Revising a Quote
Which tool you reach for depends on one thing: has the quote been booked yet? Before booking, you simply edit the quote — there's no lock at any stage. After booking, the quote becomes a historical record: editing it does nothing to the booked job's price, so price changes happen on the customer's service set instead.
Do I edit the quote, start a new one, or change the rate?
Quick answer by situation:
| Situation | What to do |
|---|---|
| Quote created but not sent yet | Edit Quote — change anything, then send |
| Quote sent, customer wants changes | Edit Quote, then send it again |
| Quote booked, price needs to change going forward | Rate change on the service set (see below) — not the quote |
| Quote booked, one visit needs a different charge | Job-level fee or rate adjustment on that job |
| Existing customer wants a quote for new or different service | New Quote quick action from their customer page |
Can I change a quote after it was sent?
Yes, freely. Open the lead and click Edit Quote (from the Sales Pipeline card or the lead's Contact Details page) — it takes you straight to the Pricing step of the Full-Page Estimate. Change the property details, scopes, frequencies, or add-ons, save, and use Save & Send Quote to send the updated version.
Two things to know about how this works:
- Saving an edit adds a new version and keeps the old one. When you save changed pricing from Edit Quote, Pulse adds it to the lead as a new dated group, and the earlier groups stay. Each group lists every scope priced together in that save. You can delete an unbooked group from the lead's quote view, but a group that has booked services can't be deleted. Save & Send Quote saves first when you changed something, or when the quote's prices are no longer what was saved (for example, your rates changed since then). Otherwise it sends the version already saved and adds no group. Save & Continue works the same way: it saves only when something changed, and otherwise reads Continue, so reopening a quote and continuing to Booking adds no group. Save Quote on the Scheduling step also skips the save when nothing changed, and says No changes to save. For a lead, a card added on Booking is attached when you book with Save Quote & Book; until then, closing the estimate asks Discard unsaved changes?.
- Sending doesn't lock anything, and it doesn't change the quote's status either. There is no "sent" or "viewed" status in Pulse — see the status list below.
What are the quote statuses, and what moves them?
A quote (lead) moves through these statuses: Needs Contacted, Contacted, Quoted, Follow Up, After Follow Up, Booked, and Closed.
- A new lead starts at Needs Contacted. Logging a note or sending the lead a message auto-advances it to Contacted.
- Saving a quote on a brand-new lead sets it to Quoted. After that, the next note or message auto-advances it to Follow Up.
- Booked is set when the quote is converted — when booking creates the customer and their first job.
- Closed means the lead was closed out (lost, dead, or cleaned up in bulk).
Pulse does not have draft, sent, viewed, accepted, declined, or expired statuses. Sending a quote leaves the status where it is, and customers can't accept a quote inside Pulse — the quote page they receive asks them to reply to your office, and your team books the work.
What happens to the booked job's price if I revise the quote?
Nothing. This is the most common quoting misunderstanding, so it's worth being precise:
When a quote is booked, Pulse copies its pricing into the customer's service set — the recurring service record that drives every job's price from then on. From that moment the quote and the service set are disconnected. Editing the quote afterward does not update the service set, the booked job, or any future job. The quote's price is kept only as a record of what was originally quoted.
So after booking, don't go back into the estimate. The edit buttons disappear from a booked lead for exactly this reason — and re-saving a booked lead's estimate can overwrite the quote records tied to the booking. Pulse won't book the same quote twice: if you click Save Quote & Book on a quote that is already booked (for example, in a second tab), it stops and shows This quote is already booked. Make the change where the price actually lives instead:
How do I change the price of a booked service?
Three tools, depending on what kind of change it is:
- A new base rate going forward — Open the customer's home, go to the service set, and use its Rate Log tab to add a rate change with an effective date. The new rate applies to jobs on or after that date; earlier jobs keep the old rate, and the full history stays visible.
- A rate increase across many customers — Use the Rate Increase module to raise rates in bulk by an effective date. The effective date must be in the future (and after your last closed payroll), you preview before applying, and Pulse can schedule a notification message to the affected customers.
- A recurring add-on or discount — Add a rate adjustment to the service set with a start (and optional end) date. It's applied on top of the base rate for every visit in that window.
For a single job — a one-visit discount, an extra fee, or a correction — use the job's rate editor (the same Modify Rates surface used in invoicing) to add a job-level fee, or a rate adjustment while the job is still upcoming. That changes one visit without touching the recurring rate.
Why did a booked or completed job's price change on its own?
It didn't change by itself — Pulse never recalculates a booked job's price automatically. A job's charge is its service set's base rate for that date, plus any recurring adjustments in effect, plus anything added to that specific job. So a price that moved after booking (or even after completion) means one of these happened:
- A dated rate change on the service set took effect for that job's date
- A recurring rate adjustment on the service set started or ended
- Someone added a job-level fee, tip, or rate adjustment — often during invoicing review
- A one-time first-visit add-on (like a first-time-in fee) applies to the first job only, so the first job's total is higher than the recurring price on the quote
- A skip or cancellation fee was applied per your scope's settings
The job's rate editor lists every line with its source, so you can see exactly which addition or change moved the total.
Does the customer get a new agreement when I revise a quote or change a rate?
Not automatically — ever. Pulse never re-issues an agreement on its own, whether you edit a quote, rebook, or change a rate. A bulk rate increase can send customers a notification message, but that is a communication, not an agreement.
If your company uses Pulse's agreement links (a click-to-accept page where the customer accepts your service terms, recorded with a timestamp), you can send an updated one manually: open the customer's Agreements section and send a fresh agreement link by text, email, or copied link. When the customer accepts, Pulse records the acceptance date and a snapshot of the terms they agreed to.
Agreement links are a newer feature that may need to be turned on for your company. Pulse does not currently support drawn or typed e-signatures on quotes — acceptance is click-to-accept.
How do I quote an existing customer for new or different service?
Don't edit their old booked quote. Open the customer's record. You have two options:
- Service Locations tab > Add Service on a property: opens a new quote with the customer and that home already chosen.
- Quotes & Agreements tab > Create Quote: opens a new quote with the customer and their first saved home chosen. In the Home picker you can choose another saved home (Pulse fills in its address, square footage, bedrooms, bathrooms and other stored details) or choose New address to quote a different address.
Either way, you don't need a lead first. Booking creates a new service set alongside, or in place of, what they had, and the original booking history stays intact.
If you save the quote without booking it, you can book it later: on the customer's Quotes & Agreements tab (Quotes in the Classic layout), click the quote's button if the customer has more than one quote, then click View Quote Details (shown when Sales Pipeline is turned on for your company), then click Book. The job is booked on that customer and the home saved on the quote.
If a booked customer wants to switch scope or frequency in a way that's really a re-sell, quote it fresh, then use the service set tools to end or adjust the old service.
How do I book a deep clean and a recurring service from one quote?
Two ways, and both work:
- Two scopes of work on one quote. Price the deep clean and the recurring clean as separate scopes, then book both from the same quote. Each becomes its own service set.
- A deep clean rate modifier. Book only the recurring service and add a one-time rate modifier for the deep clean. A one-time modifier only affects the first job, so every visit after that bills at the recurring rate.
