Bulk Additional Pay
The Bulk Additional Pay tab lets you add additional pay records for multiple employees in one operation. Instead of creating records one at a time, you can select a group of employees, set the pay type and amount, preview the results, and submit them all at once. This is useful for company-wide bonuses, team adjustments, or any pay that applies to a group of people.
Who Can Access This
| Role | Access Level |
|---|---|
| Payroll Admin | Full access |
| Administrator, Office, Sales, HR Admin | No access |
Bulk Additional Pay is a payroll tool for the Payroll Admin add-on. An Administrator needs Payroll Admin added to their account to use it.
This feature may need to be enabled for your company. If you don't see the Bulk Additional Pay tab in Payroll, contact your administrator to check your feature settings.
Getting to Bulk Additional Pay
- Go to Payroll in the left navigation.
- Click the Bulk Additional Pay tab at the top of the page.
How Bulk Additional Pay Works
The bulk process follows three steps: configure, preview, and submit.
Step 1 — Configure the Batch
Set up what you want to pay and who should receive it:
- Pay Type — Choose the type of additional pay (for example, Bonus, Adjustment, or Mileage).
- Amount or Rate — Enter the dollar amount. Depending on the pay type, this may be a flat amount per employee, an hourly rate, or a percentage.
- Pay Date — Select the date this pay applies to.
- Employee Selection — Choose which employees to include. You can filter by tags, teams, or other criteria to narrow the list.
Step 2 — Preview the Results
After configuring the batch, Pulse shows a preview grid with one row per employee. Each row shows:
- Employee name
- The calculated amount for that employee. You can change it in the Amount column; the amount can be positive or negative, but not zero.
- Any notes or context
Review the list to make sure the right employees are included and the amounts look correct. You can deselect individual employees if needed. To give the grid more room, click the Bulk Additional Pay Configuration heading to collapse the settings; click it again to bring them back.
Step 3 — Submit
While at least one employee is checked, an action bar floats at the bottom of the screen showing how many are selected. Click Submit Bulk Pay on that bar, then confirm, to create all the additional pay records at once. Pulse shows a confirmation with the number of records created. The records appear on each employee's payroll and on the Additional Pay tab.
Tips and Best Practices
- Use Bulk Additional Pay for holiday bonuses, team rewards, or company-wide adjustments that apply to many employees at once.
- Always preview before submitting. Check that the employee list and amounts are correct.
- Use tags to target specific groups. For example, tag all full-time employees and filter by that tag when creating a bonus.
- After submitting, check the Additional Pay tab to verify the records were created for the correct employees.
- If you need to remove bulk-created records, delete them individually from the Additional Pay tab.
Troubleshooting
| What You See | Solution |
|---|---|
| Bulk Additional Pay tab is missing | The feature may not be enabled, or your account may not have the Payroll Admin add-on. Ask your administrator to check. |
| "Feature Not Available" message | Bulk Additional Pay is not enabled for your account. Contact your administrator. |
| No employees appear in the preview | Check your filter criteria. The filters may be too narrow, or no employees match the selected tags or teams. |
| Submit Bulk Pay is not showing | The action bar with Submit Bulk Pay only appears while at least one employee is checked in the preview. Check an employee to bring it back. |
| Records not appearing in payroll | Check that the pay date falls within an open payroll period. Records in future periods may not show until that period is active. |
