Additional Pay
The Additional Pay tab lets you create one-off pay records for individual employees. Use it for tips, bonuses, mileage reimbursements, adjustments, or any other pay that falls outside regular job-based earnings. Each record is tied to a specific employee and pay date, and it flows into the payroll summary when you close the period.
Who Can Access This
| Role | Access Level |
|---|---|
| Payroll Admin | Full access (create, edit, delete) |
| Administrator, Office, Sales, HR Admin | No access |
Additional pay is employee pay data, so only the Payroll Admin add-on can see this tab. An Administrator needs Payroll Admin added to their account to use it.
This feature may need to be enabled for your company. If you don't see the Additional Pay tab in Payroll, contact your administrator to check your feature settings.
Getting to Additional Pay
- Go to Payroll in the left navigation.
- Click the Additional Pay tab at the top of the page.
The page shows all additional pay records for the selected date range.
Setting the Date Range
Use the date range picker in the toolbar to choose which records to display. The default range is the current week (Sunday through Saturday). Records are filtered by their pay date.
Filtering by Pay Type
Use the Type dropdown in the toolbar to filter records by a specific pay type (for example, Tips, Bonuses, or Mileage). Select All to show all types.
Reading the Additional Pay Table
The table shows one row per additional pay record:
| Column | What It Shows |
|---|---|
| Employee | The employee's name — click to open their technician profile |
| Date | The pay date for this record |
| Customer | The customer associated with the pay (if applicable) |
| Job Date | The job date linked to this record (if applicable) |
| Hours | Allowed hours for hourly-rate records |
| Amount | The dollar amount of the additional pay |
| Type | The pay type (for example, Tip, Bonus, Mileage, Adjustment) |
| Notes | Any notes added when the record was created |
A totals row at the bottom sums up the Amount column across all visible records.
Records in a closed payroll period show a lock icon instead of edit/delete buttons.
Adding an Additional Pay Record
- Click the Add button (plus icon) in the toolbar.
- The Additional Pay drawer opens on the right.
- Fill in the required fields:
- Employee — Search and select the employee.
- Pay Type — Choose from available types (Tip, Bonus, Mileage, etc.).
- Amount — Enter the dollar amount. The amount can be positive or negative, but not zero.
- Pay Date — Select the date this pay applies to.
- Optionally add a Customer, Job Date, Hours, and Notes.
- Click Save to create the record.
The record appears in the table and will be included in the next payroll run for the applicable period.
Editing a Record
- Click anywhere on a row in the table (or click the edit icon on the right).
- The Additional Pay drawer opens with the existing values loaded.
- Make your changes and click Save.
You cannot edit records that are in a closed payroll period. These show a lock icon instead of edit controls.
Deleting a Record
- Click the delete icon (trash) on the row you want to remove.
- A confirmation dialog appears.
- Click Delete to confirm.
If the record is in a closed payroll period, deletion is blocked. A message explains that you cannot delete records from a closed period.
Exporting Additional Pay
Click the Export button in the toolbar and choose a format:
- Export CSV — Downloads a file named
additional-pay-{start}-{end}.csv - Export Excel — Downloads a file named
additional-pay-{start}-{end}.xlsx
Both formats include all visible columns and the current date range in the filename.
Tips and Best Practices
- Add tip records here when tips are collected but not automatically allocated through invoicing.
- Use the Notes field to explain one-off payments. This helps during payroll review.
- Check this tab before closing a payroll period to make sure all additional pay is accounted for.
- Use the Type filter to quickly review all entries of a specific category (for example, all Mileage records for the week).
- Records in a closed period cannot be changed. If you need to make a correction, create a new adjustment record in the current open period.
Troubleshooting
| What You See | Solution |
|---|---|
| Additional Pay tab is missing | The feature may not be enabled. Ask your administrator to check feature settings. |
| Cannot edit or delete a record | The record is in a closed payroll period. Create a new adjustment in the current period instead. |
| Additional Pay tab or Add button is not visible | Additional pay needs the Payroll Admin add-on. Ask an Administrator in your office to check your roles. |
| No records found | Check your date range and type filter. The default shows the current week only. |
| Employee search returns no results | The employee may be inactive or in a different branch. |
