Schedule & Attendance Sub-Tab

The Schedule & Attendance sub-tab shows a technician's attendance records for a selected month. Use it to review scheduled shifts and actual clock-in times, spot patterns in attendance, add missing entries, and open records for editing.

If you don't see the Time & Attendance tab, your role may not have permission. Contact your administrator.

Opening the Sub-Tab

  1. Go to Office > Technicians.
  2. Click a technician's name to open their profile.
  3. Select Time & Attendance in the left navigation.
  4. Click the Schedule & Attendance tab (the first of four tabs at the top of the section).

The card header shows the current month and year. Use the month navigation control to move backward or forward. The calendar or table reloads automatically when the month changes.

Calendar View

The default view is a monthly calendar grid running Sunday through Saturday. Each day cell shows all attendance records for that date.

Day Cell Contents

ElementDescription
Day numberShown in the top-left corner. Today's date has a blue highlight ring.
Default schedule hintA small clock icon and time range in the top-right corner shows the technician's recurring schedule for that day of the week. Only appears when a default schedule block exists. Click it to open the Add Schedule drawer pre-filled for that date.
Attendance pillsColored blocks showing each attendance record. The pill displays the scheduled time range or the status name if no times are recorded.

Attendance Pills

Each attendance pill uses a color that matches the record's status. Hover a pill to see a tooltip showing:

  • Status name
  • Clock-in and clock-out times
  • Total duration
  • Team name

Click a pill to open the edit drawer for that record. The drawer type depends on the record type:

  • Scheduled shift — opens the Schedule entry drawer where you can update start/end times, status, reason, and flags.
  • Time clock entry — opens the Time Clock drawer where you can update the actual clock-in and clock-out times. If your role can delete time entries, the drawer also has a Delete button.

Adding a Schedule Entry

Every day cell shows an Add + button, dimmed until you hover the cell. Click it to create a new schedule entry for that date. The schedule entry drawer opens with the date pre-filled.

If a whole month has no attendance records at all, the calendar shows a notice that the month is empty rather than leaving it looking like the data failed to load.

Table View

Click Table in the view toggle (top-right of the card) to switch from calendar to a grid layout.

Rows are grouped by date and expand by default. Each row represents one attendance record.

ColumnDescription
StatusColor-coded badge showing the attendance status
TimeClock-in and clock-out times
TotalTotal hours for the entry in hh:mm format
TeamTeam name for the shift
NotesAny reason or notes recorded on the entry

Click any row to open the edit drawer for that record, the same as clicking a pill in the calendar view.

Status Legend

A color legend appears below the calendar or table. It shows all possible attendance statuses and their corresponding colors.

StatusWhat it means
AvailableTechnician worked a scheduled shift
PTOPaid time off
ExcusedExcused absence
SickSick leave taken
Out / HolidayOut of office or company holiday
UnexcusedUnexcused absence
Time ClockEntry recorded by the time clock system

Technicians can also upload an excuse document for their own unexcused absence from the technician portal. It arrives as Pending review on the same schedule record, where you approve or deny it.

Tips

  • Default schedule hint as a planning tool — the clock icon in each day cell shows what shift the technician is expected to work based on their recurring schedule. Use it to quickly spot days where no attendance record was created but one was expected.
  • Calendar for patterns, table for detail — the calendar view makes it easy to see gaps or clusters of absences at a glance. Switch to table view when you need to export or review exact times.
  • Pill color tells you the status instantly — you do not need to hover to know whether a day shows PTO or a worked shift. The color matches the legend below.
  • Add + creates schedule entries only — the Add + button adds a scheduled shift entry, not a time clock entry. Use it to fill in missing schedule data for a past date.
  • Click the default schedule hint for a shortcut — clicking the clock icon/time range in a day cell opens the Add Schedule drawer pre-filled for that date, so you don't need to hover for the Add + button.

Troubleshooting

No records appear for a date I expect

Attendance records come from schedule entries. If the technician was not scheduled on that date, no record will appear. Click Add + on that day cell to add a retroactive schedule entry.

The default schedule hint is missing from a day

The hint only appears when the technician has a recurring schedule block for that day of the week. If no block is set, nothing shows. Go to the Default Schedule sub-tab or the Default Schedule Tab in the main Technicians area to set recurring blocks for their team.

A pill shows a status I do not recognize

Check the status legend below the calendar. If the status still seems wrong, open the record by clicking the pill and review the recorded status in the edit drawer.

I cannot see the Add + button

The Add + button is dimmed until you hover a day cell, but it is always present in the cell. If you hover and still see nothing, your role may be view-only and the button is not available.

The calendar shows an empty-month notice

This means the selected month genuinely has no attendance records — it's not a loading error. Use the month navigation to check a different month, or click Add + on a day cell to add one.

Clicking a time clock pill opens a different drawer than expected

Time clock entries and schedule entries use different drawers. Time clock records open the Time Clock drawer, which edits clock-in and clock-out times and, if your role can delete time entries, offers Delete with a Delete Day Clock? confirmation. Schedule records open the Schedule entry drawer with the full set of fields.
