How to reopen payroll

Reopen a closed payroll period when you need to change something inside it, such as adding a missing job clock or fixing a clock time. Once you make the fix, you close the period again.

Before you start

  • Only an Administrator or Group Administrator can reopen payroll. If you don't see Reopen Payroll, ask someone in your office who has one of those roles. If nobody does, see How to Contact MaidCentral Support.
  • Reopening can't be undone. Read what it does below before you continue.
  • You don't always need to reopen. To add a tip to a week that is already closed, you can save it after the close and it is paid in the next open pay period instead. See Tips and Tip Management.

How to reopen a closed period

  1. Go to Office > Payroll and open the Payroll History tab.
  2. Find the closed period, open its ... menu, and select Reopen Payroll.
  3. Read the Reopen Payroll Period window. It lists what reopening will do.
  4. In Reason for reopening, write why you are reopening it. It must be at least 10 characters.
  5. Select Reopen Period. A Payroll Reopened message confirms it.

What reopening does

  • Sets the period's jobs and events back to Pending. Only those closed by this payroll close are changed.
  • Reverses the PTO and sick hours that closing added. Balances never go below zero.
  • Deletes the period's payroll submission records.
  • Deletes all employee payroll history for the period and removes it from Payroll History.

Your timesheets, job clocks and day clocks are not deleted, so your fixes are included when you close again.

Make your fix

Go to Office > Time, move to the date, and add or edit the employee's clock. The Payroll Period Closed banner no longer shows for that date. See Job Clocks.

Re-close a reopened period

  1. Go to Office > Payroll and open the Payroll Summary tab.
  2. In the date picker, use the arrows or Full pay week to select the reopened pay week. Closing needs the full week selected.
  3. Work through the Close Wizard and close the period. See Payroll Workspace Overview.

The period returns to Payroll History with the new totals.
