Overview Dashboard
The Overview Dashboard is the screen you land on the moment you open Dashboard — one above-the-fold view built to answer "how are we doing" without opening a separate report.
Overview
Where the previous dashboard picker asked you to choose between several pre-built views, Overview puts the numbers that matter most on one screen: a revenue trend, today's jobs by team, staffing coverage for the weeks ahead, and your sales funnel. It is now the standard landing page for office users — the dashboard switcher shows Overview locked in place, with a "More dashboards coming soon" note, so there is nothing to pick.
The page is laid out as a grid of cards. A dominant Revenue card anchors the top-left with the last 4 complete weeks compared to the prior 4, plus a weekly trend that runs on into the weeks you already have scheduled. Beside it, Teams today shows each team's jobs and scheduled events for the day as a row of markers you can click straight into, with teams listed in your team display order. Smaller tiles below cover revenue per paid hour, payroll as a share of revenue, staffing for the next four weeks, the sales funnel, and recurring customers. Depending on your role, today's on-time arrivals, same-day cancellations and jobs that need attention take the place of the payroll and staffing cards (see Who sees the payroll and staffing cards).
Every card is its own query with its own loading skeleton and its own retry — one slow or failing card never blocks the rest of the page from showing. A card whose underlying report isn't turned on for your branch says so instead of showing an error.
Needs Report access (permission to view reports). If you see "Report access is required" instead of the dashboard, ask your administrator to review your access.
Key Features
- Revenue — completed-job revenue for the last 4 complete Monday–Sunday weeks (ending last Sunday) vs. the prior 4, a percent-change chip, a ring showing this period as a share of the prior one, and a callout for revenue lost to cancellations, skips, or lockouts. The chart below continues past the last completed week into your scheduled weeks ahead (shown as a dashed line). This number won't match the Revenue Production Planning report, which also counts scheduled jobs nobody has worked yet and uses the dates you pick. See Why doesn't Dashboard revenue match Revenue Production Planning?
- Teams today — each team's row mixes two kinds of markers, in time order: a circle for every job and a rounded square for every scheduled event. A job circle's color and icon show its state — done (check mark), in progress (a ring showing how much of its allowed time has been used), on the way (truck), no check-in (red), or pending; a small corner dot also marks the job's zone. A locked-out job shows the same lock icon as the job's Lock Out badge; skipped and cancelled jobs are left off the row rather than shown muted. An event square shows pending, in progress, done once everyone has clocked out, or cancelled (dashed border). Hover or tap a marker for a tooltip with the customer or event name, zone, and scheduled vs. actual times — an on-the-way job's tooltip also carries a separate on-the-way message. Click a job circle to open that job, or an event square to open that event. A team with an open complaint shows a chip under its row. The row refreshes on its own about once a minute, so clock-ins and status changes show up without reloading the page.
- Team revenue and utilization on Teams today — the card's header shows what today is worth: "$X of $Y earned", where $Y is the fees on every job still on today's schedule and $X is the fees on the jobs already done. Each team's row adds its own revenue, how much of it is earned, and a utilization bar showing how full the team is once drive time is allowed for (see What the dollar amounts and percentages on Teams today mean). Hovering a job also shows its fee and allowed hours.
- Revenue per paid hour and Payroll / revenue — two compact KPI tiles: revenue per paid hour with a short trend sparkline, and payroll as a share of revenue over the last 4 closed payroll weeks with a weekly revenue-vs-payroll chart. A red up arrow means the payroll share rose against the prior 4 weeks.
- Staffing, next 4 weeks — booked job hours against scheduled cleaner hours, week by week, flagging any week that's short on staff and how many open hours there are left to sell.
- Sales funnel — leads → quotes → booked for the same 4 weeks, with your close rate and a recurring-vs-one-time breakdown of booked revenue.
- Recurring customers — current count vs. the prior period, plus recurring services sold and lost.
Every card links to the full report behind its numbers (Revenue, Schedule, Stats by Week, Week in Review, Production Planning, or Sales KPI).
What the dollar amounts and percentages on Teams today mean
Teams today's dollar amounts are today's job fees: the header's "$X of $Y earned" and each team's revenue and earned figures. The percentages are team utilization. Utilization compares the hours booked for a team today with the hours the team can actually clean. A team's revenue and booked hours use the same rules as the Production Planning report, so they match that report for the same day, except for a job on two teams: Teams today splits it between the teams by team size, while Production Planning counts it in full on each team. The utilization percentage can read higher than Production Planning's, because Production Planning's utilization does not yet take drive time out of the shift.
- Booked hours are the allowed hours on the team's jobs that are scheduled or done today. Cancelled, skipped and locked-out jobs don't count.
- Usable hours are the team's hours on shift in the team schedule, times the service type's variance. The variance is the share of a shift left for cleaning once drive time and breaks are taken out; a variance of 85% turns an 8-hour shift into 6.8 usable hours. A service type with no variance set counts the whole shift as usable.
- Utilization is booked hours divided by usable hours. Under 70% is amber (room to book more), 70% to 100% is green (well booked), and over 100% is red (overbooked). Hover the bar to see the hours behind it.
- "No shift set" means nobody on that team has hours on shift in the team schedule today, so there is nothing to compare against. Add the team's shifts on the schedule to see its utilization.
- A job on two teams counts its share on each row, split by team size as on the Schedule Timeline, and once in the header's dollar amounts. Utilization counts each team's share of its hours. The Not Scheduled row shows revenue but no utilization.
Who sees the payroll and staffing cards
Office users and other roles without payroll access don't see payroll numbers on the Overview dashboard. Some cards show payroll or planning figures, so they appear only for people who can open the report behind them. Administrators see every card. Everyone else sees an operations card in that spot instead:
| Card | Who sees it | What appears instead |
|---|---|---|
| Revenue per paid hour and Payroll / revenue | People with access to the Stats by Week report | On-time arrival — the share of today's jobs checked in on time, against a 90% target — and Same-day cancels — today's cancellations against the 30-day average |
| Staffing, next 4 weeks | People with access to the Production Planning report | Needs attention — today's jobs with no check-in past their start time or with an open customer complaint, each linking to the customer and the job |
| Team utilization on Teams today | People with access to the Production Planning report | Team revenue and earned only, with no utilization bar or "utilized" figure |
For example, the Office role sees On-time arrival, Same-day cancels and Needs attention in place of the payroll and staffing cards, and never receives payroll figures. The replacement cards come from the Operations dashboard, which may need to be turned on for your company; until it is, they read "Not enabled for this branch."
How to View the Overview Dashboard
- Click Dashboard in the left navigation. Overview loads automatically — there is no dashboard to select.
- Review the header for your current branch and the date range the numbers cover ("Results through [date] · vs prior 4 weeks").
- Click a card's report link (top-right of the card) to open the full report behind it.
- Click a job dot under Teams today to open that job's details.
- Switch branches from the branch selector to see a different location's numbers — the page reloads for the new branch.
Common Tasks
Check why a job needs attention Hover or tap a marker under Teams today. The tooltip names the customer or event, the zone (with a swatch in the zone's color, matching the small corner dot), the job's status (with a swatch in the status color), and the scheduled vs. actual times — plus how late a job is, how much of its allowed on-site time remains, or its on-the-way message, depending on the job's state.
Find a week that's short on staff Look at Staffing, next 4 weeks. A red bar segment and the "X weeks short on staff" chip point to weeks where booked job hours exceed scheduled cleaner hours; the tile also totals the open hours still available to sell.
Find revenue lost to cancellations If the Revenue card shows a red "lost" chip, click it to open the Job count by status report, filtered to the same period's cancelled, skipped, and locked-out jobs.
Compare this period to the last one The Revenue card's percent-change chip and ring compare directly against the prior 4 weeks; hover the ring for the exact dollar figures on both sides.
Tips and Best Practices
- Start here each morning — Teams today surfaces jobs that need attention (no check-in, complaints) before you go looking for them elsewhere.
- A card reading "Not enabled for this branch" means the report or feature behind that specific card is off for this branch — it does not affect the rest of the page.
- Numbers refresh silently in the background; there's no manual refresh control, and cached numbers stay visible while a new fetch runs.
Troubleshooting
| What you see | Solution |
|---|---|
| "Report access is required" | Your account needs report access (permission to view reports). Contact your administrator. |
| A card shows "Couldn't load [x]" with a Retry button | That card's data request failed. Click Retry; if it persists, contact support. |
| A card shows "Not enabled for this branch" | The report or feature behind that card is off for this branch — not an error. |
| Revenue per paid hour, Payroll / revenue or Staffing is missing | Those cards need access to the Stats by Week or Production Planning report. Without it you see On-time arrival, Same-day cancels and Needs attention instead — see Who sees the payroll and staffing cards. Ask your administrator if your role should have that access. |
| A tile shows "Unavailable" instead of a number | The source data for the period is incomplete (for example, an open time clock blocks the 4-week revenue-per-paid-hour figure until it's closed). |
| The dashboard selector is locked on "Overview" | Expected — the other pre-built dashboards are unavailable while Overview is the default landing view. |
