest StartThe earliest time the customer wants the team to arrive. Reads Exclude Before when Preference Type is Exclude
Latest StartThe latest time the customer wants the team to arrive. Reads Exclude After when Preference Type is Exclude
Preferred DaysDays of the week the customer prefers service. Reads Excluded Days when Preference Type is Exclude
Special EquipmentNotes about any equipment needed
Special InstructionsSpecial instructions for the cleaning team

Updating Future Jobs

When you change Default Start Time or Default Teams and click Save Changes, Pulse asks Apply changes to future jobs? Click Update This & Future to apply the change to the service's future scheduled jobs too, or Save Only to change the service's defaults without touching already-scheduled jobs. Changes to other fields save directly.

How to Edit a Service from the Master Schedule

  1. Open the Master tab on the Schedule page.
  2. Navigate to the day and team that shows the job you want to edit.
  3. Click the job block. The Edit Service Details drawer opens.
  4. Make your changes in the form.
  5. Click Save Changes.
  6. If you changed the default start time or team, Pulse asks Apply changes to future jobs? Click Update This & Future to change this job and the rest of the series, or Save Only to change the service's defaults without touching already-scheduled jobs. The Master Schedule refreshes automatically.

Understanding and Resolving Conflicts

A conflict occurs when two recurring jobs on the same team overlap in the same time slot during the same actual calendar week. Conflicting jobs show a red border and red background so they stand out from the rest of the schedule.

A job with more than one default team appears under each of those teams. It counts once in each team's job and hour totals, and Pulse checks it for conflicts on each team. For example, if a service's default teams are Team A and Team B, it conflicts with an overlapping job on Team B even when nothing overlaps it on Team A, and Team B's week summary counts that conflict.

How Conflicts Are Detected

The system checks whether jobs truly overlap based on the calendar weeks they run — not just which display column they appear in. For example, a weekly job (E1) runs every week, so it can conflict with any other job on the same team and day. A bi-weekly job (E2) only runs every other week, so it can only conflict with jobs that share one of its active weeks.

This means two jobs in different display columns can still conflict if they both run during the same calendar week and their time ranges overlap.

Three Types of Visual Indicators

IndicatorMeaning
Red border and backgroundConflict — two jobs overlap in the same time slot on a team they share during the same calendar week
Orange borderPreference — job is scheduled outside the customer's preferred time window
Dashed yellow borderOutside Schedule — job falls outside the team's technician default working hours

How to Resolve a Conflict

Clicking any job, conflicting or not, opens the Edit Service Details drawer for its service.

  1. Click the conflicting job block (red border).
  2. The Edit Service Details drawer opens.
  3. Change the Default Start Time or the Default Teams so the job no longer overlaps.
  4. Click Save Changes.
  5. Pulse asks Apply changes to future jobs? Click Update This & Future to apply the change to upcoming jobs too, or Save Only.

Preference Violations

Jobs with an orange border are not true time conflicts but are scheduled outside the customer's preferred time window. Click the job to open the Edit Service Details drawer and adjust the time to fall within the customer's preference.

Outside Schedule Indicators

Jobs with a dashed yellow border fall outside the team's technician default working hours. This might be fine if the team works extended hours occasionally, but it is worth reviewing. Click the job to open the Edit Service Details drawer and adjust if needed.

Tips

  • Use the Master Schedule for planning, not dispatching. The Timeline and Route views are better suited for day-of operations. Use the Master Schedule at the beginning or end of the week to review recurring work structure.
  • Check the Waiting Jobs sidebar before your cycle changes. Unscheduled recurring jobs will not appear on the live schedule until they are placed on a team.
  • Watch for the Route badge. If a team's header shows a Route badge, the system suggests their jobs could be ordered more efficiently by zone. Switch to the Route tab to review.
  • Bi-weekly pairs. Columns 1 and 2 (Weeks 1 and 3) always go together for bi-weekly jobs. Columns 3 and 4 (Weeks 2 and 4) always go together. If you want a bi-weekly job to run on weeks 1 and 3, drop it in columns 1 or 2. For weeks 2 and 4, drop it in columns 3 or 4.
  • Conflict resolution. A red conflict indicator means two jobs in that team overlap in the same time window across real calendar weeks — not just display columns. Click either job to open the Edit Service Details drawer and adjust its time or teams.

Troubleshooting

The Master tab is not visible

The Master Schedule view may not be enabled for your company. Contact your administrator to enable the Master Schedule View feature.

Job blocks are not draggable

Drag-and-drop scheduling may not be enabled for your company. Contact your administrator if you need to assign jobs by dragging.

The Waiting Jobs button is not visible

The Waiting Jobs sidebar requires a separate feature to be enabled. Contact your administrator if you need access to the waiting jobs list.

A job shows a conflict indicator but the times look fine

The conflict check compares jobs across the actual calendar weeks they run. Two jobs may appear in different display columns but still overlap if they both run in the same calendar week. If the job has several default teams, the overlap may be on another of its teams: look for the conflict on each team card it appears under. Click each job to open the Edit Service Details drawer, review its default start time and default teams, and adjust if needed.

A "monthly" customer's visits land on a different date each month

The service is most likely set to Every Four Weeks (E4), which repeats every 28 days on the same weekday. That gives 13 visits a year, so the date moves earlier each month. If the customer wants the same date or the same weekday of the month (such as the 2nd Tuesday), switch the service to Other Recurring with a monthly custom pattern. See How "Monthly" (Every Four Weeks) Dates Work.

No jobs appear in a team's card

The team may have no recurring jobs scheduled for the selected day of the week. Switch to a different day tab, or check the Timeline view to confirm the team has jobs scheduled.

The availability overlay is not showing

The availability overlay is based on each technician's default schedule. If a technician's default schedule has not been set up, the system has no hours to display for them. Contact your administrator to set up default schedules.
