Opening the Tab
You can reach Teams management from two places:
- Go to Office > Technicians and click the Teams tab at the top of the page.
- Go to Settings > Team & Operations > Teams to access the same interface from the Settings page.
Toolbar Controls
At the top of the Teams tab you can:
- Search by team name
- Switch views between Cards and Table
- Click Create Team to add a new team (requires create permission)
Cards View
Cards view shows each team as a color-coded card. This view is best for seeing team composition at a glance and for reassigning technicians between teams by dragging them.
Inactive teams appear under Inactive Teams below the active cards. Team order can be changed only in Table view — Cards view shows "Switch to Table view to reorder teams."
Reading a Team Card
Each card shows:
- Team color swatch — Matches the color used for this team on the schedule board
- Team name — Large, bold header
- Inactive badge — Shown next to the name of an inactive team
- Member count — "N members" shown below the header
- Team member list — Each member's name with their position badge
Position badges use color-coding to indicate roles:
- Captain — Purple badge
- Lead — Blue/primary badge
- Member — Gray badge (default)
- Trainee — Amber badge
Click any technician's name to open their profile.
Action Buttons on a Card
Users with edit or delete permission see icon buttons in the top-right corner of each card:
| Button | Action |
|---|---|
| Edit (pencil icon) | Open Team Settings to edit all team properties |
| Deactivate (trash icon) | Deactivate the team (requires confirm step) |
| Reactivate (circular arrow icon) | Shown on inactive teams instead of Deactivate; makes the team active again (requires edit permission) |
Drag-and-Drop Member Reassignment
In cards view, you can move a technician from one team to another by dragging. Each technician has a grip handle (⋮⋮) on the left side.
How to reassign a technician:
- Click and hold the grip handle next to the technician's name.
- Drag the technician to the destination team card.
- The target card highlights with a blue ring when it is a valid drop target.
- Release to drop.
A Change Default Team dialog appears. Complete the following fields before confirming:
- New Team — Shown for reference (read-only)
- Effective Date — The date the team change should take effect on schedules. Defaults to tomorrow.
- Position — Select the role the technician will hold on the new team (Captain, Lead, Member, or Trainee). Defaults to the technician's current position.
If you set an effective date in the past, the technician's existing schedules on their old team from that date move to the new team and keep their attendance. Days they were moved to another team for the day, and days marked absent for the whole day, stay on the team they were on. Days from today on are rebuilt from their default schedule. If you drop a technician on Not Scheduled with a past date, they come off their team from today, and past days are not changed.
Click Confirm Change to complete the reassignment. Click Cancel to close without making changes.
Table View
Table view lists all teams in a compact, sortable table. This view is best for reviewing team statuses and reordering teams.
Table Columns
| Column | Description |
|---|---|
| (drag handle) | Grip handle for reordering rows and moving a team between Active and Inactive |
| Color | Colored circle showing the team's color |
| Team Name | Name of the team |
| Members | Active member count |
| Status | Active or Inactive badge |
| Actions | Edit and Deactivate icon buttons (Reactivate on inactive teams) |
Inactive teams are listed under an Inactive Teams heading below the active rows.
Reordering Teams in Table View
You can drag teams to change the order in which they appear throughout the application (for example, on the Schedule board). Dragging a team across the Inactive Teams heading also changes its status when you save.
- Click and hold the grip handle on the left side of any row.
- Drag the row up or down to the desired position. Drop an active team below Inactive Teams to deactivate it, or an inactive team above the heading to reactivate it. Inactive teams can also be reordered among themselves.
- A banner appears at the top when the order has changed: "Team order has been changed. Save to persist the new order."
- Click Save Order to persist the new order and any status changes.
- Click Discard to revert to the original order without saving.
Until you click Save Order or Discard, the Reactivate, Deactivate and Save Settings buttons are unavailable. Hover over one to see "Save or discard the new team order first."
Creating a Team
Click Create Team in the toolbar — or go to Settings > Team & Operations > Teams — to open the Add Team drawer. It's the same drawer used for editing a team, with a shorter set of fields since a new team doesn't need every setting yet.
Fields
| Field | Description |
|---|---|
| Team Name | Required. The name that appears throughout the application. |
| Team Color | Pick from your service zone colors, or enter a custom color. |
| Based Out Of | The office (or satellite office) this team is based out of. Only shown if your company has more than one office location. |
| Start Location | Where routes begin for each technician on this team — an office, a satellite office, or Technician's Home. |
| End Location | Where routes end for each technician on this team — an office, a satellite office, or Technician's Home. |
| Clock-In Policy | Soft Start or Hard Start — see Clock-In Policy below. |
| Team Members | A scrollable checklist of active technicians. Check any you want to add to this team. |
A new team is created Active, with startup and wrap-up time included in its Schedule Efficiency numbers by default. Open Team Settings after creating the team if you need to change either one.
Click Create Team to save, or Cancel to close without saving.
Editing Team Settings
Click the edit (pencil) icon on any team card or row to open the Team Settings drawer. All editing happens in this single drawer.
Team Name and Status
- Team Name — Update the display name.
- Status — Set to Active or Inactive. Inactive teams are hidden from default schedule views.
Team Color
Colors are used to identify the team visually on the schedule board and other views. You can choose in two ways:
- Pick from Zone Colors — Select a color that matches one of your service zones. This keeps team and zone colors aligned for easier dispatch.
- Use Custom Color — Enter a hex code or use the color picker for a color that is not tied to a zone.
Aligning team colors with zone colors helps dispatchers match teams to their routes at a glance.
Routing Locations
These settings control how routes are built for this team each day.
| Setting | Options | Effect |
|---|---|---|
| Based Out Of | Dropdown of your office and satellite office locations | Links the team to a specific office for reporting and filters |
| Start Location | An office, a satellite office, or "Technician's Home" | Where routes begin for each technician on this team |
| End Location | An office, a satellite office, or "Technician's Home" | Where routes end for each technician on this team |
Selecting Technician's Home for start or end means each team member's route begins or ends at their individual home address rather than a shared office.
Startup and Wrap-Up Time
The Include Company Startup and Wrapup Time for Schedule Efficiency checkbox, in Team Settings, controls whether the team's configured startup and wrap-up time counts toward its Schedule Efficiency numbers. It's on by default for a new team.
Clock-In Policy
Clock-In Policy decides which time payroll counts from when a technician clocks in before their scheduled start. It is set for each team.
| Policy | Description |
|---|---|
| Soft Start | Employees are paid from their actual clock-in time, even if early |
| Hard Start | Employees are paid from their scheduled start time, not their actual clock-in time |
Example: a technician is scheduled for 8:00 AM and clocks in at 7:45 AM. On a Soft Start team, they are paid from 7:45 AM. On a Hard Start team, they are paid from 8:00 AM.
To change it:
- Go to Office > Technicians and open the Teams tab.
- Click the edit (pencil) icon on the team.
- In the Team Settings drawer, choose Soft Start or Hard Start under Clock-In Policy.
- Click Save Settings.
Choose Soft Start if arrival times vary and you want to pay for all time worked. Choose Hard Start if early arrivals should not add pay. A policy change applies only to timesheets submitted after you save it. Earlier timesheets are not changed. To see each technician's policy and the time payroll counts from, open Office > Time.
Team Member Roles
If the team has members, each member is listed with a role dropdown. You can assign:
- Captain — Team lead with overall responsibility
- Lead — Senior technician
- Member — Standard team member (default)
- Trainee — New or in-training technician
Role badges are visible on team cards and in the technician list, making it easy to see seniority at a glance.
Saving
Click Save Settings to apply all changes. Click Cancel to close the drawer without saving.
Deactivating a Team
Click the deactivate (trash) icon on a team card or row. A confirmation dialog appears:
Are you sure you want to deactivate [Team Name]? The team will be marked as inactive and hidden from default views.
Click Deactivate to confirm, or Cancel to keep the team active.
In Table view you can also drag the team below the Inactive Teams heading and click Save Order. No confirmation dialog appears for this.
Deactivated teams are not deleted. They are listed under Inactive Teams below your active teams. To reactivate one, click the Reactivate icon on its row or card, drag it above the Inactive Teams heading in Table view and click Save Order, or open Team Settings and set Status to Active.
Tips
- Match team colors to zone colors. When team colors align with zone colors, dispatchers can instantly see which team covers which area. Use the "Select from Zone Colors" picker in Team Settings to keep things consistent.
- Use Hard Start for punctuality tracking. If your company pays from the scheduled start time, set Clock-In Policy to Hard Start. This prevents early arrivals from inflating payroll hours without authorization.
- Drag to reassign, not to remove. Dragging a technician to a different team card reassigns them. There is no drag-to-remove — use the Team Settings drawer to manage membership.
- Set an effective date when reassigning. The Effective Date in the Change Default Team dialog controls when the change appears on schedules. Setting it to today or the next business day prevents retroactive schedule changes.
- Save table row order explicitly. Reordering rows in table view does not auto-save. The "Save Order" bar appears until you save — don't forget to click it before leaving the tab.
- Inactive teams stay in the system. Deactivating a team does not remove its history or the technicians in it. Reactivate it any time with the Reactivate icon or from Team Settings.
Troubleshooting
| What you see | Solution |
|---|---|
| Create Team button is not visible | Your role may not have the teams create permission. Contact your administrator. |
| Deactivate (trash) button is missing | The trash button needs the teams delete permission, which Payroll Admins don't have. With edit permission you can still deactivate a team: set Status to Inactive in Team Settings, or in Table view drag it below Inactive Teams and click Save Order. |
| Drag handle does not respond | Only users with update permission can drag, so Technician-role users cannot. The Not Scheduled row always stays at the top. |
| After drag, "Change Default Team" dialog shows no positions | The system could not load position options. Click the Refresh button in the dialog or refresh the page and try again. |
| Team order changes are not saved | Reordering only saves when you click Save Order. If you left the page without saving, the order was not persisted — redo the reorder and save. |
| A team is missing from the list | Inactive teams are listed under Inactive Teams at the bottom of the list. Click Reactivate to make the team active again. |
| Zone Colors section in Team Settings shows no options | Your company may not have any active service zones configured. Set up zones in Settings first. |
