Getting to the Report

  1. Go to Office > Invoicing in the left navigation.
  2. Click the Open Invoices tab at the top of the page.

The report loads invoices from the last 90 days by default.

KPI Summary Cards

Four metric cards appear at the top of the report:

CardWhat It Shows
Open InvoicesTotal number of invoices with a remaining balance
Total InvoicedCombined dollar amount of all invoices in the date range
Outstanding BalanceTotal unpaid amount across all open invoices
OverdueSum of balances past their due date (highlighted in orange if greater than zero)

These numbers update whenever you change the date range.

Setting the Date Range

Use the date range picker in the toolbar to choose which invoices to include. The default range is the last 90 days. The maximum range is 365 days.

If more than 1,000 invoices match your date range, a warning appears letting you know that the totals may be incomplete. Narrow your date range to see all results.

Reading the Invoice Table

The report table shows one row per open invoice with these columns:

ColumnWhat It Shows
Invoice #The invoice number (or QuickBooks ID if no number is assigned)
CustomerCustomer name — click to open the customer detail page
Billing TermsThe customer's payment terms (for example, "Net 30" or "Due on Receipt")

A totals row at the bottom of the table sums up the Total, Balance, and Overdue columns across all invoices.

You can sort any column by clicking the column header. Click again to reverse the sort order.

Viewing Customer Details

Click any row in the table to go to that customer's detail page. You can also click the customer name link directly. This takes you to the full customer record where you can view their invoices, payment methods, and contact information.

Exporting the Report

Click the Export button in the toolbar and choose a format:

  • Export CSV — Downloads a comma-separated file named open-invoices-{start}-{end}.csv
  • Export Excel — Downloads an Excel spreadsheet named open-invoices-{start}-{end}.xlsx

Both formats include all visible columns and the current date range in the filename.

Tips and Best Practices

  • Review this report daily or weekly to catch overdue invoices before they age further.
  • Sort by the Overdue column to prioritize the largest past-due amounts.
  • Sort by Due Date to see which invoices are coming due soonest.
  • Export to Excel for month-end reconciliation or to share with your accountant.
  • Click through to customer records to check payment methods on file and send reminders.
  • If the truncation warning appears, narrow your date range to ensure you see complete totals.
