Technician Profile Workspace

The technician profile is a full-page workspace for managing everything about a single employee. Open it from the Technicians list and use the left navigation to move between eight sections covering identity, attendance, pay, jobs, messaging, and notes.

The active section is preserved in the URL, so you can bookmark or share a direct link to any section.

Opening a Profile

  1. Go to Office > Technicians.
  2. Click any technician name in the table, or use the card view or quick actions menu.

The profile opens at the Overview section by default.

Profile Header

The header appears at the top of every section and shows:

Left Navigation

Up to eight sections are listed in the left sidebar (collapses to a hamburger menu on mobile). Pay and Notes appear only for the roles noted below:

SectionPurpose
OverviewAt-a-glance KPIs, open alerts, recent activity
ProfileContact details, personal info, skills, roles, user account
Time & AttendanceSchedule & Attendance, Default Schedule (default weekly availability), Time Off Requests, and Time Clock Changes
PayPay Structure, Additional Pay, and Payroll History (Pay Structure and Additional Pay are feature-gated). Shown only to users with the Payroll Admin add-on.
PerformanceCustomer Feedback and Inspections (feature-gated)
Jobs & EventsFull job history table
Pulse ConnectTwo-way messaging with the technician
NotesOperational and coaching notes. Shown only to users with the HR Admin add-on.

Overview

The Overview section acts as a management dashboard for the technician.

KPI grid — quick-reference cards including driver's license expiry, customer preference counts, and user account status.

Open alerts — highlighted issues requiring action: open notes, pending PTO requests, and pending time clock change requests. Each alert links directly to the relevant section.

Attendance summary — a card showing attendance trends. Use the stat-type toggle to switch between different attendance views (attendance score, days worked, absence rate, etc.).

Payroll summary — a card showing the most recent pay period totals (visible only when the compensation feature is enabled for your company).

Recent jobs timeline — a horizontal strip of the technician's most recent jobs with dates, customer names, and job status. Click View All Jobs to navigate directly to the Jobs & Events section.

Profile

The Profile section manages the technician's identity and account details.

Contact Methods

Lists all phone numbers and email addresses on file. Each contact shows type, value, label (e.g., "Work", "Home"), and a Primary badge for the main contact.

  • Add: Click Add Contact Method to open a form — select type (Phone / Email / Other), enter the value, add a label, and optionally mark as Primary.
  • Edit: Click the pencil icon on any contact to update it.
  • Delete: Click the trash icon, confirm deletion.

Personal Information

Shows name, date of birth, hire date, and emergency contact. Edit these from the Edit drawer (header Edit button).

Address Information

Shows mailing and physical addresses. Edit from the technician edit drawer.

Employment History

Shows hire date and termination date (if applicable). Use the section action buttons for a two-step flow:

  1. Add Hire Date — records when the technician started. The date defaults to today.
  2. Record Termination — records when employment ended. This also defaults to today, so terminating a technician on their hire date (for example, a same-day no-show) is allowed.

Terminating also locks the technician's login, unless that login outranks you or has access to another company. The termination still goes through; the note on the technician's profile says the login was not locked, and a senior administrator needs to lock it from User Management.

Can I reactivate a terminated technician? Yes. On the technician's Profile tab, a Rehire button replaces the Terminate button. Use it to bring the technician back.

Terminating with a date earlier than the hire date is rejected with an on-screen error that names the hire date, for example: "Termination date cannot be before the hire date of 10/19/2026." Any other save failure also surfaces its message on screen rather than closing the drawer silently.

How do I terminate a new hire who never started? If the technician's hire date is still in the future, choose their hire date as the Termination Date. The technician moves to the terminated list and drops off the schedule right away. Team member lists and search keep showing them as active until that date arrives.

Can I delete a technician? Office users can only terminate a technician, not delete one. If a profile must be deleted, such as a duplicate, submit a ticket to MaidCentral Support, because only Support can delete employees. See How to Contact MaidCentral Support.

Skills and Tags

Shows all skills and tags assigned to the technician as color-coded badges. Use the add/remove controls to update skills directly from this section.

Role Management

Assigned Roles shows the person's role and any add-ons. Click Manage to open Manage Roles and change them:

  • Under Role, check the role. An Administrator can give Administrator, Office or Technician. A Group Administrator can also give Group Administrator and Sales.
  • Under Permissions, a Group Administrator can add HR Admin or Payroll Admin. This list only appears for a Group Administrator, and not when only Technician is checked. Checking Group Administrator includes both add-ons.
  • When an Administrator changes someone's role, any HR Admin or Payroll Admin add-on they already have stays in place. The exception is changing them to Technician only: a technician has no add-ons, so they're removed.
  • A role you can't give, such as Sales when you're an Administrator, appears checked and greyed out. It stays as it is when you save.

Saving signs the person out so their new access takes effect. When you create a login for a technician, you pick the role the same way; add-ons are added afterward from Manage Roles.

Any role other than Technician requires two-factor authentication. Manage Roles says "Two-factor authentication is required for this role." when you check one. Saving it, or creating a login with it, turns on two-factor authentication for that person, and Two-Factor Auth on their profile shows Enabled. The next time they sign in, they confirm a code sent by text or email. Two-factor authentication stays on if you later change them to Technician only.

Account Control

Manages the technician's login account. Available actions depend on whether a user account exists:

ActionWhen available
Create user accountNo account exists yet
Send password resetAccount exists
Lock accountAccount is active
Unlock accountAccount is locked

Account control actions are restricted to Administrator roles. You can't use them on someone whose access level is higher than yours, such as a Group Administrator when you're an Administrator. You also can't use them on someone who has access to another company; MaidCentral support handles those accounts.

A new employee can't log in or activate their account. Your office can set this up from the technician's Profile tab: in the User Account card click Create Account, choose Send invitation email, and click Send Invitation. Make sure the technician has a valid email address under their contact methods first. The technician opens the link in the email, creates a password, clicks Activate account, and is signed in. If their role requires two-factor authentication, they first enter the verification code sent to them by text message or email. If the email was lost, click Reset next to Password in the same card, choose Send password reset email, and click Reset Password to send a new link.

Time & Attendance

The Time & Attendance section has four sub-sections, listed under Time & Attendance in the left navigation: Schedule & Attendance, Default Schedule, Time Off Requests, and Time Clock Changes.

Schedule & Attendance

A date-navigable list of daily attendance records showing:

  • Date and day of week
  • Status badge: Worked, Absent, Late, Partial, etc. (color-coded)
  • Hours worked
  • Clock-in and clock-out times (when available)

Use the date navigation controls to move between time periods.

Default Schedule

This is where you set and change the technician's default weekly availability — the recurring shifts they normally work each week.

  • Default Team & Position — choose the team and position the technician is normally scheduled on.
  • Weekly grid — shows the technician's recurring shifts for Sunday through Saturday. Click Add + above a day (or drag on the grid) to add a shift, and click an existing shift to edit or delete it. If no shifts exist yet, click Add Schedule.

Changing the default schedule requires permission to manage technician schedules; without it, the fields and grid are read-only. This view shows the same data as the Default Schedule Tab, scoped to this technician.

Time Off Requests

Lists all PTO requests for the technician with status badges (Pending, Approved, Denied, Cancelled). From here you can:

  • Approve or Deny pending requests (requires Approve/Deny permission)
  • Create a new request with the Request Time Off button (opens the PTO Request Drawer)

Time Clock Changes

Lists all time clock correction requests for the technician with status badges (Pending, Approved, Denied). From here you can:

  • Approve or Deny pending corrections
  • View the original and requested clock times and reason

Pay and Performance

This section is split into two parts. Compensation content is feature-gated and only appears when enabled for your company.

Compensation

Shows payroll structure details and compensation-related data. Users with payroll-level access can edit pay structure information here.

Performance

Shows the technician's average customer rating (0–5 star scale), recent scorecard results, and customer review counts. No editing is available on this card — ratings come from completed job scorecards.

Payroll

A paginated table of historical payroll periods showing:

ColumnDescription
PeriodPay period date range (e.g., Mar 1 – Mar 15)
Gross payTotal earnings for the period
HoursTotal hours worked
JobsNumber of jobs completed

Click any row to open a detailed payroll breakdown drawer showing line-item pay entries, deductions, and totals.

Use the page size selector (10 / 25 / 50 rows) and pagination arrows to navigate longer histories.

Jobs & Events

A full AG Grid table of all jobs assigned to the technician. The table supports:

  • Column sorting and filtering
  • Date range filtering
  • Job status filtering
  • Table and other view mode toggles

Click any job row to open the Job Detail Drawer with full job information, photos, notes, and billing details.

Pulse Connect

The Pulse Connect section opens the full two-way messaging interface for this technician. From here you can:

  • Send a text message to the technician's phone number
  • Send an email to the technician's email address
  • View the complete message history with timestamps

The technician's contact methods (phone, email) are loaded from their profile automatically.

Notes

Notes let you record coaching observations, operational follow-ups, and any other information tied to the technician.

Filtering and search:

  • All / Open / Closed filter chips with note counts
  • Search by note text
  • Category filter to narrow by note type

Note display:

Open notes appear at the top in a highlighted section with a warning style to signal they need attention. Closed notes appear below, sorted newest first. Each note card shows: date, category, author, and the note body.

Tips

  • Bookmark deep links — each section URL is unique, so you can link directly to a technician's PTO tab or Payroll history in messages or emails.
  • Use Overview first — the open alerts card surfaces items that need action without you having to click through every tab.
  • Skills update immediately — add or remove skills directly from the Profile section; they take effect right away and appear in scheduling and job assignment filters.
  • View as Technician helps managers troubleshoot portal issues — you see exactly what the technician sees in their mobile or web portal.

Troubleshooting

Pay Structure, Performance, or Payroll section is missing

Your company may not have the compensation feature enabled. The Pay sections (Pay Structure, Additional Pay and Payroll History) are also shown only to users with the Payroll Admin add-on, and the Notes section only to users with the HR Admin add-on, whatever their other role. Contact your administrator.

Account Control buttons are missing

These require the employee administration permission, which is restricted to Administrator roles.

"This user has a higher access level than you" or "also has access to another company"

The account belongs to someone who outranks you or who also works for another company. Ask someone whose access level is the same as the account holder's or higher, or contact MaidCentral support for someone with access to another company.

The same rule applies when Send password reset email fails with "Failed to send password reset email" for one of these users.

A terminated technician can still sign in

Their login outranks the person who terminated them or has access to another company, so it was not locked. The note on the profile says so. Ask a senior administrator to lock the account from User Management.

View as Technician is missing

Confirm User Impersonation is enabled, you have Start permission, the technician has a linked user account, and the technician is eligible under your access level.

Profile edits are not saving

Check all required fields — name, email, and phone are typically required. Resolve any validation errors shown in red, then click Save.

A technician's rating appears as a dash

No scorecards have been completed for this technician yet. Ratings appear after a rated job is closed.
