Default Schedule Tab

The Default Schedule tab (Office > Technicians > Default Schedule) is where you set recurring weekly staffing patterns. Think of it as your staffing template — define which technicians work which days and hours for each team, then use the daily Schedule Tab to handle exceptions and day-of changes.

Default schedules are organized by team. Each team shows a full seven-day view (Sunday through Saturday) with a vertical time axis that follows your company's business hours (Settings > General) and is never narrower than 7 AM to 9 PM. If your business hours open earlier or close later, the grid extends to match, and it always widens to keep every existing shift visible.

Opening the Default Schedule Tab

  1. Go to Office > Technicians.
  2. Click the Default Schedule tab.

Layout Overview

Filters Bar

A filter card at the top of the page controls what you see:

FilterDescription
View Schedule As OfShow only blocks that are active on the selected date. Defaults to today. Cannot be used to view past schedules.
Start LocationNarrow results to teams that start from a specific office location.
End LocationNarrow results to teams that end at a specific office location.

Changing the "View Schedule As Of" date is useful for previewing upcoming schedule changes before they take effect.

Team Cards

Each active team appears as a card. The team header shows:

  • Team name (with team color background)
  • Number of technicians
  • Total scheduled hours
  • Block count (number of schedule entries)

The body of each card shows the weekly grid.

Weekly Grid

The grid has two display options passed by the parent view:

Row view (default): Each technician gets their own horizontal row. Days run left to right (Sun–Sat). The vertical time axis (business hours, never narrower than 7 AM–9 PM) runs down the left side. Schedule blocks appear as colored bars positioned at the correct day and time.

Stacked view: All technicians for a team share a single area per day. Best for seeing overall team coverage by day rather than individual schedules.

Both views show:

  • Today's column highlighted with a distinct background
  • A red "now" line on the current day showing the current time (updates every minute)
  • Schedule blocks colored by team, showing the technician's start time, end time, and position

The collapsible right sidebar shows technicians who have no schedule blocks for the current view. The sidebar:

  • Shows an amber count badge when technicians are unassigned
  • Auto-expands when unassigned technicians exist
  • Displays each technician as a draggable card with their name, avatar, and status
  • Shows "All Clear" with a green checkmark when everyone is assigned
  • Also acts as a drop zone: drag a schedule block from the grid onto the sidebar to remove that assignment

Sidebar collapse state is remembered across page refreshes.

Adding a Schedule Block

You can add a block by clicking on any empty time slot in the grid. This opens the Add Schedule Block drawer.

Add Schedule Block Drawer

FieldRequiredDescription
TechnicianYesSelect the technician (dropdown; read-only if only one technician is available)
Start TimeYesType a time directly or pick from the drop-down (30-minute increments covering your business hours, never narrower than 7 AM–9 PM)
End TimeYesType a time directly or pick from the drop-down; must be after Start Time. The latest end time is 11 PM.

The drawer checks for schedule conflicts in real time. If the selected technician already has a block that overlaps your chosen times, an error appears showing the conflicting shift times. You must resolve the conflict before saving.

Editing a Schedule Block

Click any existing schedule block in the grid to open the Edit Schedule Block drawer.

Edit Schedule Block Drawer

All changes to existing blocks require an Effective Date — this controls when the change takes effect. This prevents accidentally disrupting schedules that are already in use.

FieldDescription
Start TimeType a time directly or pick from the drop-down (15-minute increments covering your business hours, never narrower than 7 AM–9 PM)
End TimeType a time directly or pick from the drop-down; must be after Start Time. The latest end time is 11 PM. A shift cannot exceed 12 hours.
Effective DateThe date the change takes effect. Defaults to the next occurrence of that day of week. Cannot be in the past. Maximum one year in the future.

A quick Set to Today button sets the effective date to today for immediate changes.

When you change the start or end time, a Preview appears showing the old and new times and the date the change takes effect.

To remove the shift, click Remove from Schedule. A Remove this shift? confirmation asks for a Remove from date; all pending shifts on or after that date are removed. Past schedule entries and completed work are not affected. Click Remove Shift to confirm.

Changing a Technician's Position

A technician's position is not set per shift, and the Edit Schedule Block drawer has no position field. Position is set on the technician's profile instead:

  1. Open the technician's profile and go to Time & Attendance > Default Schedule.
  2. In the Default Team & Position card, choose a new Default Position.
  3. In the Change Default Team dialog that opens, confirm the team and position, and pick an Effective Date. It can be in the past; the dialog suggests tomorrow. Schedules on or after that date are updated, and past days keep their attendance. Past days you set to another team or position for the day, and days marked absent for the whole day, stay as they are.

If the technician has no scheduled default team, the new position saves immediately without the dialog. See Time & Attendance Tab for details.

Dragging to Reassign Technicians

You can use drag-and-drop to reorganize schedules:

  • Drag a technician card from the sidebar onto a team's time grid to create a new schedule block.
  • Drag an existing block to move it to a different time or day within the grid.
  • Drag an existing block onto the sidebar to remove the assignment (the technician moves back to Unassigned).

Tips

  • Use "View Schedule As Of" to preview how your roster will look after an upcoming change takes effect.
  • Location filters are useful for offices with multiple locations — narrow the view to just the teams you manage.
  • Effective dates protect future shifts. If a technician is already scheduled for next week, a change with an effective date of next Monday won't disrupt this week's schedule.
  • The sidebar drop zone is a quick way to remove a block: just drag it off the grid.
  • Stacked view is better for spotting gaps in day coverage; Row view is better for reviewing individual technician workloads.

Troubleshooting

No teams appear after applying location filters

Try clearing one or both location filters — the selected location combination may not match any active team.

"Cannot view past schedules" note appears

The "View Schedule As Of" date does not support viewing historical schedules. Set it to today or a future date.

Conflict error when creating a block

The selected technician already has a shift that overlaps your chosen times on that day. Adjust the start/end times or check the existing block first.

Effective date defaults to next week

The drawer defaults to the next occurrence of that day of week (e.g., editing a Monday block defaults to next Monday). Use the Set to Today button if you need the change to apply immediately.
