Exporting Report Data
Most report pages in MaidCentral Pulse let you save what you see to a CSV or Excel file. This article shows where the export controls live, what access you need, and exactly what lands in the file.
Where is the export button?
Look in the toolbar at the top of the report page, on the right side. Export is always a toolbar control — it is never hidden in a row menu or a three-dot menu. The exact shape varies a little by report:
| Report | Control | Formats |
|---|---|---|
| Sales KPIs | Export dropdown | Complete Excel workbook, Net Sales CSV, Lead Source CSV, Activity CSV |
| Revenue Production Planning | Export dropdown | CSV, Excel |
| Scorecard Results | Export dropdown | CSV, Excel |
| Service Set Pricing | Export CSV / Export Excel items | CSV, Excel |
| Job Count by Date & Status | Export dropdown | CSV, Excel |
| Add-On Usage | Export dropdown (exports the active tab) | CSV, Excel |
| Employee Stats | Export dropdown | CSV, Excel |
| Dispatch Summary | CSV and Excel buttons | CSV, Excel |
| Franchise KPI reports | CSV and Excel buttons | CSV, Excel |
| Customer Lead Lifecycle | Export dropdown | CSV, Excel |
| Availability & Capacity | Export button | File download |
| Cancelled Customers | Export dropdown | CSV, Excel |
| Consistency | Export dropdown | CSV, Excel |
| Team Mileage | Export dropdown | CSV, Excel |
| Stats by Week | Export dropdown | CSV, Excel |
| Dispatch Board (Schedule → Dispatch) | Export dropdown | CSV, Excel |
| Missing Tips (Payroll) | Export dropdown | CSV, Excel |
| Revenue Report | Export dropdown (table view) | CSV, Excel |
| Job Metrics | Export dropdown | CSV, Excel |
Drill-down views export too. The revenue tables, revenue detail drawers, the job-count drill-down panel, and the rate-change preview step each have their own export control inside the drawer or panel.
A few notes:
- On smaller screens some export buttons shrink to an icon. Dispatch Summary, for example, shows just the download icon below a certain window width. Widen the window or hover the icons in the toolbar.
- The export button is disabled until data loads. If the button looks grayed out, wait for the report to finish loading or adjust filters so the report has rows.
- Reports export to CSV and Excel. Payroll pay sheets can also be generated as PDF from the payroll area.
- Exports are on-demand downloads. Reports are not emailed on a schedule.
Which role or permission do I need to export?
For most reports: if you can open the report, you can export it. There is no separate export permission for the general report pages — the export button uses the same access as viewing. Company-level export options for CSV and Excel are turned on by default.
There are three exceptions where export is a separate right:
- Sales KPIs — the Export dropdown only appears for users with the Sales KPI export permission. If you can see the report but not the Export control, ask your administrator to grant that permission on your role.
- Availability & Capacity — the export button requires the availability export permission.
- Payroll exports — everything under the payroll Export menu requires the payroll export permission, and the server enforces it as well.
If an export button you expect is missing, the order to check is: are you on the right page, does the report have data loaded, and then does your role carry the specific export permission for that report.
What's in the file versus what's on screen?
Exports are what-you-see-is-what-you-get. For grid-based reports, the file contains:
- Only the rows that match your current filters. Filtered-out rows are not in the file.
- Your current sort order.
- Only the columns currently visible, in their current order. Hidden columns stay out of the file. If you want a column in the export, show it in the grid first.
- Grouping and pivots as displayed on reports that support them, such as Job Count by Date & Status.
A few report-specific details:
- Franchise KPI exports include the pinned totals rows at the top or bottom of the grid.
- Revenue table exports round revenue columns to two decimals, matching the on-screen display.
- Employee Stats, Cancelled Customers, Consistency and Team Mileage export a fixed set of columns in a fixed order. Hiding a column still leaves it out of the file, but dragging columns into a new order does not change the file, and a few grid columns are never exported (for example Vacation Days on Employee Stats). Some file columns come with another column instead: on Consistency, Home and Address are in the file whenever Customer is shown. Grouped views on these reports export one row per record, with the grouped column kept as an ordinary column.
- Sales KPIs' "Complete Excel workbook" bundles the summary, revenue breakdown, by-rep, and by-source data into one file; the CSV options each export one section.
- File names include the report name and today's date, for example a Revenue Production Planning export saves as
revenue-production-planning-2026-08-25.xlsx.
Because exports mirror the screen, the fix for "the file is missing data" is the same as for the screen: widen the date range, clear filters, or show hidden columns, then export again. If a one-day export contains next-day records, that is a timezone boundary effect, not an export bug — see Why Is a Record Missing from My Report?.
Where are payroll exports, including Inova?
Payroll exports live in the payroll area, not in Reports. Go to Office > Payroll and open the summary report. The Export dropdown in its toolbar offers:
- Export as CSV
- Export as Excel
- Pay Sheets (PDF)
- Pay Sheets (Excel)
- Inova Export
- Send to Inova
The whole menu requires the payroll export permission, and it is disabled when no employees are in the current payroll view.
If the Inova options are missing after you close payroll, check these in order:
- The Inova export feature must be enabled for your company. It is off by default — your administrator or MaidCentral can turn it on.
- The Inova options only appear when there are payrolls ready for Inova. With the feature on but nothing to send, the menu hides them.
- Send to Inova applies to a closed, historical payroll. Select the closed payroll run in history first; the upload option is not offered on an open payroll.
- You need the payroll export permission, the same one that gates the rest of the Export menu.
Once submissions start flowing, the payroll history table adds an Inova Status column so you can track each run.
Can I export my customer list?
Yes, from the Contacts page. It has no toolbar Export button. Instead, filter the list, select the customers you want with the checkboxes, and click Export in the selection bar; the file has only the selected rows and the columns you have showing in the grid. Right-clicking a row and choosing Export writes every row the grid has loaded instead, ignoring the checkboxes. The selection bar hides Export when the selection includes rows that haven't loaded. Exporting needs the Export Customers permission and the Export Contacts feature, which is on unless an administrator turned it off. Steps are in Contacts Table and Map Views.
For weekly numbers, use the reports in the table at the top of this page, such as Job Count by Date & Status, which exports to CSV or Excel.
Is there a job-tag report to export?
Pulse does not have a job-tag report. Searching the report catalog for "job tag report" points you to the Dispatch Board, which covers the closest ground — daily jobs, hot sheet, and first-time-in jobs — and exports to CSV or Excel, though its file has no tag column. If you need tag-based data in a file, use a report grid that shows tags as a column or filter (Revenue Production Planning's Production Data grid has a Tag column, for example), filter by the tag, and export that grid.
Tips
- Set up the grid before you export. Show the columns you need, apply filters, and sort — the file will match exactly.
- Use saved grid views on reports that support them to recall your favorite export layout in one click.
- Prefer the Excel option when numbers matter. CSV files can lose leading zeros and date formatting when opened directly in a spreadsheet program.
- Export before meetings, not during. Files reflect the data at the moment of export; a file saved yesterday will not include last night's changes.
