Technician Notes Tab

The Notes tab on a technician's profile is where you track internal notes, follow-up tickets, and communication history for a team member. You can add a simple note, create an open ticket with a remind date for follow-up, filter by status, and close tickets when they are resolved.

Who Can Access This

RoleAccess Level
HR AdminFull access (view, add, close, delete notes)
Administrator, Office, Sales, Payroll AdminNo access

Employee notes often hold HR conversations, so only users with the HR Admin add-on can see the Notes tab. An Administrator needs HR Admin added to their account to use it.

This feature may need to be enabled for your company. If you do not see the Notes tab on a technician's profile, contact your administrator to check your feature settings.

Overview

Every technician in your organization accumulates internal notes over time — performance feedback, HR conversations, schedule change requests, and follow-up reminders. The Notes tab keeps all of this in one place on the technician's profile so nothing gets lost.

Notes come in two forms. A simple note is a record you add and close immediately. It stays in the history as a reference. An open ticket is a note with a remind date. It stays open until someone reviews it and marks it as resolved. Open tickets are highlighted at the top of the Notes tab with amber styling so they stand out from regular notes.

You can also see a quick preview of a technician's recent notes from the Technician Details Drawer — the slide-out panel that appears when you click a technician's name on lists and schedule views. The drawer shows up to five recent notes with a View All button that takes you to the full Notes tab.

How to Open the Notes Tab

  1. Navigate to Technicians from the left menu.
  2. Click on a technician's name to open their profile page.
  3. Click the Notes tab in the navigation bar at the top of the profile.

The tab loads all notes for the technician. Open tickets appear in a pinned section at the top, and closed notes appear below.

How to Add a Note

  1. Click the Add Note button (or Add First Note if no notes exist yet) on the Notes tab.
  2. The Add Note drawer slides open from the right.
  3. Select a Note Type from the dropdown. Common types include Note, Contact Ticket, and Notification.
  4. Write the note content in the rich text editor. You can format text with bold, italic, lists, and other formatting options.
  5. Optionally, set a Remind Date to create an open ticket. The remind date tells you when to follow up on this item.
  6. Click Save Note to create a simple closed note, or Create Ticket if you set a remind date.

A confirmation message appears when the note is saved.

Notes vs. Tickets

The difference between a note and a ticket depends on whether you set a remind date:

TypeRemind DateWhat Happens
Simple NoteNot setCreated and closed immediately. Appears in the notes history as a reference.
Open TicketSet to a future dateCreated and left open. Appears in the amber-highlighted "Open Notes" section at the top of the tab. Stays open until someone closes it.

Open tickets are useful for tracking items that need follow-up, such as "Confirm new schedule preference by Friday" or "Follow up on uniform request."

How to View Note Details

  1. Click on any note card in the list.
  2. A detail panel opens showing the full note content, note type, status, creation date, and who created it.
  3. For open tickets, you will also see a Close Note button.

How to Close an Open Ticket

When a follow-up item has been resolved:

  1. Click on the open ticket in the "Open Notes" section at the top of the tab.
  2. The detail panel opens.
  3. Optionally, type resolution notes in the Close Notes field to record what was done.
  4. Click the Close Note button.

The ticket moves from the open section to the regular notes list with a green "Closed" badge. The close date and any resolution notes are saved for future reference.

How to Delete a Note

  1. Click on the note card to open the detail panel.
  2. Click the Delete Note button.
  3. Confirm the deletion in the dialog that appears.

Deleted notes are permanently removed and cannot be recovered.

Filtering and Searching Notes

The Notes tab provides several ways to find what you need:

  • Search — Type in the search box to filter notes by content, note type, or the name of the person who created the note.
  • Status filter chips — Click All, Open, or Closed to filter by status. The Open chip shows a count badge when there are open tickets.
  • Category filter — Use the category dropdown to filter by note type (for example, show only "Contact Ticket" notes).

Open Notes Section

When a technician has open tickets, they appear in a highlighted section at the top of the Notes tab labeled Open Notes with a warning icon and count. This section uses amber styling to draw your attention to items that need follow-up.

Open notes are sorted by their remind date so the most urgent items appear first. Once all open tickets are closed, this section disappears.

Notes in the Technician Details Drawer

You can also see a technician's recent notes without opening the full profile:

  1. Click a technician's name from any list or schedule view.
  2. The Technician Details Drawer slides open.
  3. Scroll to the Notes section to see up to five recent notes.
  4. Click View All to jump to the full Notes tab on the profile page.

The drawer shows a read-only preview — you cannot add, edit, or delete notes from the drawer. Use the full Notes tab for those actions. Like the tab, the drawer's Notes section appears only for users with the HR Admin add-on.

Tips and Best Practices

  • Use open tickets for actionable items. If the note requires follow-up, set a remind date so it stays visible in the Open Notes section. Use simple notes for reference-only information.
  • Pick the right note type. Selecting an accurate note type (Note, Contact Ticket, Notification) makes it easier to filter and find notes later.
  • Add resolution notes when closing tickets. Even though close notes are optional, writing a brief summary of what was done creates a useful audit trail.
  • Check the Open Notes section regularly. Open tickets that sit too long can be easy to forget. Review them at least weekly.
  • Use search and filters on busy profiles. Technicians with many notes benefit from category filtering and the search box to quickly find specific items.
