Editing Time Entries

This guide explains how to directly edit, create, and delete time entries in MaidCentral Pulse. It covers all four clock types — day clocks, job clocks, event clocks, and breaks — and explains when to edit directly versus submitting a correction request.

Who Can Access This

RoleAccess Level
Administrator, Group AdministratorCreate, edit, and delete all entry types
Office, Sales, HR Admin, Payroll AdminView entries, and approve or deny correction requests. They can't edit, create, or delete entries directly.
note

If you don't see edit options on time entries, your role can't make direct changes. Ask an Administrator or Group Administrator in your office, or submit a correction request.

When to Edit vs Submit a Correction

MaidCentral Pulse offers two ways to fix incorrect time entries:

MethodWhen to UseWho Can Do It
Direct EditYou have permission and the entry is not in a locked payroll periodAdministrators and Group Administrators
Correction RequestYou don't have edit permission, or you want an approval trailAny user can request. Office, Sales, HR Admin, Payroll Admin, and Administrators approve or deny.

Direct editing changes the record immediately. Use this when you need a quick fix and have the authority to make the change.

Correction requests go through an approval workflow. Use this when a technician needs to fix their own times, or when your company requires manager approval for time changes.

How to Open the Edit Drawer

You can edit time entries from two places on the Time page:

  2. Click the add action
  3. If prompted, choose the entry type (day clock, job clock, event clock, or break)
  4. Fill in the required fields in the create drawer
  5. Click Save or Create Entry

For details on creating each type, see the dedicated articles: Day Clocks, Job Clocks, Event Clocks, Breaks.

Common fixes

I need to...Do this
Remove a job clock from a jobOpen the job clock on Office > Time and click Delete.
Fix a clock that was started at the wrong homeThe job can't be changed on an existing clock. Delete the wrong clock, then create a new job clock on the correct job.
Fix a duplicate day clock or duplicate job clockOpen the extra entry and delete it. Keep the one with the right times.
Add a missed check-in or check-out timeEdit the entry and set the Start or End Date & Time, or have the technician submit a correction request for you to approve.
Change the technician on an entryDelete it and create a new entry for the right technician.

Deleting needs an Administrator or Group Administrator, and the date must not be in a closed payroll period. If it is, reopen the period first. See How to Reopen Payroll.

Deleting Time Entries

You can delete any time entry that you have permission to remove.

  1. Open the entry from Timeline or Table view
  2. Click the Delete button
  3. A confirmation dialog appears with the message: "This action cannot be undone."
  4. Click Delete to confirm
warning

Deleting a time entry is permanent. If the technician actually worked during that time, consider editing the entry instead of deleting it.

You can also delete entries directly from the Table view by clicking the delete action in the row menu.

Payroll Lock Protection

When a date falls within a closed payroll period, the Time page shows a lock banner:

"The payroll period has been finalized. Editing and creating time entries for this period is disabled."

When locked:

  • Edit buttons are disabled or hidden for entries on locked dates
  • Create actions are blocked for locked dates
  • Delete actions are blocked for locked dates
  • The entry drawer will not allow saving changes

You can still view entries on locked dates. To make changes to a locked period, a payroll administrator must reopen the period first.

Validation Rules

The system enforces these rules when saving edits:

RuleApplies To
Start time is requiredAll entry types
End time must be after start timeAll entry types (if end time is provided)
Team position is requiredJob clocks and event clocks
Technician cannot be changedAll entry types (in edit mode)
Break type cannot be changedBreaks (in edit mode)
Base percent must be 0–100Job clocks (payroll admin field)

If any validation fails, an error message appears and the entry is not saved.

Tips and Best Practices

  • Edit directly when you have permission and need a quick fix. It is faster than the correction request workflow.
  • Use "Send for Review" when you want an approval trail, even if you have direct edit permission. This creates documentation of who requested and who approved the change.
  • Check the payroll lock banner before attempting edits on past dates. If locked, you will need to ask a payroll admin to reopen the period.
  • Fill in the Reason for Change when editing day clocks. Even though it is optional, it creates a useful audit trail.
  • Verify the Duration after editing times. The calculated duration updates automatically — glance at it to confirm the hours look correct.
  • Don't change pay type or base percent unless you are a payroll administrator and understand the impact on pay calculations.

Troubleshooting

IssueSolution
No edit button on an entryOnly Administrators and Group Administrators can edit directly. Ask one of them, or submit a correction request.
Edit button visible but save failsThe date may fall in a locked payroll period. Check for the lock banner at the top of the Time page.
Can't change the technician on an entryTechnician cannot be changed in edit mode. If the entry is assigned to the wrong person, delete it and create a new one for the correct technician.
Pay type and base percent fields not visibleThese fields are only shown to users who can process payroll: Administrators and Group Administrators.
"End time must be after start time" errorCheck that the end date and time are later than the start. For overnight shifts, make sure the end date is the next day.
Saved changes don't appear in the tableRefresh the page or click the Refresh button. The table should update automatically, but a manual refresh can help.
Payroll shows negative hoursA negative number means a timesheet error. Check the entry's start and end times, and any breaks, then correct them.
Want an approval trail for a changeUse Send for Review instead of Save. This submits a correction request that goes through the approval workflow.
