Reports Overview

Use Office > Reports as your central workspace for business visibility. This area combines a report catalog, KPI-driven dashboards, detailed report pages, and route-specific analytics experiences so office leaders can review performance without bouncing across multiple modules.

note

Report visibility is controlled by both company features and user permissions. If the Reports feature is disabled for your company, Reports workflows are hidden even when a user has report permissions.

Open the Reports workspace

  1. Open the left navigation.
  2. Select Office > Reports.
  3. The page opens to the Reports tab by default, with optional KPI tabs available in the same route.

How access control works

Reports uses the standard two-layer model:

  • Feature layer (company level): some report pages are turned on by their own company features, such as Sales KPI Report, Dispatch Board Report, and Scorecard Results.
  • Permission layer (user level): your role must include the matching report permissions, such as general report access, Sales KPI, employee stats, and analytics access.

This means a user can see a report page only when both the company feature and the required permission allow it.

Main report surfaces in this module

The Reports feature currently includes three primary surfaces:

  • Catalog browser on the Reports page for category-based report discovery
  • Report detail pages for the reports that open in the standard report layout
  • Specialized routes for advanced pages such as revenue, employee stats, sales KPI, analytics suite views, dispatch board, and scorecard workflows

What data powers the page

The page loads the report list, categories, and each report's details from the report catalog.

When analytics configuration is missing, analytics routes show a clear not-configured state instead of broken charts.

Daily workflow recommendation

  1. Start in Reports tab and search by title, category, or purpose.
  2. Open the report and review KPI cards first.
  3. Switch to chart or table view for deeper analysis.
  4. Apply date and status filters before sharing results.
  5. Export or share your final view for team follow-up.

Where to find common numbers

Lists of customers, cancellations and skips

I want to see...Go to
A list of customers, such as active, bi-weekly or new in the last 90 daysOffice > Contacts. Filter the list, then switch to Advanced to see phone, email and base fee on screen. To download a list, select rows with the checkboxes and click Export in the selection bar; the file has only the selected rows and the columns showing in the grid. See Contacts Table and Map Views

Technician headcount over time

Pulse does not have an office report that lists technician headcount week by week. These pages show headcount in other ways:

  • Core KPIs tab on Office > Reports: shows Avg # of FTE Cleaning Technicians (the average number of full-time-equivalent cleaning technicians each day), Avg Technicians Hired Per Month, and Avg Technician Turnover Per Year. Use the week count and Weeks Ending On controls in the toolbar to look back at an earlier period. The values are averages over the weeks you choose.
  • Staff Count dashboard widget: current staff headcount with a 4-week trend. A Staff Lost widget is also available. Add either one to a custom dashboard. See Build a Custom Dashboard.
  • Payroll History: the Employees column shows how many employees were in each closed payroll period. Requires payroll access. See Payroll Workspace Overview.
  • Franchise KPI Report: for franchise organizations only. It is in the Franchise portal, which requires the Host Administrator or Super Administrator role, so office users do not see it. Its Workforce columns show Active Tech Count (average active technicians in the period) and Techs Departed, and Tech Turnover % appears under Quality & Retention. See Franchise KPI Report.

Daily report of client payments

Two pages cover the card payments your company processed through Pulse. They have different role lists:

  • Transactions Report: Administrator and Sales.
  • Payment Reconciliation: Administrator only.

Office, HR Admin, Payroll Admin, and Technician users can't see either page.

  • Transactions Report (also called Transaction History): lists each card charge with Charged On, Amount, Surcharge, Total Charge, Status, and Charged By. Set the date range to a single day to see that day's payments. The range uses the date the charge was made, in your company's time zone. Export the list to CSV or Excel. The page has no menu entry yet; see Refunds and Voids for how to open it.
  • Payment Reconciliation: matches the processor's deposit for one funding date against the charges behind it. It opens on yesterday's date. Open it from the Payment Reconciliation card on the Invoicing overview, or from the Tools section of the Reports page under Reconciliation & Reporting. See Payment Reconciliation.

Payments by method, card expiration and cash flow

To list customers by how they pay (for example cash, check or card), filter Office > Contacts by Billing Term. There is no report for card expiration dates, and none for daily net cash flow or bank deposits. For card charges and deposits, use the Transactions Report and Payment Reconciliation above.

Employee hours, pay rates and absences

Use Payroll Summary or Employee Stats. Both can be exported.

Technician preferences

There is no report that lists customers' technician preferences. Preferences are on each customer's Profile tab. See Customer Profile Tab.

Troubleshooting

I can see Reports in navigation but some report pages redirect

Those pages are feature-gated routes. Your company may not have the related feature enabled.

A report appears but no chart data loads

Check whether analytics is configured in the environment and confirm your account has analytics access permission.

I can open the report list but not a specific advanced report

You may have general report access but be missing a specialized permission such as employee stats or Sales KPI. Some reports are also limited by role. For example, Revenue Production Planning and Kiosk Dashboard are for Administrator and Sales only, and Week in Review needs the Payroll Admin add-on.
