Timesheets Overview

The Time page in MaidCentral Pulse is the central hub for managing employee hours. It brings together day clocks, job clocks, event clocks, break tracking, schedule comparison, and export tools — all in one place. Office teams use this page to review labor activity, handle correction requests, and prepare data for payroll.

note

This feature may need to be enabled for your company. If you don't see Time in the navigation, contact your administrator to check your feature settings.

How to Open the Time Page

  1. Click Office in the left navigation
  2. Click Time

The page opens at today's date with the last view you used. The selected date and view are saved in the URL, so you can bookmark or share a specific day and view with a colleague.

note

Coming from the old MaidCentral? The Employee Clock Monitor is now the Time page. Use it to see who is clocked in, and to fix or delete a clock.

What You Will See

The Time page has three main views, plus a map panel. Switch between views using the tabs at the top of the page.

Timeline View

Shows a visual timeline of each technician's clock activity for the selected day. You can see when technicians clocked in and out, what jobs they worked on, what events they attended, and when they took breaks. This is the best view for understanding the flow of a technician's day.

Table View

Shows time entries as rows in a data grid, grouped by team. You can sort, filter, expand groups, and take actions on individual entries. This view is best for quick row-level review and bulk operations.

Variance View

Compares scheduled hours against actual hours worked. Dashed blocks represent the schedule, and solid blocks show actual recorded time. Color coding highlights entries that are on time, slightly off, or significantly different. This view is essential for catching overtime, missed shifts, and scheduling drift before payroll.

Technician Name Features

Technician names in the timesheets table include two helpful indicators:

  • Hourly badge — An "Hourly" badge appears next to technicians who are configured as hourly employees. This helps payroll teams quickly identify which entries are hour-based versus commission-based.
  • Work start time — The time each technician started work for the day is shown alongside their name, so you can see at a glance when each person began.

Late, Hard Start and Soft Start markers

The Day Start row for each technician shows markers that help you check punctuality and pay:

  • Late indicator: a flag on the clock-in time when the technician was marked late for that shift.
  • Hard Start or Soft Start badge: the clock-in policy of the technician's team. It decides which time payroll counts from:
    • Soft Start: pay starts at the actual clock-in time, even if early.
    • Hard Start: pay starts at the scheduled start time, so time before it is not paid.
  • Work Start: the time payroll counts from. If it differs from the actual clock-in time, an indicator appears. Hover over it to see both times.

Example: a technician is scheduled for 8:00 AM and clocks in at 7:45 AM. On a Soft Start team, Work Start is 7:45 AM. On a Hard Start team, Work Start is 8:00 AM, so the 15 minutes are not paid.

To change the policy, edit the team's Clock-In Policy. See Teams tab.

Map Panel

Available alongside Timeline and Table views, the map panel shows where technicians clocked in and out on a map. Enable the Link toggle to highlight a technician's location when you hover over their timeline or table row.

Types of Time Records

The Time page tracks four types of clock entries:

Record TypeWhat It Tracks
Day ClocksWhen a technician starts and ends their workday (clock in/clock out)
Job ClocksTime spent on specific customer jobs (arrive/depart)
Event ClocksTime spent on scheduled events like meetings or training
BreaksLunch breaks, rest breaks, and other break types

Each type opens its own detail view when you click on it, showing the full entry with times, status, and any notes.

Use the left and right arrow buttons next to the date to move one day forward or backward. You can also click the date itself to open a date picker and jump to any specific day.

The page remembers your selected date in the URL. If you refresh or share the link, it returns to the same day.

Payroll Lock Protection

When the selected date falls within a closed payroll period, the Time page shows a lock banner at the top. This means:

  • You can still view all entries for that date
  • Editing is restricted to prevent changes to finalized payroll data
  • Time-change requests can't be submitted or approved for a date in a closed payroll period

Always check for the lock banner before attempting corrections on past dates.

Common Workflows

Daily Time Review

  1. Navigate to Office > Time
  2. Select today's date (or the date you need to review)
  3. Use Timeline view to scan clock activity by technician
  4. Click any entry to open its detail view and verify times
  5. If something looks wrong, submit a correction request or edit directly (if your role allows)

Reviewing and Approving Corrections

When technicians or managers submit time clock change requests:

  1. Open the Time page
  2. Look for entries flagged with pending corrections
  3. Open the correction request to see the original and requested times
  4. Approve the request, or Deny it and enter the required reason

Can I approve or deny several time change requests at once?

Yes. On the Time page, click Change Requests, then tick the pending requests you want to act on, or tick the box in a list's header to select every pending request in that list. Click Approve Selected, or click Deny Selected and enter one reason that applies to all of the selected requests, then click Confirm Deny. Each request is checked on its own, exactly as if you had approved or denied it individually. Any request that cannot be approved or denied (for example, one in a closed payroll period, or one that would put the end time at or before the start time) stays ticked, and the message names the first one. Pending requests from other dates are listed under Other Pending Requests, so you can clear the backlog without changing the date. MaidCentral V2 approves or denies one request at a time; Pulse adds bulk review so a busy week of corrections takes one pass instead of one click per request. (Pulse reference D-63)

Why won't a time change request approve?

A time change request can't be approved when its date is in a closed payroll period, or when approving it would put the end time at or before the start time. For example, a timesheet reads 8:00 AM to 12:00 PM and a request changes only the start to 2:00 PM. The message says the change would put the end time before the start time, and the request stays pending. Deny it, or ask the technician for a new request with both times. MaidCentral V2 also refuses an end before the start, but it allows an end equal to the start, and on a job clock it can leave the request marked approved without changing the time; Pulse keeps the request pending so it can still be acted on. (Pulse reference D-79)

Payroll Preparation

  1. Set the date range to match your payroll period
  2. Switch to Variance view to spot schedule drift and overtime
  3. Review the summary cards showing total scheduled hours, actual hours, and net variance
  4. Switch to Table View to address any individual entries that need correction
  5. Process any outstanding time-change requests
  6. Use the Export button to download payroll-ready files

Mobile Access

On mobile devices, the Time page displays time entries as cards grouped by team, rather than the full desktop timeline or grid. You can still switch dates, view entry details, and take actions. The URL state is preserved, so switching between your phone and computer keeps your place.

Tips and Best Practices

  • Start with Timeline when you need to understand the sequence of a technician's day.
  • Use Table View for fast scanning and row-level corrections across many technicians.
  • Check Variance before every payroll export to catch drift and overtime patterns.
  • Use the map panel with Link mode to verify location claims during audits.
  • Confirm the payroll lock banner before making corrections on past dates.
  • Bookmark specific dates by copying the URL — the date and view are stored in the link.
  • Check the Hourly badge to quickly distinguish hourly employees from commission-based technicians during payroll review.
  • Use the Late indicator and Hard/Soft Start columns to identify punctuality issues before they become patterns.
