Jobs Not Invoiced Report
The Jobs Not Invoiced report catches completed jobs that have timesheets but no invoice. These are jobs where work was done but billing was missed. Use this report after daily invoicing or before month-end close to make sure no revenue falls through the cracks.
Who Can Access This
| Role | Access Level |
|---|---|
| Administrator | Full access (view and dismiss) |
| Office, Sales, HR Admin, Payroll Admin | No access |
This report is part of Invoicing, which is limited to Administrators.
This feature may need to be enabled for your company. If you don't see the Not Invoiced tab, contact your administrator to check your feature settings.
Getting to the Report
- Go to Office > Invoicing in the left navigation.
- Click the Not Invoiced tab at the top of the page.
The report loads jobs from the current week (Sunday through Saturday) by default.
Setting the Date Range
On the Not Invoiced tab, use the date range picker in the toolbar to choose which dates to check. Pulse searches for completed jobs with timesheets but no invoice in that window. The tab opens on the current week, so widen the range to find older jobs.
Invoice a job from this list
You can't invoice from this list itself. Invoice the job from its date in Daily Invoicing:
- Find the job in the list and note its Job Date.
- Click the Daily Invoicing tab and use the date range picker to load that date (or a range of up to 7 days that includes it).
- Find the job's card. Invoice is ticked by default on jobs with no invoice.
- Click Process on the card, or Process N Jobs at the bottom of the page, and confirm.
Once the invoice is created, the job drops off this list. If Invoice can't be ticked, hover over it to see why. See A completed job has no invoice.
Reading the Jobs Table
The report table shows one row per uninvoiced job:
| Column | What It Shows |
|---|---|
| Job ID | The job number — click to open the job detail panel |
| Customer | Customer name — click to open the customer detail panel |
| Home | The property or home name |
| Service | The type of service performed |
| Home Address | The full property address |
| Job Date | When the job was completed |
| Bill Rate | The amount that should be invoiced |
| Start Time | When the job started |
| End Time | When the job ended |
| Actions | A dismiss button (trash icon) to remove the job from the report |
A totals row at the bottom sums up the Bill Rate column, showing the total revenue that has not been invoiced.
You can sort any column by clicking the column header.
Viewing Job Details
Click a Job ID or click anywhere on a row to open the job detail panel. This shows the full job record including status, assigned technicians, customer notes, and service details. Use this to understand why the job was not invoiced and decide what to do next.
Viewing Customer Details
Click a Customer name to open the customer detail panel. This shows the customer's contact information, billing setup, and invoice history.
Dismissing a Job
Some jobs are intentionally not invoiced — for example, courtesy visits, warranty callbacks, or training runs. You can dismiss these jobs so they no longer appear in the report.
- Click the trash icon in the Actions column for the job you want to dismiss.
- A confirmation dialog appears showing the job number and a warning that the job will be removed from the report.
- Click Dismiss to confirm.
The job is marked as dismissed and removed from the report. If you dismiss a job by mistake, contact your administrator to re-activate it.
Dismissing a job requires the invoicing delete permission. If you don't see the trash icon, your role may not have this permission.
Exporting the Report
Click the Export button in the toolbar and choose a format:
- Export CSV — Downloads a file named
jobs-not-invoiced-{start}-{end}.csv - Export Excel — Downloads a file named
jobs-not-invoiced-{start}-{end}.xlsx
Both formats include all visible columns and the current date range in the filename.
Tips and Best Practices
- Run this report at the end of each day after you finish invoicing to catch anything that was missed.
- Before month-end close, expand the date range to cover the full month and verify that all work has been billed.
- Click through to job details to check if a job should have been invoiced or was intentionally skipped.
- Use the Bill Rate total at the bottom to see how much unbilled revenue is outstanding.
- Dismiss jobs only when you are certain they should not be invoiced. This action cannot be easily undone.
- Export the report weekly for your records or to share with management.
Troubleshooting
| What You See | Solution |
|---|---|
| No Uninvoiced Jobs Found | All completed jobs with timesheets in your date range have been invoiced. Good work! |
| Not Invoiced tab is missing | The feature may not be enabled. Ask your administrator to check the report feature settings. |
| "Feature Not Available" message | The Jobs Not Invoiced report is not enabled for your account. Contact your administrator. |
| Trash icon is missing | Your role does not have the invoicing delete permission. Ask your administrator. |
| A job appears that was already invoiced | The report only shows jobs without an invoice record. If you believe a job was invoiced, check the job detail panel for its invoice status. |
| Dismiss button is not responding | Wait for any pending dismiss action to complete. The button is disabled while processing. |
