Additional Pay Tab
The Additional Pay tab on a technician's profile gives payroll admins a single place to view, add, edit, and remove individual pay entries for that technician — without navigating away from the profile or opening the full payroll workspace. Use it to add a bonus, award a stipend, or review the complete history of extra compensation for that person.
Who Can Access This
| Role | Access Level |
|---|---|
| Payroll Admin | Full access — view, add, edit, and delete entries |
| Administrator, Office, Sales, HR Admin | Not visible |
Additional pay is technician pay, so only the Payroll Admin add-on can see or change it. An Administrator needs Payroll Admin added to their account to use this tab.
The Additional Pay tab may need to be enabled for your company. If you do not see it, contact your administrator to check your feature settings.
How to Open the Tab
- Go to Office > Technicians.
- Click a technician's name to open their profile.
- Select Pay in the left navigation, then choose Additional Pay from the sub-tabs.
What You See
The tab shows a list of all additional pay entries for this technician. Each entry displays:
| Column | Description |
|---|---|
| Date | The pay date for this entry |
| Type | The pay type for the entry |
| Amount | The dollar value of the entry |
| Hours | Allowed hours recorded with the entry, if any |
| Notes | Any notes recorded with this entry |
| Created By | Who created the entry |
The last column holds the row's edit (pencil) and delete (trash) icons. A Total row at the bottom shows the number of entries and their combined amount. Use Show (10, 25, or 50) and Previous / Next below the list to page through longer histories.
Entries in a closed payroll period are locked. A locked entry shows a lock icon instead of the edit and delete icons, and cannot be edited or deleted.
Adding an Additional Pay Entry
- Click Add Pay in the tab header.
- The Add Additional Pay drawer opens with the technician already filled in.
- Fill in the required fields:
- Date — Choose the date this pay applies to.
- Amount — Enter the dollar amount. The amount can be positive or negative, but not zero.
- Pay Type — Select the type of pay from the dropdown.
- Optionally enter Allowed Hours and Notes to describe the reason for the payment.
- Click Create.
The entry appears in the list.
Editing an Additional Pay Entry
- Click the row, or the edit (pencil) icon on the row.
- The Edit Additional Pay drawer opens.
- Update the fields you need to change.
- Click Save Changes.
Removing an Additional Pay Entry
- Find the entry in the list.
- Click the trash icon on the row.
- In the Delete Additional Pay prompt, click Delete.
Entries in a locked payroll period cannot be deleted. If you need to reverse a locked entry, contact your payroll administrator.
Tips and Best Practices
- Check the payroll period before adding. Entries are tied to the date you choose, and entries in a closed payroll period are locked. Make sure the date falls in an open period.
- Use the Notes field. A brief note like "Q1 performance bonus" makes it easier to audit entries later without digging through payroll history.
- Lock indicators mean the period is closed. You cannot edit or delete a locked entry. Open a new period or contact your administrator if a correction is needed.
- Incentive Pay vs. Additional Pay. Use the Incentive Pay tab in the Payroll workspace when you want to calculate and distribute bonuses across a group of employees at once. Use this tab when you need to add or review individual entries for one specific technician.
Troubleshooting
| What you see | Solution |
|---|---|
| Additional Pay tab is not visible | The tab may not be enabled for your company, or your account may not have the Payroll Admin add-on. Contact your administrator. |
| Add Pay button is not visible | Adding pay entries needs the Payroll Admin add-on. Contact your administrator. |
| Trash icon is not visible on a row | If a lock icon shows instead, the entry's payroll period is closed and it cannot be deleted. Otherwise, your role may not have permission to delete entries. |
| Entry does not appear after saving | Refresh the page. If the entry date falls in a different period than expected, check the pay date and open period boundaries. |
