Table, Variance, and Export

Use Table View for fast row-level review and editing. Use Variance View to compare scheduled hours against actual hours. Use the Export tool to download payroll-ready files. Together, these tools form the core workflow for preparing time data before payroll closes.

Table View

Table View shows time entries as rows in a data grid, grouped by team. It is the best view for scanning many entries quickly and taking action on individual records.

How to Open Table View

  1. Navigate to Office > Time
  2. Set the date using the arrow buttons or date picker
  3. Click the Table tab

What You See

Each row shows a time entry with these columns:

  • Type — Day clock, job clock, event clock, or break
  • Technician — Who the entry belongs to
  • Scheduled Range — When they were supposed to work. A technician who is off for the day shows the absence type (for example Time Off) in the Type column and has no scheduled range. To list only those technicians, set the Entry Type filter to Time Off / Absence.
  • Actual Range — When they actually clocked in and out
  • Details — Job name, event name, or break type
  • Status — Entry status and any pending corrections

Rows are grouped by team. Click the group header to expand or collapse a team.

What You Can Do

  • Click a row to open its detail view and edit times
  • Expand or collapse team groups to focus on specific teams
  • Sort columns by clicking column headers
  • Select multiple rows for bulk actions
  • Add an entry for a technician who forgot to clock in
  • View job or event details from the row actions menu
  • Add technician notes directly from the table

See where a technician clocked in and out of a job

Table rows show small location icons when GPS data is available for that entry. This gives you a quick signal that location information was recorded, without needing to open the map panel.

To see where a technician clocked in and out of a job, click the location icon on the job's row. A map opens showing where the technician checked in (green marker), where they checked out (red marker), and the expected customer location (blue pin), so you can verify both ends of the visit against the property. A warning-triangle icon on either marker means that location was flagged.

Variance View

Variance View compares what was scheduled against what was actually worked. This is the most important view for catching problems before payroll.

How to Open Variance View

  1. Navigate to Office > Time
  2. Set the date
  3. Click the Variance tab

Understanding the Display

The variance display uses a visual timeline for each technician:

  • Dashed blocks represent the scheduled work window
  • Solid blocks represent actual recorded time
  • Color coding shows how close actual time matches the schedule:
    • Green — On time or within acceptable range
    • Yellow — Minor variance (slightly early/late or short/long)
    • Red — Major variance (significantly different from schedule)

Summary Cards

At the top of the Variance view, four summary cards give you a quick overview:

CardWhat It Shows
Total Scheduled HoursSum of all scheduled work time for the selected date. A paid time off (PTO) day, time off day, or absence day counts as no scheduled hours.
Total Actual HoursSum of all recorded work time
Net VarianceDifference between scheduled and actual (positive = overtime, negative = undertime)
On-Time RatePercentage of entries within acceptable variance, plus counts of minor and major variances

Filtering and Controls

  • Switch modes — Choose between Comparison (scheduled vs actual side by side), Scheduled-only, or Actual-only
  • Filter by technician — Focus on a specific person
  • Zoom — Adjust the timeline density to see a wider or narrower time window

How to Export Time Data

The Export tool lets you download time records as spreadsheet files for payroll processing.

How to Export

  1. Navigate to Office > Time
  2. Click the Export button in the toolbar
  3. The export dialog opens with these options:

Export types — Select one or more:

TypeWhat It Includes
Day ClocksShift start/end times for each technician
Job ClocksArrival and departure times for customer jobs
BreaksBreak start/end times and break types
Time Change RequestsSubmitted correction requests with original and requested times
Event ClocksTimes for meetings, training, and other events

Filters:

  • Date Range (required) — The start and end dates for the export
  • Technician (optional) — Limit to a specific technician
  • Office (optional) — Limit to a specific office location
  1. Click Export to download the file

Each selected type generates a separate sheet or file in .xlsx format.

Follow this sequence before each payroll close to catch issues early:

  1. Set the payroll date range and check for the lock banner (indicates a closed period)
  2. Open Variance View — Scan summary cards for unexpected overtime or undertime
  3. Review major variances (red entries) to determine if corrections are needed
  4. Switch to Table View — Address individual entries that need editing
  5. Process pending corrections — Approve or deny any outstanding time-change requests
  6. Run Export — Download the payroll-ready files and archive them

Tips and Best Practices

  • Check Variance every day, not just at payroll time. Catching drift early prevents end-of-period surprises.
  • Use the summary cards in Variance View as your first quality check. If the on-time rate drops, investigate before exporting.
  • Sort by actual time in Table View to quickly find entries with missing clock-outs (they often sort to the bottom or top).
  • Export one type at a time if you need to review data in detail before sending it to payroll.
  • Use the technician filter in exports to pull data for a single person when investigating a discrepancy.
