Invoicing Card View

The Card view is the default view on the Daily Invoicing tab. It shows each job as a card with full detail — job and billing information, the job's rates and totals, tip editing, timesheets, QuickBooks status, pre-authorization info, and activity history. Use this view when you need to review or audit a job before charging, or when you need to edit tips and verify timesheet data.

Who Can Access This

RoleAccess Level
AdministratorFull access — view, edit tips, manage timesheets, all actions
Office, Sales, HR Admin, Payroll AdminNo access

Invoicing is limited to Administrators. Other roles do not see Invoicing in the navigation.

note

This feature may need to be enabled for your company. If you don't see Invoicing in the navigation, contact your administrator to check your feature settings.

How to Open Card View

  1. Go to Office > Invoicing and open the Daily Invoicing tab — Card view opens by default
  2. If you switched to Table view, select Card in the view switcher in the toolbar

Jobs display as cards grouped by team. Each card has a header across the top, a job information column on the left, and a wider rates and totals table on the right.

What Each Card Shows

The top of every card shows:

  • Customer name — Click to open a quick-actions menu (send messages, schedule jobs, view financials, add notes)
  • VIP badge — Appears if the customer is marked as VIP
  • Job date — Appears when you are viewing more than one day
  • Address — The job location
  • Job ID — Click to open the job's details
  • Activity badge — A history icon with the number of invoicing actions on the job (see Activity History)
  • Status badges — Invoice status (Not Invoiced, Invoiced, Sent, or Voided, or Paid / Partial once payments come in) and job status

Job Information

The left column lists the job's details:

FieldWhat It Shows
Home ZoneThe service zone with a color badge
Service SetThe job's service set
FrequencyA frequency badge (weekly, bi-weekly, etc.), when the customer has a frequency
ScopeThe job's scope, when one is set
Hourly RateThe hourly rate for this job, or Flat Rate
ScheduledThe planned time range and planned hours
ActualThe clocked time range and actual hours, with GPS flags if clock-in or clock-out locations were far from the expected address
VarianceHow far the actual time ran over or under the scheduled time — green when on time, amber or red as the difference grows. Appears once time has been clocked.
Billing TermsThe customer's billing term, shown as Credit Card, Batch Invoice, or Invoice. For card-billed customers, the payment method badge appears next to it.

GPS flag tooltips explain the distance issue — for example, "Clock-in location far from expected."

Below these fields, the column shows the QuickBooks section, the customer's tags (up to three), and pre-authorization details when the job has a pre-authorization.

Rates and Totals

The wider table on the right shows the job's financial breakdown. Its columns are Item, Tax, Time, Fee Split, and Amount.

RowDescription
Base fee and rate modificationsEach rate on the job, with tax, time, fee split, and amount
TipEditable tip amount, shown only when tip editing is available (see Editing Tips below)
TotalThe job total (highlighted in green)
TaxTax amount, when the invoice has tax
SurchargeThe card surcharge, when one was charged
BalanceAmount still owed — orange when a balance is due, green when nothing is owed, and marked Credit when the customer has a credit. Once an invoice exists, click Balance to open the invoice details.

If rate editing is enabled for your company and your role can edit rates, you can also change the job's rates directly in this table — edit the base fee, edit or remove a rate modification, or click Add to add one — until the job is invoiced. The job must have a service set.

To add a charge after invoices are created, go to Invoicing > Daily Invoicing and pull the day, or edit the invoice in QuickBooks directly.

Editing Tips

The Tip row appears in the rates table only when rate editing is enabled for your company and your role can update invoices. When it is off, the card shows no tip row at all.

How to Edit a Tip

  1. Click the tip amount field in the Tip row
  2. Either type a dollar amount (up to $10,000), or click one of the preset buttons:
    • 10% — 10% of the job's rates before the tip
    • 15% — 15% of the job's rates before the tip
    • 20% — 20% of the job's rates before the tip
  3. The tip saves automatically when you stop typing, press Enter, or click away. The field is briefly disabled while it saves.

The preset buttons show the calculated dollar amount next to the percentage (for example, "15% ($22.50)").

note

You can edit a tip before or after the invoice is created, but not on a voided invoice. Once the pay period for the job's date has closed, tip changes are only accepted if your company allows tips after invoicing; otherwise an error appears when the tip saves.

Why does my tip say "changed by another save, refresh and try again"?

Someone else saved the same job at the same moment, for example another office user, a second browser tab, or the customer tipping in the portal. If they saved a different tip amount, Pulse keeps theirs and rejects yours with "This job's tip was changed by another save. Refresh and try again." A similar message, "This job's invoice was changed by another save while the tip was saving", appears when the job's invoice changed during your save. Your tip was not saved in either case. Refresh the page, check the tip that is now on the job, and enter yours again if it should change.

If both saves had the same amount, both succeed and the tip is recorded only once.

MaidCentral V2 has no such check: the last save wins, and two overlapping saves can add the tip to the technician's pay twice. (Pulse reference D-30)

Timesheets Section

The timesheets section is collapsible. Click the Timesheets header to expand or collapse it. A badge shows the number of timesheet entries.

What Timesheets Show

Each entry displays:

  • Technician name and Position (for example, Captain)
  • Time clocked
  • Pay Type (for example, Fee Split or Hourly)
  • Base, Rate, Total, and $/Hr pay figures

A $0 Pay badge on the section header flags completed clocks that resulted in no pay.

Managing Timesheets

  • Click the pencil icon on an entry to open the timesheet drawer and adjust times
  • Click Add Timesheet to create a missing entry for a technician who worked the job but wasn't recorded
  • Click the trash icon on an entry to delete it (you'll be asked to confirm)

If a job has no timesheet entries, the card shows "No timesheets recorded for this job."

Use Show Timesheets / Hide Timesheets in the toolbar to expand or collapse the section on every card at once.

note

The Timesheets section only appears if your role has payroll access.

Pre-Authorization Details

If a pre-authorization has been captured for a job, the job information column shows a Pre-Authorization Active section with:

  • Amount authorized
  • Transaction ID (for reference)
  • Date the authorization was captured

Use it to verify that the pre-auth amount matches the invoice total before charging.

Activity History

When a job has invoicing activity, the card header shows a badge with a history icon and the number of actions taken. Click the badge to open the Job Activity drawer, which lists every invoicing action on the job — for example Tip Updated, Invoice Created, Payment Charged, Invoice Sent, or Charge Failed — newest first, with the time, the user who took the action, and any error message. The total number of actions appears at the bottom of the drawer.

QuickBooks Section

Each card has a QuickBooks section that shows the customer's QuickBooks status:

WhenWhat You See
Customer is linkedA Linked label, the customer name, the customer's QuickBooks balance, any overdue balance, and the QuickBooks invoice number once one exists. Click Linked or the customer name to open the QuickBooks Details drawer; click the invoice number to open the invoice in QuickBooks.
Customer is not linkedA Connect to QuickBooks link — click it to link the customer to a QuickBooks record
Line items need QuickBooks linksA red badge with the number of items that have invalid or inactive QuickBooks item links — click it to open the Fix QBO Item Links drawer

Resolving QBO item issues before charging prevents sync failures after the invoice is created.

Payment Method Badge

For customers billed by card, a payment method badge appears next to Billing Terms in the job information column. It shows:

BadgeMeaning
**[Brand] **[Last 4]A specific card is on file (for example, "Visa ****4242")
Add CardNo payment method exists — click to add one
Default PaymentA payment provider exists but no specific card is selected

Click the badge to open the Payment Method drawer and select or add a method.

Processing Jobs

Each card has action toggles at the bottom. Select the actions you want for the job, then click Process on the card — the button appears once at least one action is selected.

ActionWhat It Does
InvoiceCreate the invoice for this job
BatchAppears next to Invoice for customers on the Batch Invoice billing term — adds the job to a batch invoice instead of invoicing it on its own
ChargeCharge the customer's payment method. If Invoice is also selected, the invoice is created first.
Post PaymentRecord a cash, check, ACH or other payment right after the invoice is created, instead of charging a card. Opens the Queue Payment drawer for the payment details. Unchecks Charge. This option may need to be turned on for your company.
SendEmail the invoice to the customer. Requires an email address on file.

Once an action is done, its toggle shows as completed (for example, Invoiced, Charged, Posted, or Sent).

You can also select actions on many cards and process them all at once from the bulk action bar. See Bulk Processing.

The three-dot menu appears once the job has an invoice, or before invoicing when Modify Rates is available. Depending on the job, it offers:

  • Modify Rates — Open the Modify Rates drawer to change the job's rates before it is invoiced. Only available when rate editing is enabled for your company, your role can edit rates, and the job has a service set.
  • Download PDF — Generate and download the invoice as a PDF
  • View Invoice — Open the full invoice detail drawer
  • View in QuickBooks — Open the invoice in QuickBooks (external link)
  • Send Invoice / Resend Invoice — Send or re-send the invoice email (customers not on batch billing, with an email on file)
  • Post Payment — Record a manual payment when a balance is due (if enabled for your company)
  • Send Decline Email / Resend Decline Email — Email the customer that their payment failed
  • Send Decline Text — Text the customer that their payment failed
  • Send Batch Invoice — Send a batch invoice that hasn't been sent yet
  • Delete Batch Invoice — Remove a batch invoice (with an option to also void it in QuickBooks)

Failed Payment Alert

If a charge attempt failed, a red Payment Failed alert appears on the card with the error message. If a decline notice has been sent, the alert also shows when and by whom. The alert stays until the charge succeeds or the balance is paid. Click it to open the decline details. Resolve the payment issue (update the card, try a different method) before retrying.

When to Use Card View

ScenarioWhy Card View Helps
Auditing before chargingSee line items, timesheets, and QBO status before processing
Editing tipsAdjust tip amounts with the percentage preset buttons
Reviewing timesheetsVerify technician hours and positions before payroll
Troubleshooting chargesSee payment method details, pre-auth info, and failed payment errors
Checking QBO linksIdentify and fix invalid QuickBooks item links per job
Investigating activityOpen a job's full invoicing history from the activity badge on its card

For grid-based high-volume work, use Table view.

Tips and Best Practices

  • Expand timesheets before charging to verify hours are correct — incorrect timesheets affect both pay and billing.
  • Use the tip preset buttons for consistency. They calculate from the job's rates before the tip, reducing manual math.
  • Check the GPS flags if clock times look suspicious. The tooltips explain whether the technician was near the expected location.
  • Fix QBO item badges before processing. Resolving link issues upfront prevents failed syncs later.
  • Check the activity history to confirm whether an invoice was already sent before re-sending.
