Event Clocks

Event clocks record when a technician arrives at and departs from a scheduled event — such as a team meeting, training session, or company activity. Like job clocks, each event clock entry is tied to a specific event on the schedule and tracks the actual time spent there. Event clock data feeds into payroll calculations alongside day clocks and job clocks.

How Event Clocks Work

An event clock has two parts:

  • Time In — When the technician arrives at the event
  • Time Out — When the technician leaves the event

The system calculates the duration automatically. Each event clock also records the technician's team position (Captain, Teammate, Solo, or Trainee).

Event pay is the technician's Hourly Rate x hours, added once they clock out (the event's Payment Type decides whether scheduled or clocked hours count). A technician with no Hourly Rate gets $0.00 for an event clock. See Pay Structure.

Events vs Jobs vs Day Clocks

All three record types are part of the time tracking system but capture different things:

RecordWhat It TracksExample
Day ClockFull workday shift7:00 AM to 4:00 PM
Job ClockTime at a customer property8:15 AM to 10:30 AM at the Smith residence
Event ClockTime at a scheduled event9:00 AM to 10:00 AM at the Monday team meeting

A technician could have a day clock running for the full shift, with job clocks and event clocks filling in the details of where that time was spent.

Scheduled Events vs Event Clocks

Creating an event on the schedule tells MaidCentral Pulse when and where the event is planned. Event clocks record the actual times that technicians attended. The scheduled time appears as a reference when creating or editing an event clock, so you can easily compare planned vs actual attendance.

For Technicians: Clocking In and Out

How to Clock In to an Event

Clock in for the day before you check in to an event. If you haven't, the check-in is blocked and you'll see "You must clock in for the day before checking into an event."

  1. Open your events list on your mobile device or the technician portal
  2. Find the event you are about to attend
  3. Tap Check In
  4. The system records the current time and your location (if enabled)
  5. You will see a confirmation message

How to Clock Out of an Event

  1. When the event ends, return to your events list
  2. Find the event that is in progress
  3. Tap Check Out
  4. The system records the clock-out time
  5. Your total hours for the event are calculated automatically
tip

Clock in and out at the actual time you arrive and leave. The scheduled event time is just a guide — your actual attendance may differ, and that is fine.

For Office Staff: Viewing Event Clocks

Event clock entries appear in several places.

On the Time Page

  1. Navigate to Office > Time
  2. Select a date
  3. Event clock entries appear in all views:
    • Timeline — Event clocks show as colored blocks on the technician's row
    • Table View — Event clocks appear as rows with type "Event Clock"
    • Variance — Event clocks are compared against the scheduled event duration

Click any event clock entry to open its detail view.

In the Event Detail Drawer

  1. Open an event from the Schedule page
  2. Look for the Clock Records section
  3. This shows every technician who clocked in and out for the event, with their actual times and duration

This is the quickest way to see who attended a specific event and how long they stayed.

Creating an Event Clock (Office Staff)

Office staff can manually create event clock entries — for example, when a technician attended an event but forgot to clock in.

  1. Open the event from the Schedule page
  2. In the Clock Records section, click the add button
  3. The Add Event Clock drawer opens
  4. Select a Technician — the system suggests team members assigned to the event
  5. Select the Position (Captain, Teammate, Solo, or Trainee) — this is auto-populated from the schedule if available
  6. Enter the Time In
  7. Optionally enter the Time Out — leave empty to keep the entry as in-progress
  8. The drawer shows the event's scheduled start and end times for reference
  9. Click Create Entry

A confirmation message appears: "Clock entry has been created successfully."

note

The technician must be assigned to the event's team on the event date. If you don't see a technician in the list, check that they are assigned to the event first.

Editing an Event Clock

  1. Click the event clock entry from the Time page, or open it from the event's Clock Records section
  2. The Edit Event Clock drawer opens
  3. You can adjust:
    • Time In — When the technician arrived
    • Time Out — When the technician left
    • Position — Their team role during the event
  4. The Duration updates automatically as you change the times
  5. Click Save Changes

A confirmation message appears: "Clock times have been saved successfully."

Deleting an Event Clock

  1. Open the event clock entry
  2. In the Event Clock detail view, click the delete action
  3. A confirmation dialog appears: "This will permanently delete this event clock entry. This action cannot be undone."
  4. Click Delete to confirm
warning

Deleting an event clock permanently removes the time record. If the technician attended the event, consider editing the times instead of deleting.

In-Progress Event Clocks

When a technician clocks in but hasn't clocked out yet, the event clock shows as in progress. This is normal during the event. After the event ends, the technician should clock out, or office staff can add the end time manually.

If event clocks are left in progress after the event date, they may need attention before payroll — similar to open day clocks.

Exporting Event Clock Data

  1. Navigate to Office > Time
  2. Click the Export button in the toolbar
  3. Check Event Clocks under export types
  4. Set the date range
  5. Optionally filter by technician or office
  6. Click Export to download the file

The export includes each technician's event name, time in, time out, and duration for every event in the selected range.

Tips and Best Practices

  • Use the Clock Records section on the event detail drawer for the fastest view of who attended a specific event.
  • Check in-progress event clocks at the end of each day. If a technician forgot to clock out, add the end time while you still remember when the event ended.
  • Compare planned vs actual by looking at the scheduled times shown in the event clock drawer alongside the recorded times.
  • Use event clocks for all paid events, including team meetings, training sessions, and company activities. This ensures accurate payroll.
  • Assign the correct position when creating entries so the record is accurate. Event pay itself depends only on the technician's Hourly Rate and the event's hours.
  • Export event clocks separately when you need to analyze time spent on non-customer activities like training.

Troubleshooting

IssueSolution
"You must clock in for the day before checking into an event"Clock in for the day first, then check in to the event again.
Can't find event clock option for an eventMake sure the event clock feature is enabled for your company. Contact your administrator if you don't see the option.
Technician not in the selection listThe technician must be assigned to the event's team on the event date. Add them to the event first, then create the clock entry.
Event clock shows in progress after event endedThe technician forgot to clock out. Edit the entry and add the correct end time.
Duration looks wrongCheck that both time in and time out are correct. The duration is calculated automatically from these two fields.
Can't edit event clock for a past dateThe date may fall in a closed payroll period. Check for the lock banner on the Time page.
Event clocks don't appear on the timelineVerify the date is correct and the technician has an event clock entry for that day. Event clocks only appear on dates where they were recorded.
