MaidCentral Engineering

v0.25.0 requires a billing type on every scope of work, locks down View As sessions, gives companies going live on Pulse a safer onboarding cutover, and brings a wide set of quoting, scheduling, payroll and automation fixes to match MaidCentral V2.

Important Changes

  • Scopes of Work: Every scope now needs a Billing Type of Fixed or Hourly, as in MaidCentral V2. Scopes that already quote keep quoting, but a scope without a Billing Type cannot save its Pricing & Fees card or have quoting turned on until you choose one under Pricing & Fees, Billing Type.
  • Quoting: Frequencies that are not turned on for office quoting no longer appear on new quotes, matching the classic system. If a frequency you use is missing, open Settings > Quoting & Scopes > Scopes of Work, open the scope's frequencies, and turn on the Internal toggle for it.
  • Quoting: On a Square Foot Based scope, a pricing band cell left blank for a frequency no longer uses a default production rate. Homes in that band are now priced at the scope's minimum cost (or the frequency's own minimum) for that frequency, the same as a home that no band covers. If you left cells blank on purpose, enter a rate for every frequency you quote under Settings → Quoting & Scopes → Scopes of Work → Square Footage Pricing Bands.
  • View As: While viewing Pulse as another user, the branch selector is no longer shown and the viewed user's email address and two-factor setting cannot be changed. During View As, the license agreement prompt no longer appears and can't be accepted on the viewed user's behalf. Separately, changing your own email address on the Profile page now asks for your current password.

Highlights

  • Billing Type Required on Scopes of Work — Every scope of work now needs a Fixed or Hourly billing type before it can be priced or quoted, matching MaidCentral V2.
  • View As Locked to the Viewed Company — Viewing Pulse as another user no longer lets you switch branches, change the viewed user's email or two-factor setting, or accept a license agreement on their behalf.
  • Overbooked Availability Shows How Far Over — The Availability Calendar now shows exactly how far over capacity an overbooked day is, not just that it's overbooked.
  • Safer Onboarding Cutover — Companies currently being set up on Pulse can delete a completed test import before going live, bring employees in from the setup file, and skip Business Setup in one click when every record already matches.
  • Built-In Automation Rules Run Reliably — MaidCentral's built-in automation rules now run normally instead of being silently blocked by an unrelated internal rollout control.
  • Scorecards Fire From Office Timesheet Closes — Closing a job by saving or approving an office timesheet now sends the customer scorecard request, the same as closing it from the technician portal.
  • Lock Out Job Gets a Notify Customer Toggle — The Lock Out Job drawer now has the same Notify Customer toggle as Skip Job, so you control whether the customer gets an email.
  • Customer Portal Honors Your On/Off Setting — The customer portal now actually follows your company's portal on/off setting and blocks portal requests when it's off.

What's New to Try

Billing Type on Scopes of Work

Open a scope under Settings > Quoting & Scopes > Scopes of Work > Pricing & Fees. If it doesn't already have a Fixed or Hourly billing type, you'll be asked to pick one before you can save or turn on quoting.

View As

Use View As from the user menu on a teammate's account and notice the branch selector is gone, and their email and two-factor fields are locked while you're viewing as them.

Availability Calendar

Open Schedule > Availability and look at an overbooked day — it now tells you exactly how far over capacity that day is, not just that it's over.

Onboarding Import (for companies going live on Pulse)

During setup, open the Import step and try Delete test import — it previews what will be removed, asks you to type the company name to confirm, and shows progress while it cleans up test data before you go live with real data.

Lock Out Job

Open a job's schedule-change menu and choose Lock Out Job — you'll see the same Notify Customer toggle Skip Job already offers.

Customer Portal Reschedule & Cancel

Customers can now reschedule or cancel an upcoming visit right from their calendar in the Customer Portal — no need to call or email the office.

View as Customer

Open a customer's record and use View as Customer on the Customer Portal Account card to see the portal exactly the way that customer does.

Discount Code on Estimates

While quoting, open the estimate's Pricing step — there's now a Discount Code selector, so a code can be applied before booking instead of only after.

Overview Payment & Billing Actions

Open a contact's Overview page and check the Payment & Billing card — it now has Link to QBO and Add Payment Method actions, so you can look the customer up in QuickBooks or add a card on file without leaving the page.

Detailed Changes

Features

  • Delete Test Import: Companies currently being set up on Pulse can remove everything a test import created — customers, homes, service sets, jobs, open invoices, credits, notes and tickets — directly from the Import step, with a typed-confirmation dialog and live progress, before going live with real data.
  • Setup File Employee Import: The Import step can now bring in employees from the company's setup file, show them on the Apply step, and remove them along with the rest of a deleted test import.
  • Cutover Import for Open Invoices and Notes & Tickets: Companies going live on Pulse can now import open invoices, credits, notes and tickets from their cutover workbook, not just customers and jobs.
  • Skip Business Setup: When every record in a setup file already has an exact match, Business Setup can now be skipped in one click instead of reviewing each step by hand.
  • Customer Portal Reschedule & Cancel: Customers can now reschedule or cancel an upcoming visit directly from their calendar in the Customer Portal.
  • View as Customer: Staff can now open a customer's Customer Portal Account card and choose View as Customer to see the portal exactly as that customer does.
  • Discount Code on Estimates: The estimate's Pricing step now has a Discount Code selector, so a code can be applied while quoting instead of waiting until booking.

Enhancements

  • Overbooked Availability Detail: The Availability Calendar's day cells, mini grid and week strip now show exactly how far over capacity an overbooked day is.
  • Office Timesheet Scorecard Send: Closing a job by saving or approving an office timesheet now sends the customer scorecard request, matching what already happens when a technician closes the job from the portal.
  • Lock Out Job Notify Customer Toggle: The Lock Out Job drawer now offers the same Notify Customer toggle as Skip Job, instead of always emailing the customer.
  • New Scopes Default to Select List Pricing: A scope of work created in Pulse now starts with its square-footage input set to Select List, matching MaidCentral V2.
  • Settings: Frequencies Card Error Handling: The Frequencies settings card now shows a clear error instead of an empty list when it fails to load, and automatically creates missing frequency rows when the card opens.
  • Overview Payment & Billing Actions: The contact Overview's Payment & Billing card now has Link to QBO and Add Payment Method actions, so staff can look up a customer in QuickBooks or add a card on file without leaving Overview.
  • Settings Search Finds Pulse Features: Settings search now finds Pulse Features by name, not just settings pages.
  • Price Calculation Steps in View: The price calculation pop-up now shows its calculation steps in the foreground instead of needing an extra step to see them.
  • Onboarding Import Error Visibility: During setup, the Import step now shows every import error directly in the app, previews what clicking Apply will create, and warns when a value is about to change.

Bug Fixes

  • Automations: Built-in automation rules (the ones MaidCentral ships, not rules you create) now run normally; most had been silently blocked by an internal rollout control unrelated to whether the rule itself was available.
  • Automations: The Photo and Low Score ticket rules are now on for every branch and can be paused like any other built-in rule, instead of being hardcoded exceptions that couldn't be paused.
  • Scheduling: Jobs on a technician's next scheduled day no longer show up on today's team route, On The Way list, or the technician's Today card.
  • Scheduling: Adding or editing a service with a "first visit only" add-on now correctly extends or shortens only the first booked job, including when the add-on time is negative.
  • Jobs: Add-on time for "every visit" add-ons now adds correctly to rescheduled and recurring jobs' scheduled time.
  • Messaging: Outbound system messages, like automated replies, no longer appear as if the customer sent them in the Messages view.
  • Technician Portal: The technician service set screen now shows a dash instead of a blank for home details that aren't on file.
  • Quoting: Percentage rate adjustments now multiply by quantity correctly, a zero-value pricing question no longer changes the price, and a per-service answer override of zero is now honored — all matching MaidCentral V2.
  • Quoting: Scope Calculator and quote pricing previews no longer show a price below the scope's effective minimum.
  • Quoting: A home above the largest square-foot pricing band is now priced at the top band's rate instead of failing to price.
  • Quoting: Promo codes on a quote can now contain any characters, up to 100 characters, instead of being limited to a narrower set.
  • Quoting: Pricing questions are now applied in the order they're set up in Settings, not the order they happen to be submitted.
  • Quoting: Reopening a saved quote now keeps its saved hourly-rate override, frequency list and discount codes instead of losing them; discount codes no longer show up as if they were an add-on.
  • Quoting: Switching a scope to Square Foot pricing now asks for confirmation first and resets stale frequency multipliers instead of carrying them over.
  • Quoting: "Do Not Round" no longer treats a stored ending digit as a reason to round, and simplified scopes round interpolated hours to two decimals before applying factors.
  • Quoting: Multi-select pricing questions now apply each selected answer with its own adjustment type, and a whole-number answer outside every configured range is skipped instead of defaulting to the first range.
  • Quoting: Quote line costs in Quick Action and the office quoting flow now calculate consistently as hours × rate, with correct rounding.
  • Settings: Bulk rate modifications now filter by billing term correctly and a rate modification can no longer use another branch's add-on type.
  • Settings: Scope of work changes — edits, deletes, and linking default questions — now update everywhere they're used immediately instead of needing a page refresh.
  • Settings: New scope frequencies are now seeded with the same defaults MaidCentral V2 uses, and Reset to Defaults no longer saves a cleared-out override.
  • Invoicing: A declined card payment now shows a clear, customer-safe message instead of raw technical error text, and a failed pre-authorization no longer starts a second full charge.
  • Accounting: QuickBooks credit memos are no longer applied automatically when the matching credit can't be confirmed in QuickBooks, preventing a possible double credit.
  • Payments: A card hold is now kept, not released, when a standalone capture's outcome is unknown, avoiding an uncollected charge.
  • Payroll: Tips added after payroll closes are now dated into the next open pay period instead of a closed one, and batch invoicing tips route through the same closed-payroll workflow so they're paid once.
  • Payroll: Closing a pay period is now more reliable — a failed close reports a clear error to the office instead of leaving things unclear, and audit records are no longer duplicated.
  • Security: Pricing & Fees changes, and quote billing terms, customer sources and question answers, are now restricted to the branches you have access to.
  • Security: Rate modification reads and writes are now restricted to your assigned branches.
  • View As: The View As banner now shows the role's display name, and saving your profile no longer re-sends a two-factor code or revokes trusted devices unless your two-factor setting actually changed from off to on.
  • Leads & Customers: A lead's cross-branch customer source is now kept when booking instead of being dropped, and quick-action and MaidSense-created customers now behave consistently for billing terms, credit card billing and scorecard delivery.
  • Customer Portal: The portal now actually follows your company's portal on/off setting and blocks portal requests when it's off, instead of staying reachable regardless of the setting.
  • Customer Portal: The portal now enforces your notification-editing setting and the add-on 24-hour cutoff on changes customers make, and a customer's change now adds the matching office note when "changes create notes" is turned on.
  • Booking: The Availability tab now counts a job's booked visit and its next visit (including a required follow-up visit) before marking a day as having room, so days no longer look open when they're not.
  • Booking: Clicking Book twice quickly no longer creates two bookings — a duplicate click now gets a clean "already booked" message instead of a second booking.
  • Booking: Booking suggestions now rank and show a lead's preferred days and start time, no longer rank open empty days last, and no longer show a confusing "next job" marker on preferred-day checkboxes.
  • Booking: The Availability grid now makes the selected date obvious and keeps it on screen, a day's full availability breakdown can be opened directly from the Availability tab, availability now explains why a day shows no openings, and "First Available" suggestions sort earliest first.
  • Scheduling: Modify Schedule no longer fails with an error when a pending job has a one-time extra.
  • Scheduling: Adding or removing a job-level extra now correctly recomputes the job's scheduled time and window.
  • Scheduling: Manual Schedule now allows picking dates before a later scope's rotation start date.
  • Scheduling: Rescheduling a job now keeps its original job instructions instead of losing them, and the reschedule email now sends when Notify Customer is turned on.
  • Quoting: Required "Before Quoting" questions now actually block Next: Pricing and Save Lead Only until answered, instead of letting you skip past them.
  • Quoting: A quote's Job Rate is now set only at booking — until then, the quote shows the selected line price instead of an early, incorrect rate.
  • Quoting: Quick Action's Add Service now renders the square-footage question for the scope you actually picked.
  • Quoting: Quote saves now write the same quote and home-value details MaidCentral V2 does.
  • Quoting: Reopening a saved quote no longer puts an extra phone number into the primary Phone field, and now keeps the saved home zone and square footage instead of losing them.
  • Quoting: A percentage add-on now shows its actual percentage instead of $0 until its base fee is known, and a cleared quote answer or a removed additional contact now actually saves.
  • Quoting: Configured add-on cost, time and name are now correctly stored on quote rows.
  • Quoting: The quote Room Master now builds from every scope and books rooms per scope, matching MaidCentral V2.
  • Quoting: Lead tags set on a quote's Profile tab are now kept instead of being lost.
  • Quoting: Send Quote no longer creates duplicate quotes, SMS message spacing is fixed, and dead template switches no longer appear.
  • Settings: A home's Home Key now follows MaidCentral V2 — automatically generated unless Edit Home Key is turned on.
  • Payments: Surcharge sales tax is now correctly grossed up on Pulse card charges across the customer portal, the office and auto-charge.
  • Invoicing: The job invoice email PDF now shows the Card Processing Fee line, and batch invoice email PDFs now list line items.
  • Accounting: Contact Overview now shows the customer's real QuickBooks link, and the outstanding balance there displays using the standard currency format.
  • Leads & Customers: Duplicate detection now flags an existing lead matched by email or phone, not just an existing customer.
  • Leads & Customers: Leaving a lead's Profile page now saves it, warns before discarding unsaved changes on close, and refreshes the lead header after a status-advancing note.
  • Leads & Customers: Overview's Latest Note now shows as plain text with a "Show more" link for the formatted version, and Tech History on contact details no longer appears twice.
  • Security: The scope drawer and its cards are now gated on the specific permission each save needs, and Add Scope, drag reordering and quoting toggles are gated on the matching scope permission.
  • Security: A scope group can no longer be created across branches, and bulk scope actions are gated on permissions and Pricing & Fees limits.
  • Settings: Quick Action shortcuts are now gated on their feature correctly, and Ctrl+1 and one-click feature toggles work again.
  • Settings: Deleting a team no longer times out, and now reports any import records it couldn't remove.
  • Settings: Technician Last Login now shows in the company's timezone, the keyboard shortcuts dialog now displays correctly in dark mode, and Logos & Branding now shows the merge tokens Pulse actually fills in.
  • Payroll: A time-off or excused day can now be edited in place on the Time page, and ended emergency PTO requests no longer linger in Needs Action.
