Job Clocks
Job clocks record when a technician arrives at and departs from a customer's property. Each job clock entry is tied to a specific job, so your team always knows how long was spent at each stop. Job clock data feeds directly into payroll calculations and job billing, making it one of the most important records in MaidCentral Pulse.
Who Can Access This
| Role | Access Level |
|---|---|
| Administrator, Group Administrator | Full access — view, create, edit, delete, export |
| Office | View, create, edit, and delete; review and approve corrections |
| Sales | View, create, edit, and delete; review and approve corrections |
| HR Admin | View, create, edit, and delete; review and approve corrections |

How Job Clocks Work
A job clock has two parts:
- Clock In — The time the technician arrives at the property and starts work
- Clock Out — The time the technician finishes and leaves the property
The system calculates the total hours automatically from these two times. If a technician is assigned to a team, the job clock also records their team position (Captain, Teammate, Solo, or Trainee), which can affect pay calculations.
Job Clocks vs Day Clocks
These two record types work together but track different things:
| Record | What It Tracks | Example |
|---|---|---|
| Day Clock | When the technician starts and ends their entire workday | 7:00 AM clock in, 4:00 PM clock out |
| Job Clock | When the technician arrives at and departs from each job | 8:15 AM arrive at Smith residence, 10:30 AM depart |
A technician typically has one day clock per workday and multiple job clocks — one for each job they visit. Day clocks capture the full shift; job clocks capture time at each stop.

How to Clock In to a Job
Clock in for the day before you clock in to your first job. If you haven't, the job itself stays closed and you'll see "Clock in to view this job." If your company turns on Future Job Visibility, the job opens but the job clock-in is still blocked and you'll see "You must clock in for the day before checking into a job."
- Open your Time Tracking page on your mobile device
- Find the job you are about to start
- Tap Clock In
- Confirm or adjust the clock-in time if needed
- The job now shows as in progress
Your current location may be recorded when you clock in, depending on your company's settings.
How to Clock Out of a Job
- When you finish the job, return to your Time Tracking page
- Find the job that is in progress
- Tap Clock Out
- Confirm or adjust the clock-out time
- The job clock entry is now complete
Clock in and out as close to the actual time as possible. Accurate job clocks help your office team with billing and payroll, and they create a reliable record if questions come up later.
What If You Forget to Clock In or Out
If you missed a clock event, you can submit a correction request:
- Find the job entry on your Time Tracking page
- Tap Request Change
- Enter the correct clock-in or clock-out time
- Add a reason explaining what happened (for example, "Forgot to clock in — arrived at 8:15 AM")
- Tap Send for Review
Your manager or administrator will review and approve or deny the request. The original times are kept until the correction is approved.
For Office Staff: Viewing Job Clocks
Job clock entries appear in several places throughout MaidCentral Pulse.
On the Time Page
- Navigate to Office > Time
- Select a date
- Job clock entries appear in all three views:
- Timeline — Job clocks show as colored blocks on each technician's row
- Table View — Job clocks appear as rows with type "Job Clock," showing the customer name, scheduled and actual times
- Variance — Job clocks are compared against the scheduled job duration
Click any job clock entry to open its detail drawer.
On the Job Detail Page
- Open a job from the Schedule page
- Look for the Timesheets section on the job summary
- This shows job clock entries for every technician assigned to that job, with clock-in and clock-out times and total hours
In the Technician Profile
- Open a technician's profile
- Go to the Time & Attendance tab
- Job clocks appear in the schedule and attendance calendar, and correction requests show in the Time Clock Changes sub-tab
In Payroll
Job clock entries appear in payroll period detail views, showing each day's jobs with customer name, times, hours worked, pay type, split percentage, and pay amount.
Creating a Job Clock (Office Staff)
Office staff can manually create job clock entries when needed — for example, if a technician forgot to clock in and out entirely.
- Navigate to Office > Time
- Find the technician and date in Timeline or Table view
- Click the scheduled job entry (or use the add action)
- The Add Job Clock drawer opens
- Select the Technician and Job
- Enter the Clock In and Clock Out times
- Set the Position (Captain, Teammate, Solo, or Trainee) if applicable
- Click Save
Editing a Job Clock
- Open the job clock entry from Timeline, Table, or the Job Detail page
- The Edit Job Clock drawer opens
- Adjust the Clock In or Clock Out times as needed
- Click Save
If the date falls in a closed payroll period, editing may be restricted. A lock banner at the top of the Time page indicates when a period is finalized.
Reviewing and Approving Corrections
When technicians submit correction requests for job clocks, a badge on the Change Requests button in the Time page toolbar shows the number of requests waiting.
How to Review a Correction
- Navigate to Office > Time
- Click Change Requests
- The Change Requests drawer opens, showing the selected date's requests and other waiting corrections under Other Pending Requests
- Click a request to open its review drawer
- Review the original times and requested times side by side
- Read the technician's reason for the change
- Click Approve to accept the correction, or Deny with a required reason
Approved corrections update the job clock entry immediately. Denied corrections are logged with your reason and the original times remain unchanged.
Job clock corrections affect both payroll and job billing. When you approve a correction, the updated hours are used in pay calculations and may change the job's labor cost. Review carefully before approving.
Exporting Job Clock Data
- Navigate to Office > Time
- Click the Export button in the toolbar
- Check Job Clocks under export types
- Set the date range
- Optionally filter by technician or office
- Click Export to download the file
The export includes arrival and departure times for each job, along with technician name, customer, and hours worked. You can also export other types (day clocks, breaks, etc.) at the same time.
Job Clocks in Payroll Validation
During payroll processing, the system checks job clocks for common issues:
- Missing clock-out — A technician clocked in but never clocked out
- Time overlaps — Two job clocks overlap for the same technician
- Unusual duration — Job clock hours are significantly different from the scheduled time
If any issues are found, the payroll wizard flags them so you can correct them before finalizing pay.
Tips and Best Practices
- Technicians should clock in and out at the actual time — not at the start/end of travel. Job clocks track on-site time, not drive time.
- Review job clocks daily, not just at payroll time. Catching missing or incorrect entries early prevents payroll delays.
- Use the Variance view to quickly spot jobs where actual time is much longer or shorter than scheduled. This can indicate scheduling issues or missed clocks.
- Process correction requests promptly — technicians may need to submit follow-up requests if too much time passes.
- Export job clocks separately when you need job-level labor cost analysis. The job clock export gives you per-job detail that day clock exports don't include.
Why does a job clock show $0.00 or no pay?
Pay for a job is calculated only after every technician on that job has clocked out. Until then, the job clock's pay stays at $0.00. In the old MaidCentral this showed as a red job clock. In Pulse, the Pay column on the Time page shows a dash (-). The Pay column is shown only to Administrators and Payroll Admins.
Example: a two-person team cleans a 3-hour job. One technician clocks out, but the other forgets. Neither clock shows pay until the missing clock-out is added.
Another common cause is that the technician's pay structure was not set when they clocked out. Once it is set, the clock still shows $0.00 until pay is recalculated. See Pay Structure for how to set it.
A technician with an Annual Salary gets $0.00 on every job, and a technician with no Hourly Rate gets $0.00 on Allowed Hours jobs. Jobs on Allowed Hours scopes pay the technician's Hourly Rate x hours, and so do event clocks. Jobs on Hourly and Team Hourly scopes pay the clock's Base Pay x hours. A technician with an Annual Salary gets $0.00 on every job by design, even if an Hourly Rate is also saved. See Pay shows $0.00 on a job or time clock.
To fix it:
- Open the job on Office > Time and check that every technician on the job has a clock-out time. Add or correct any missing one. See Editing Time Entries.
- Check that the technician has a pay structure, including an Hourly Rate if the job's scope is Hourly or Allowed Hours. If not, set one first.
- Open the job clock, click Edit, and click Save without changing anything. This is often all it takes to recalculate pay.
- Wait a minute, then refresh the page.
If pay is still $0.00 after every clock has a clock-out, the pay structure is set, and you have saved and refreshed, submit a ticket. See How to Contact MaidCentral Support.
Troubleshooting
| Issue | Solution |
|---|---|
| A job shows no clock entries | The technician may not have clocked in. Check if a day clock exists for that day — they may have worked but forgot to clock into the specific job. Create a manual entry if needed. |
| Job clock times seem wrong | Check if a correction request is pending. If not, edit the entry directly (if unlocked) or ask the technician to submit a request. |
| Clock-in time is recorded but no clock-out | The technician may have forgotten to clock out, or the job may still be in progress. Check the job status on the Schedule page. |
| Can't edit a job clock for a past date | The date likely falls in a closed payroll period. Check for the lock banner on the Time page. |
| Correction request was denied but times are wrong | Submit a new correction request with additional details in the reason field. If the issue persists, an Administrator or Group Administrator in your office can review it. |
| Job clock shows $0.00 or a dash for pay | Not every technician on the job has clocked out, the technician has no pay structure or no Hourly Rate, or pay hasn't recalculated. A technician with an Annual Salary gets $0.00 on every job by design; a technician with no Hourly Rate gets $0.00 on Allowed Hours clocks and event clocks. Try Edit and Save with no changes. See Why does a job clock show $0.00 or no pay?. |
| Job clock hours don't match payroll | Verify the team position and split percentage on the job clock entry. These affect how hours translate to pay. |
